Job Description

Dis-Chem Pharmacies requires a Trade Debtors Supervisor – Perform Debtors duties while supervising, mentoring and assisting the Trade Debtors Department with their day-to-day functions and duties.

Minimum Requirements…

Customer Service:

  • Ensure all incoming mails and phone calls are attended to as they come in on a daily basis as per each individual circumstance and if any discrepancies appear inform the Trade Debtors Manager.
  • Coordinate all team groups, shared folders as well as trackers to ensure all information has been updated daily by the trade debtors’ team.
  • Deduction lists 160414 submitted to the creditors teams. Track and ensure 100% resolution with frequent follow ups with creditors in line with service levels and deduction processes prescribed.
  • All billing instructions, consolidated billings, remittances, etc. backed up on the relevant shared drive or Teams’ groups
  • Maintain a database of all balance sheet reconciliations, 160410, 160417, 800554,Gicom, advertising allowance spend, etc. Income line monitoring, completeness checks and growth reporting. Track frequently and report to the Trade Debtors Manager. Be proactive with internal and external audit requests to ensure swift response time and resolution. Report any delays and discrepancies directly to the Trade Debtors Manager.
  • Maintain and keep up to date checklists (sign off on submission).
  • Recons general
  • Standard of Procedure drafting and updates for Trade Debtors Manager Review.

Additional Accounts Administration:

  • Month end preparation and reporting to the Trade Debtors Manager. This includes but is not limited to the administration and reconciliation of the balance sheet, advertising allowances, conditional contracts, trade terms deductions, rebates and sallies/ tallies on Best GL (SAP).
  • Advertising- monthly promotional data, vendor confirmation, queries and billings
  • Sallies- Support and follow up regarding promotions with billing administrator and category teams including consolidated billing listings
  • Sallies- Monitoring accurate accruals of monthly promotional of monthly promotional income (incl. reversals on the first day of each month).
  • Billings- Run sales data via Qlikview and BI (support/ monitor) to ensure all lines and variables billed according to promotion.
  • Promotion loading and POS sales data via Qlikview and BI to ensure correlation between booking forms and prices loaded via promotion teams. Report to Trade Debtors Manager.
  • Monitoring movements on income lines and enquiring downward movements with billing staff. Report to Trade Debtors Manager.
  • Growth Rebates- Support timeous billings applicable to category.Incentives (SH15)- Health and rebating back to stores.
  • KDB2 (SH17)- FMCG- P&G (BI annual, Duracell monthly, Unilever ITR Billings).
  • Ad- Hoc Monthly Income (billings)- Loyalty, reward programmes, royalty fees, extra billing, etc
    Intercompany billings for Oncology and CJ Distribution.
  • Raise accruals in accordance with income lines and checklists. Checklist to be signed off.
  • Motoring and checking debtors shared drives and email box.
  • Monitor/ provide suggestions/ feedback to debtors’ manager plus administration for provisions and bad debt write offs.
  • Keep track and ensure all monthly, quarterly, and annual billings are administrated according to contracts and billing instructions
  • Onboarding new vendor applications
  • Log HEAT calls when required for Trade Debtors
  • Conduct one on one meetings and book reviews with team members and report findings/ progress to the Trade Debtors Manager
  • Stand in for relevant staff members when they are on leave and assist with opening accounts, receipts, invoice, credit notes and queries.
  • Ensure on-going support through the backup system implementation and training within the Trade Debtors Team.
  • Stand in for the Debtors Manager when he/ she is on leave.

Human Resource Management: 

  • Assist with the line management of the Trade Debtors Department on a daily basis by supporting the team to perform their functions and duties better, productively and more efficiently. Provide expert operational and functional support.
  • Assist Trade Debtors Manager with ensuring a high-performance culture within the team (line perspective) as well as adopting Proactive VS Reactive attitudes and competencies.

Duties and Responsibilities:
