ADMIN CLERK (2 posts)

  • Salary: R216,417.00 – R254,928.00 PLUS 37% IN LIEU OF BENEFITS

REQUIREMENTS

  • Grade 12/NCV Level 4 in Office Administration plus N6 certificate in Office Admin/Management Assistant/Administration/Public Management or any other relevant qualification.
  • Good communication skills (verbal and written).
  • Good interpersonal skills.
  • At least 1-year experience in administration.
  • Knowledge of the ITS system (advantage).
  • Excellent customer/client orientation.
  • Ability to think, plan, and work with minimal supervision.
  • Results-focused and deadline-responsive.
  • Attention to detail.
  • Ability to collaborate and work in a team environment.
  • Be able to work under pressure.
  • Excellent computer skills (Microsoft Office).

DUTIES

  • Capturing student registration forms and filing for easy retrieval during verification and audit.
  • Updating student information on the information management system.
  • Ensuring the capturing of ICASS/ISAT and attendance on the ITS system.
  • Verifying examination enrollments on ITS at the campus level.
  • Managing the issuing of results, certificates, permits, and diplomas to students.
  • Attending to student inquiries.
  • Providing statistical information to the campus (e.g., student data, certification, and retention rate).
  • Capturing student registration forms.
  • Responsible for receiving, distribution, collection, dispatching, and safekeeping of exam material.
  • Ensuring proper implementation of policies and prescripts relevant to the section and College.
  • Performing any other duties assigned by Supervisors

DURATION: Candidate will serve in this position for a maximum period of 12 months or until the post is permanently filled, whichever comes first.

ACTING SENIOR- MIS OFFICER (SL8)
CENTRAL OFFICE

REQUIREMENTS:

  • Recognized three (3) National Diploma (NQF level 6) /Bachelor’s Degree in Information Management/ Data Management/ Computing or equivalent qualification.
  • 3-5 years of working experience in Data Management / TVET MIS environment or any relevant knowledge.
  • Knowledge of policies and governance environment of TVET Colleges including knowledge of the TVETMIS system, annual reporting requirements by the Department of Higher Education and Training for TVET Colleges.
  • Knowledge and understanding of Information Management Systems.
  • Knowledge, application of, and interpretation of office management, COLTECH, data warehouse, and IT prescripts.
  • Good communication, administrative, planning and organizing, report writing, interpersonal, problem-solving, and analytical skills.
  • Client-oriented approach driven by service delivery.
  • Ability to manage projects and be committed.
  • Able to work independently and in a team, as well as work under pressure.
  • Computer literacy.
  • A valid driver’s license.DUTIES:
    • Ensure the overall supervision and proper management of TVETMIS, capturing and data extraction for the college.
    • Ensure the overall supervision, coordination, compilation, and submission of MIS reports and statistics.
    • Ensure the overall supervision and verification of inputs captured on ITS system/ COLTECH system and other related systems.
    • Ensure the overall supervision and administration of all academic and student-related system programs, courses, and qualifications.
    • Ensure the overall supervision and maintenance of MIS licenses are renewed before expiry dates.
    • Monitor capturing. Submit reports to DHET on a quarterly basis.
    • Maintain student data during registration, control the quality of captured data, and report if there are errors.
    • Ensure that correct/credible data are sent to the DHET office

ACTING SENIOR EDUCATION SPECIALIST: ENGINEERING STUDIES

KANYAMAZANE CAMPUS
REF NO: EHL03/2025
SALARY: SHALL BE IN ACCORDANCE WITH ACTING ALLOWANCE POLICY

REQUIREMENTS:
An appropriate Bachelor’s Degree or Equivalent Qualification plus a professional qualification in Education. Minimum of five years of relevant lecturing experience, of which at least two years should be in a Management or Supervisory role within the TVET environment. A qualified artisan with a relevant trade of engineering will be an added advantage. Strong interpersonal relations, motivation, negotiation skills, and problem-solving skills. Well-developed leadership, organizational, planning, and management skills. Sound report-writing skills. Computer literacy. A valid driver’s license. Registration with SACE. Sound knowledge of Legislative Frameworks governing TVET Colleges.

DUTIES:

  • Coordinate and ensure that prelims are checked and signed by students.
  • Ensure that information of students captured is correct, verified, and application forms are securely stored.
  • Train and orient academic staff regarding academic programs offered.
  • Monitor PoEs, PoAs, assessments, and subject files.
  • Handle special inquiries during registration in cooperation with the Campus Manager.
  • Ensure that SORS are submitted timeously to DHET regarding examinations.
  • Monitor the submissions of daily conduct reports from the Department.
  • Oversee the smooth running of Examination and Assessment cycles, working closely with the Campus Manager.
  • Monitor examinations on the Campus in planning and preparations.
  • Ensure that subject meetings and class visits are conducted as planned.
  • Ensure the maintenance of facilities (academic-related) in cooperation with the Campus Manager by reporting malfunctioning facilities/damages/etc. timeously.
  • Coordinate the ordering of textbooks and other related consumables used for teaching and learning.
  • Ensure proper utilization of equipment used for Education and Training.
  • Determine staff development and training needs in cooperation with SDF, Campus Manager, and Training Committee.
  • Ensure minimal disruption of academic programs and classes.
  • Provide proper feedback and reporting from delegates who attended workshops and training sessions.
  • Ensure effective Moderation and Assessments according to Policy/Guidelines.
  • Organize and implement Moderation and Assessment Systems.
  • Take part in the verification process of Moderation Systems and students’ marks.
  • Observe and manage the IQMS processes.
  • Attend meetings of the Academic Board and SSS Committees

ACTING CAMPUS MANAGER

SALARY: SHALL BE IN ACCORDANCE WITH ACTING ALLOWANCE POLICY

REQUIREMENTS:
An appropriate degree/National Diploma or equivalent qualification plus 5–10 years of relevant experience in teaching and supervision/management within the Post-School Education and Training Sector. Willingness to work irregular hours. Advanced oral and written communication skills and the ability to work with different levels of staff, students, and external stakeholders. Advanced computer skills (MS Word, MS PowerPoint, MS Excel, and MS Outlook). A valid driver’s license. An understanding of DHET’s strategic vision and priorities for the TVET College sector. Good knowledge of legislation, policies, and strategies governing the TVET College sector. Ability to work under pressure. Leadership and strategic thinking skills. Good analytical skills and the ability to liaise at the highest level. Managerial, supervisory, problem-solving, motivational, negotiation, and good interpersonal skills. Project and Resource Management skills.

DUTIES:
The scope of the Campus Manager’s work will include but not be limited to:

  • Reporting to the Principal on general governance and management issues, to the Deputy Principal Academic Programmes and Student Support Services on Academic Programmes and Student Affairs, and to the Deputy Principal Corporate Services on HR, IT, Administration, and Communication, as well as to the Chief Financial Officer on Finances and Supply Chain Management.
  • Implementing and monitoring policy.
  • Initiating new innovations that align with the Strategic Plan of the College and the TVET College Sector.
  • Ensuring quality assurance of learning delivery.
  • Promoting a culture of teaching and learning and ensuring all activities comply with relevant legislation, College policies, and the College strategic plan.
  • Guiding, supervising, and offering professional advice to all staff members.
  • Overseeing and monitoring staff capacity-building activities in collaboration with the Human Resources Manager.
  • Maintaining staff and student discipline.
  • Ensuring equitable workload distribution for staff members.
  • Ensuring proper utilization, maintenance, and security of resources, facilities, and grounds.
  • Overseeing and monitoring all examinations and assessment activities.
  • Being responsible for the smooth running of the Campus and ensuring compliance with requests from the Central Office and the Department of Higher Education and Training within stipulated time frames.
