This role is responsible to develop and maintain data management and analytics systems to accurately track transport activities of commodity exports from the mines to the warehouses for management information and decision-making purposes. This role is responsible to carry out a range of administrative tasks and procedures relating to the invoicing and payment of invoices relating to transport and third party to customer destinations within Mauritius through maintenance of data systems and close interaction with relevant parties and stakeholders. Provide support to the bulk commodities and logistics function by attending to a wide range of clerical procedures and prescribed documentation across the logistics function and its associated freight, forwarding, shipping and insurance support services.
GENERAL ACCOUNTABILITY:
• Operate strictly within administrative and financial procedures to ensure financial provisions per regulatory frameworks are correctly administered, paid and accounted for
• Responsible to ensure efficiencies and effectiveness of routine administrative procedures to meet contract specialist bulk commodities and logistics function objectives.
• Ensure that finance, operations, and end-users are engaged and aligned on process flow/s
• Monitor financial activity relating to contracts/projects, and provide status report to end-user for information and/or action
• Negotiation of warehousing and logistics contracts
• Ensure invoicing functions are carried out within set procedural requirements, and apply appropriate rates and other financial parameters to ensure accuracy/correctness
• Responsible to ensure efficiencies and effectiveness within scope of responsible activities to contribute positively to financial performance. Monitor incidents which will necessitate discontinuity in the movement of export-led commodities with resultant delays, costs and claims, and captures this data for cost and financial implications.
• Ensure that material is re-weighed following disruption due to incident through accidents/theft.
• Monitor accidents which will necessitate a security response by contacting the relevant security company and transporter.
• Collate mandatory information to support the submission of claims (Incident/Police reports and GRNs) so that monies can be recovered (amount claimed would depend on the weight of material lost and cost of material at time of mine dispatch)
• Responsible to ensure efficiencies and effectiveness of all fixed base equipment and assets by advising on strategic maintenance and repairs in line with financial objectives of high value projects in support of company strategic objectives.
• Structure the work per defined responsibility areas and logical workflows in consultation with line supervisor
• Ensure administrative documentation and procedures are followed per above responsibility area / workflow
• Work within set of procedures to accommodate wide range of trucking activity per month, reagents, open orders, active trips, and ensure appropriate monitoring and tracking to include-
• Initiate application/s for import licences by following procedures and ensuring correct documentation with appropriate sign-off
• Attend to change of ownership letters
• Create meaningful spreadsheets to support various administrative and tracking functions by applying range of software skills and techniques to expedite tracking, analysis, and interrogative functions
• Initiate booking of trucks for transport of materials by following procedures, and allocating to team as required
• Approve within tight parameters and controls freight invoices per end-user requirements, and initiate administrative procedures associated with settlement
• Set up workable procedures to tracking transport activities within the scope and parameters of formal, agreed, contract/s, resolve problems per contract and escalate to line manager as appropriate
• Handle administrative and logistical queries by gathering relevant information, evaluating within appropriate contract, management, procedural or other framework/s and communicating accordingly to relevant stakeholder/s

• Channel work assignments to freight, warehousing and clearing functions as required to ensure swift action, and follow up on administrative execution, submission of required documentation and problem resolution that may be required

• Provide administrative support as required, relating to contract specialist bulk commodities and logistics function by systematizing a wide range of clerical procedures.
• Oversee the entire process from end-user requests, contract formulation, tender processes and adjudication, and related shipping procedures by understanding the nuances, timelines and associated processes/dynamics, and make decisions and/or initiate and prompt processes to ensure progress and momentum toward service delivery
• Take steps to expedite above processes as far as practicable by engaging with the relevant stakeholders/departments timeously and proactively, ensuring that correct documentation is available, and protocols followed at the required timelines and process decision points
• Take cognisance of logistical and related lead times insofar as delivery of bulk commodities to end-users
• Track progress of the logistics and transport of bulk commodities, identify where bottle necks will result in delayed delivery, and strive to resolve problems at the lowest possible level prior to escalating the problem to higher authority Example: Tracking shipments and making alternative arrangements to ensure that Cargo meets the end user when required by forward planning, using alternative Service providers to deliver the goods
• Maintain a robust administrative tracking system to keep abreast of high levels of activity (trucks per month; open orders; active trips; multiple reagent products; multiple suppliers; and myriad contracts) and associated financial outlay to ensure variety of disparate activities are monitored, and that decisive action can be swiftly taken as required Example: Daily team meetings and stakeholder calls, systems management, and alignment of stake holders
• Proactively engage with hub teams to ensure escalations, invoice price adherence and budget compliance are reviewed, and draft contract amendments for approval and subsequent communication to relevant stakeholders/parties
• Develop practical solutions to optimise flows within the region Example: Using alternative trade lanes to meet the deliverables of the products for the stakeholders.
• Make appropriate decisions to extract efficiencies from the internal business processes by selecting the most appropriate course of action from a variety of plausible options
This role will be based in Mauritius, reporting to the Country Lead Mauritius.
QUALIFICATIONS:
• Tertiary Qualification/ Bachelor’s Degree in Commerce or Law with Logistics/ Supply Chain.
• Post graduate qualification in similar field advantageous but not required
WORK EXPERIENCE & SKILL REQUIREMENTS:
• 3 to 5 Years in a logistics or supply chain environment in a large company with exposure to transport, warehousing, shipping, logistics and related functions, and the administrative functions relating to their documentation, rate payments and query-handling.
• Experience working in mining or mining related operations and commodity trading environments advantageous
• Multi-tasking and excellent management of time and priorities is essential
• Strong verbal and written communication skills that work effectively within team and different audiences
• Demonstrated, well-developed judgment and problem-solving skills
• Pro- active, committed and highly motivated
• Independent, flexible and entrepreneurial
• Takes initiative and invest energy to, identify / resolve queries and take action as needed
• High level of attention to detail and data accuracy

• Computer literate MS Office. Strong Excel & PowerPoint skills
• Knowledge of / experience in SAP
