  • Welcome visitors and offer refreshments where necessary
  • Provide assistance to walk-in visitors wherever possible
  • Keep visitors informed of waiting times where necessary
  • Keep the reception clean and tidy at all times
  • Report maintenance issues promptly and monitor progress until they are resolved
  • Attend to the reception area at all times during office hours
  • Perform basic trouble shooting to correct minor problems
  • Attend to incoming calls efficiently and timeously in order to minimize customer waiting time
  • Route calls to the relevant people
  • When callers are on hold, ensure that the person whom they want to speak to is aware of the pending call and keep the caller up to date with progress
  • Proactively take messages and ensure that all staff are aware of and receive their messages timeously
  • Screen calls in order to assist with queries or to route the callers to the correct area
