QUALIFICATIONS:
• N Dip: Human Resources Management (Essential/Minimum)
• Certificate: Basic Management Program (Essential/Minimum)
• Certificate Labour Relations Dev Prog (Recommended/Desirable)
• Certificate First Line Management (Recommended/Desirable)
• B Degree (Relevant) (Recommended/Desirable)
EXPERIENCE:
3-5 years Relevant experience within General People and Performance operations, systems, Employee Relations, Recruitment and Selection (Essential/Minimum) Operational

Duties & Responsibilities
Administration and Document Control
• Conduct quality checks on employee documentation
• Ensure data is captured accurately
• Ensure availability of information for client feedback and reporting purposes
• Ensure that all relevant information is available for capturing
Audit Management
• Conduct quality assurance on all employee data that is loaded into SAP
• Ensure that all data is captured accurately in terms of the Employee Lifecyle Services (ELS) process
• Ensure findings/deviations are corrected on SAP and filed accordingly
Compliance, Governance and Assurance
• Execute responsibilities in a manner that is in accordance to guidelines and standards associated with People and Performance (P&P) services within the Business Unit (BU)
• Comply with P&P service delivery metrics, standards and guidelines
• Ensure compliance to applicable policies, processes, procedures and applicable statutory laws and regulations
• Address discrepancies/unlawful practices by reporting it to the manager
• Apply ethical principles in the practice and processing of P&P relevant data
Customer, Stakeholder and Client Relationship Management
• Understand the key business drivers of the business unit and the interrelationships between other functions (i.e. finance and operations)
• Maintain relationships with both internal and external customers
• Attend to customer requests, complaints, needs and challenges
• Conduct regular follow-ups to ensure problems have been resolved
• Implement a customer centric approach and consistently deliver quality P&P services
• Link up with business partners to ensure that the P&P value chain is realised in terms of integrated people solutions
Employee Relations
• Support and advise line management in their execution of disciplinary and grievance hearings
• Support the execution of employment equity, diversity and organisational development initiatives
• Facilitate the Employee Assistant Programme (EAP) referral process
• Manage medical incapacity cases professionally and according to set policies and procedures
• Liaison with retirement funds and pension funds to ensure documentation and process comply with the set standards and rules
Internal Business Processes
• Assist line management with personnel cost planning and compile budget presentations for approval
• Recommend and incorporate cost saving initiatives into manpower budgets and control expenditure within approved parameters (e.g. overtime and absenteeism)
• Generate and complete Quality Assurance (QA) management reports and recommendations on trend analysis
• Responsible for quality of P&P master data
• Responsible for personnel admin and related employee lifecycle management transactions
• Understands and supports business goals by assisting line managers with the P&P employee lifecycle management
• Assist line managers with talent and learning management initiatives (e.g. leadership development, career management, corporate talent and learning management process, performance management and development plans)
• Support P&P business partner in ensuring successful implementation of P&P infrastructure
• Distribute information, control, and change documents
• Act as P&P system super user for BU with all right, privileges and obligations associated with this function
Medical Scheme and Pension Fund Administration
• Ensure all employees belong to a pension and medical aid, as per conditions of employment
• Liaise with pension fund and medical aids when amendments are requested by employees
Recruitment Support
• Assist with the end-to-end recruitment process, in collaboration with P&P Business Partner/Head Services and line management
• Manage recruitment and selection within area of responsibility
• Prepare and complete management reports and analysis
• Ensure adherence to recruitment policies in alignment to Employment Equity (EE) and manpower budget
• Ensure data integrity of all relevant documents
Safe and Healthy Work Environment
• Maintain and ensure a healthy environment and safe operations practices
• Ensure compliance with all applicable Safety, Health and Environment (SHE) policies and procedures in line with set standards
• Encourage a culture that focuses on safety in all operations
