Main Purpose of the Job
To participate in a 24-month program, as an HR Intern.

Executive Assistant to CFO and PAE
CSA (Cricket South Africa/Company) is the national governing body for the sport of cricket in South Africa
and administers all aspects of South African cricket.
A position for an Executive Assistant to Chief Financial Officer (CFO) and Public Affairs Executive
(PAE) has become available. The successful candidate will be responsible for providing professional and
efficient secretarial and administrative support to the Chief Finance Officer (CFO) and Public Affairs
Executive (PAE) and their department(s) in the execution of the duties of the Finance and Public Affairs
Business Units, thereby upholding the image of Cricket South Africa (CSA). In addition, contributing in
ensuring timely, effective and quality service delivery for the Finance and Public Affairs Business Units.
The more important criteria for the appointment is set out below and although not exhaustive, would serve as a guideline in assessing prospective candidates.
Key job duties/responsibilities:
Key performance areas include but are not limited to the following:
- Diary Management and Meeting Coordination
a) Manages the diary with guidance from the CFO and PAE by diarising and scheduling meetings promptly and correctly.
b) Records meetings on electronic calendar to allow for viewing by the CFO and PAE.
c) Prepares required documentation for scheduled meetings accurately and timeously.
d) Affords CFO and PAE’s guests hospitality when visiting CSA offices.
e) Schedules CFO and PAE’s meetings, drafts meeting agendas, secures boardrooms, arranges
refreshments, records and distributes meeting minutes.
f) Follows up on action items from meetings to ensure completion within stipulated deadlines.
- Logistics Arrangements
a) Requests quotation from the Travel Department to inform travel arrangements in line with allocated budget.
b) Coordinates local and international travel arrangements for the CFO and PAE including VISA
requirements and forex in line with the travel policy and procurement process.
c) Prepares itinerary that includes details regarding dates, travelling times, maps / directions, addresses, phone numbers, e-mail addresses, parking and contact persons.
d) Checks travel plans a few days prior to departure to ensure all is in order.
e) Submits approved travelling claims for payment upon the CFO and PAE’s return for purposes of reimbursement.
f) Coordinates CFO and PAE’s events, VIP guests, table requirements and hosting of guests in suites
- Secretarial Support
a) Types business letters, memorandums and general correspondence for internal and external purposes.
b) Puts together professional and well-designed presentation decks.
c) Quality checks all typed documents for accuracy, correctness and validity before forwarding to the CFO and PAE.
d) Proofreads documents from the Offices of the CFO and PAE prior to distribution to confirm adherence to corporate style guide.
e) Manages the content of emails and follows up on urgent emails to ensure they are actioned accordingly by the CFO and PAE.
f) Screens telephone calls and office walk-ins to prevent unnecessary interruptions.
g) Correctly records and relay’s messages promptly to the CFO and PAE.
h) Sources content for presentations and liaises with the service provider on layout.
i) Addresses queries from stakeholders and / or channels queries to correct role players.
j) Ensures implementation of instructions and communications by the CFO and PAE.
k) Acts as the point of contact for Auditors within the CFO and PAE’s office to ensure smooth audit
process.
l) Ensures adherence to protocols in the CFO and PAE’s office to maintain a professional image.
m) Provides adhoc administrative assistance as and when required.
- Preparation of Executive Management (Exco) and Chief Executives Committee (CEC) Packs
a) Assists with preparing meeting packs for Exco and CEC meetings.
b) Assists with collating information for preparation of Exco and CEC agendas.
c) Coordinates responses to routine Exco and CEC correspondence.
d) Uploads Exco and CEC information onto system and requests authorisation for information to go live.
e) Transcribes minutes of Exco and CEC meetings and distributes to relevant role players.
f) Assists with preparing meeting packs for Board and Board’s Subcommittees’ meetings
- Office Support
a) Maintains an effective filing system for ease of tracking and retrieval of documents.
b) Develops a database of contacts and updates regularly to ensure current information.
c) Develops good working relations with relevant personnel for ease of execution of duties.
d) Ensures that classified and confidential documents are kept safely.
e) Provides support to the CFO and PAE in the co-ordination of the departmental activities by ensuring that the CFO and PAE meets his/her objectives and serves internal and external customers/stakeholders in an efficient and timely manner. This includes ensuring, on a day-to-day basis matters that require follow up are acted on by the CFO and PAE.
- Budget Administration
a) Prepares specifications, requests to quote (RFQs), requests to purchase (RFPs), request to tender
(RFTs) and input them in the procurement system.
b) Prepares monthly payments and cashflow for the office of the CFO and PAE and submit to finance
timeously.
c) Obtains costing information for events to assist CFO and PAE in budgeting and forecasting.
d) Captures the expected revenue/expenditure forecast onto system / spreadsheet in readiness for
submission to Finance.
e) Monitors spend during the year to prevent overspend on allocated budget.
f) Checks provisions on a monthly basis to ensure correctness of allocations.
g) g) Investigates anomalies and rectifies as directed by CFO and PAE.
- Administration of Department Scorecards
a) Ensures that all direct reports of the CFO and PAE have performance scorecards in place.
b) Coordinates the goal setting process between the CFO and PAE and direct reports.
c) Ensures scorecards of direct reports are signed and filed for easy reference.
d) Ensures quarterly reviews take place and assessment sheets are signed and filed.
e) Follows up on action items in relation to performance improvement for direct reports.
f) Tracks performance progress of direct reports in relation to the overall goals on the scorecard of the CFO and PAE.

the CFO and PAE’s offices

k) Checks travel plans a few days prior to departure to ensure all is in order
- Ad Hoc
a) Performs such additional functions as may be instructed by the Line Managers from time to time.
Essential requirements pertaining to the candidate’s qualifications and experience:
a) Advanced Certificate in Secretarial / Administration (NQF 6) or equivalent qualification.
b) A Project Management Certificate will be advantageous.
c) A minimum of 5 years’ secretarial working experience with at least 5 years in an executive assistant role
or similar role.
d) A code 8 driver’s licence.

a) Procurement and Financial management systems (Fraxion and Pastel Evolution knowledge would be a
distinct advantage).

The role will report to the Chief Financial Officer (CFO) and Public Affairs Executive (PAE). The role
requires the ability and willingness to travel, work long hours, over weekends and public holidays where
necessary.
