OFFICE MANAGER

OFFICE OF THE GROUP CHIEF EXECUTIVE

Reporting and to be trusted advisor and operator to the Group Chief Executive (GCE) by providing high-level strategic support to the GCE in planning, executing, and ensuring the success of the GCE’s mandate. To serve as a liaison between GCE and executives and business units; organise and coordinate internal and external relations efforts.
The Office Manager will:
- Implement appropriate policies, business processes and standard operating procedures for the Office of the GCE.
- Complete critical aspects of deliverables including business projects, and other tasks that facilitate the GCE’s ability to effectively lead the company.
- Prepare presentations and reports for GCE for EXCO and Board meetings.
- Implement internal controls, governance and risk management of all business processes within the Office of the GCE.
- Check submissions to GCE for accuracy and completeness and where necessary if the submissions are legally correct.
- Ensure that there is full compliance by the Office of the GCE with relevant legislation, policies, and guidelines.
- Collaborate with the GCE’s PA, facilitate cross- divisional coordination of travel and roadshows planning when required.
- Coordinate with GCE’s Personal Assistant to arrange meetings and strategic activities with the Senior
Leadership Team, and other stakeholders. - Provide strategic support to the GCE in planning, executing, and ensuring the success of the GCE’s mandate in accordance with the Delegated Powers of Authority and the IDFC Act.
- Ensure capital expenditure and operational expenditure spend is in line with the fiscal budget for the Office of the GCE.
- Direct and control the key performance indicators and outcomes of personnel and processes for direct subordinates.
Experience:
- A minimum of 5 – 8 years’ management experience within business administration and office management
environments, of which 3 years should be at a middle management/strategic level.
Requisite Functional Competencies:
- Computer literacy in Ms Office.
- Knowledge and experience in financial planning.
- Knowledge and understanding of Public Financial Management Act
- Knowledge of corporate governance principals.
- Valid Driver’s Licence.
- Knowledge of risk management concepts, frameworks and methodology.
- Excellent understanding of business operations and procedures.
- Strong research and analytical abilities.

Reporting to the Group Company Secretary, the Assistant Company Secretary will maintain high standards of Corporate Governance, particularly with respect to compliance with Company Law.
The Assistant Company Secretary will:
- Set up meeting dates in line with the PFMA reporting Framework.
- Draft meeting agendas for approval by the Chairperson of the related Committee / Board before
publishing to stakeholders. - Prepare meeting governance documentation; e.g attendance registers and declaration of interest forms.
- Prepare minutes of the Committee meetings.
- Provide governance support to the Group Company Secretary, Committee and Board Chairpersons
- Follow-up on all matters arising from previous meetings in writing and/or telephonically.
- Ensure meeting packs are collated and published within timeframes articulated in the terms of reference
of each Committee or Board Charter - Build good working relationships with key stakeholders to ensure achievement of the organisational goals.
- Provide support to management Chairpersons of relevant Committees and Boards
- Ensure company statutory requirements are met for lodging of documents to CIPC.
- Ensure company statutory records and registers are up to-date.
- Lodge statutory returns within the prescribed timelines.
- Ensure that Secretariat systems are maintained to meet the requirements of the organization.
- Enhance the system according to industry best practice.
- Keep up to-date resolution register.
- Ensure compliance with the governance principles.
The following minimum requirements should be met in order to be considered:
Qualifications:
- A Governance Practitioner Degree at NQF level 7 from Chartered Governance Institute of Southern
Africa/LLB/Bachelor of Commerce or equivalent Law/Commerce/CIS qualification at NQF level 7.
Professional registration:
- Registered as a Chartered Secretary with the Chartered Secretaries Southern Africa (CSSA) will serve as an added advantage.
Experience:
- Minimum of 3 years relevant Secretariat experience.
Requisite Functional Competencies:
- High level of understanding and experience in the application of Public Finance Management Act, as well as
related legislation. - Knowledge of Corporate Governance (King IV), and Companies Act.
- Ability to read, analyze and interpret general business periodicals, professional journals, technical
procedures, or governmental regulations. - Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information to Executive/other Senior Management and Board members.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Computer Literacy (Ms Office: Word, PowerPoint, Excel).
- Knowledge of all legislation pertaining to IDFC.
- Knowledge and experience in financial planning and forecasting.
- Knowledge of enterprise risk management concepts, frameworks and methodology.
- Knowledge of legislative compliance.
- Practical knowledge and understanding of performance management systems development and
implementation. - Code EB Driver’s licence advantageous.
