Tender Administrator

JOB TITLE: Tender Administrator
REPORTING TO: Sales Director SA

▪ Ensure that all administrative responsibilities in the department is run efficiently.
▪ Responsible for tender administration for the company.

Main Responsibilities:

  • Recording of processed tenders
  • Searching portals for new tenders
  • Responsible for sourcing of prices from the pricing team
  • Send out meeting requests to the sales team for tender briefings
  • Update the white board with tender names, closing dates and site inspection dates
  • Vendor applications to be completed correctly
  • Ensure documents are correctly and accurately completed, signed/authorised,
    copied, securely bound and sealed, to ensure compliance with tender requirements
  • Ensuring tenders are submitted on time and in the correct format
  • Follow up on tenders that have been submitted
  • Assist with company Administration duties/activities

Customer Service

  • Following up with relevant departments in outstanding information for tender applications
  • Providing assistance to other members of the team
  • Following up on leads generated by other departments

a) Matric essential
b) Tertiary qualification preferred

a) At least 2 years relevant experience
b) 2 years practical working with invoices
c) Computer skills – Microsoft Office
d) Working knowledge of Syspro an advantage
e) At least 2 years telephone etiquette skill and communication skills
f) Valid driver’s license and own reliable vehicle

Other Attributes
a) Good organising skills
b) Deadline orientated and ability to work under stress
c) Ability to work independently
d) Must be bilingual (fluent in English & Afrikaans)
e) Time Management and Planning skills
