The .ZA Domain Name Authority (ZADNA) is the regulator and manager of dotZA (.ZA) – South Africa’s Internet namespace. ZADNA is a statutory entity founded in terms of Chapter X of the Electronic Communications and Transactions Act 25 of 2002. Its key responsibility is to license and regulate .ZA registries and registrars, and to develop and implement policy guidelines. Its offices are located at 72 New Road, Glen Austin AH, Midrand, 1685, Gauteng, South Africa.
Receptionist
(One-year fixed term contract)
ZADNA is seeking to appoint a receptionist on a fixed-term contract to join our team. This front-facing role is key to creating a professional and welcoming environment for visitors and staff, while providing essential administrative and office support that contributes to the smooth functioning of the organisation.
KEY JOB DELIVERABLES:
- Greet and welcome guests in a professional and friendly manner.
- Answer and appropriately screen all incoming telephone calls; redirect or take messages as needed.
- Keep the front desk tidy and presentable, ensuring all necessary materials are available.
- Respond to inquiries and address or escalate complaints as appropriate.
- Receive and distribute letters, packages, and other deliveries.
- Prepare outgoing mail, including drafting correspondence and securing parcels.
- Monitor office supplies and place orders when necessary.
- Prepare and type documents, including presentations for internal or external use, and submit them for approval.
- Coordinate the flow of information, acting as a central point of contact between Operations and other departments.
- Minute-taking for all internal team and committee meetings, and distributing the minutes, subject to
approval. - Maintain a comprehensive and accurate filing system for all documents in the Operations Office.
- Handle photocopying, printing, binding, and the delivery of documents via messengers and couriers.
- Source quotations in line with ZADNA’s supply chain management processes.
- Arrange and coordinate corporate travel and accommodation for staff.
- Organise and manage procurement activities, including requisitions, invoicing, expenses, travel claims, and related tasks.
MINIMUM REQUIREMENTS:
Qualifications:
- A National Diploma or equivalent qualification in Office Administration, Business Administration, or a
related field. - Additional training or certification in customer service or administrative support is advantageous.
Experience:
- Minimum of 1–3 years’ experience in an administrative or front-desk role.
- Experience in minute-taking and document management.
- Exposure to procurement or supply chain support processes is a plus.
- Experience working in a multi-departmental or committee-based environment will be an advantage.
SKILLS & COMPETENCIES:
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a professional and courteous demeanour.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organisational and multitasking abilities.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and discretion.
- Time management and prioritisation skills.
- Ability to work independently and as part of a team.
- Familiarity with supply chain and travel coordination processes.
