KEY RESPONSIBILITIES:
Ensuring on daily basis official documents is received from supply chain and controls in place. Following up with suppliers and user departments for related documents on a daily basis and matching to the existing official and authorised documents from supply chain. Check that quotations, orders, good received notes and invoices are matched accordingly. Ensure that all suppliers as per the vendor master listing are reconciled 5 times per year and confirmations received for nil balance suppliers. An analysis of recons done and aging of queries are submitted to the supervisor to review. Ensure that all reconciling items are kept current by addressing old queries with user departments and suppliers and resolving payment issues. Submit a report to the supervisor on a monthly basis on reconciling items that needs to be escalated. Compile monthly accrual schedule for all contract suppliers and additional suppliers. Submit accrual schedule together with all supporting documents to supervisor by due date on a monthly basis for approval. Compile, and submit yearend audit deliverables as per year end plan to supervisor by due date. Hold regular workshops or meetings with user departments and problematic suppliers to resolve all queries and enforce the culture of accountability and knowledge sharing within the process. Ensure that filling structures and procedures are in place and adhered to on monthly basis, for audit purposes.

KEY RESPONSIBILITIES:
Ensure that filing structures and procedures are in place on a monthly basis for audit purposes. Archive department paperwork and maintain an audit trail as requested by management. Perform document filing and retrieval of audit requirements for Auditor General, Internal Audit, SARS and management requests. Accept and sign controls schedules of all reconciliations received from AP, FA and GL as per target date. Ensure matrix is updated with reconciliations performed and follow up on missing reconciliations. Ensure EFT Roster is compiled and approved by management by the 1st working day of each month. Ensure releases are obtained and effected on date scheduled. Compile monthly matrix of operators utilised for the month. Prepare manual journal template with supporting documents as per request by management (these are journals with less than 20 lines). Ensure correct project template, correct parameters and data is utilised. Ensure values are correct and file balances to supporting reports. Process and park journals allocated and attach all supporting documents for review as per general ledger accounts allocated. Draw audit report of Journals from SAP and review and sign off audit trail of journals for completeness on a monthly basis. Compile and maintain the intercompany matrix and ensure that outstanding confirmations are received on a weekly basis and as and when requested by management. Ensure relevant supporting documents are attached to the reconciliations together with SAP printouts. Ensure that all reconciling items are attended to timeously. Reconciliation of closing balances and Sales on SAP to reports received from prepaid metering department must be performed on the 2nd working day of the month before systems closes to resolve all variances.

Carry out standby duties and emergency work of which must include feedback to the Telemetry control room on callouts. Carry out monthly toolbox checks to comply with safety norms and standards. Inform Operations Manager on any irregular maintenance issues regarding Plant, Equipment and Facilities. Assist with the effective and productive planning of jobs in the section as directed by the Operations Manager. Assist with the investigation of pump station and reservoir operating methods in order to enhance the systems performance. Ensure that all work orders, check sheets and overtime sheets are filled in correctly before end of shift. Filling in of Vehicle Inspection sheets, Logbooks daily and submit to Operations Manager on a weekly basis. Submit all petrol slips once a month as per Johannesburg Water Vehicle Policy. Manage subordinates.

Manage, maintain and monitor the Meter Reading Handheld system and interfaces. Where applicable, comply with the relevant regulations and legislation and perform office administration.

PURPOSE
Responsible for the reduction of unaccounted for water with emphasis on commercial loss. Investigate and analyse meters and meter data (on-site and management information services (MIS) studies). Identify meters to be changed as per the Johannesburg Water metering policy and control the commercial loss side of the projects. Monitor the top 100 consumers.
KEY RESPONSIBILITIES
Carry out a MIS survey to collect relevant information on the case and then carry out a proper investigation (done frequently as and when required). Inform the originator of the query in writing of the outcome of the investigation and make recommendations. Report all meter faults through the MIS to the relevant depot / contractor and follow up until it is solved. Analyse and interpret meter related data utilising various MIS. Download the information from the loggers onto a PC and interpret data. Initiate to CAPEX the request for a contract. Assist with the writing of reports to be submitted for approval to the Bid Evaluation Committee (BEC) and Bid Adjudication Committee (BAC). Manage the execution of contracts within the timeframes as per contract document. Carry out on-site visits (snack list visits) with the contractor to ensure that the above-mentioned errors have been rectified. Submit monthly readings to Meter Reading Departments to assist in correct billing. Compile PDP’s and Performance Contracts of seconded subordinates to ensure that the work is carried out within the scope of the Performance Contract. Keep statistical records on all CAPEX and OPEX projects (daily, weekly, monthly and overall progress). Generate a report monthly on the section’s progress.

PURPOSE:
Responsible for carrying out all civil engineering activities from investigation, designs, procurement, contract administration, commissioning up to close out of the projects. Quality control, contract administration, monitors and supervises resident engineers for construction activities on site.
KEY RESPONSIILITIES:
Organise, plan and prioritise multiple projects simultaneously for effective implementation and project tracking. Verify scope submitted through a project charter from Infrastructure Planning by liaising with Infrastructure Planning Department, Operations and Project Management Unit. Prepare preliminary design reports based on site investigation conducted. Present design reports to Senior Engineers, Operations, Infrastructure Planning and Project Management Unit. Compile project specifications using the SANS1200 series, Johannesburg Water Design standards and any other relevant specification. Evaluate CAPEX tenders in line with JW Supply Chain Management Policy. Monitor contractors in terms of the contract document, GCC/JBCC/NEC as applicable and all other relevant specifications. Chair site meetings with contractors and ensure minutes are distributed on time. Prepare as-built drawings using AutoCAD or other. Attend to all defects during the defects liability period and issue a Final Approval certificate and prepare final account. Monitor expenditure versus budget on Excel. Ensure that contractors adhere to their quality plan as well as the GCC/JBCC/NEC as applicable, SA National Standards (SANS 1200) and any other relevant specification. Ensure all construction materials are as per specifications. Monitor that quality tests are carried out, analysed and accepted or rejected. Analyse reports from OH&S and Environmental section and enforce compliance by contractors Report to the H&S Departments any accidents and incidents. Identify project risks and develop mitigation plans Report on issues that could impact on the project’s cash flow, safety and duration to the Project Manager. Provide mentorship support to Engineering Technicians and Trainees towards their professional development. Supervise and monitor responsibilities of Engineering Technicians, Trainees and Bursars to achieve goals and to work within budget, time and required quality.
