Objective of the role 

The incumbent will be responsible for the efficient operation, maintenance, and safety of the building and its infrastructure. This role oversees all facility-related functions including building systems, repairs, vendor management, and compliance with health, safety, and environmental standards.

Education & Qualifications

Tertiary qualification in Business Administration. Knowledge of health and safety regulations.

General Knowledge & Experience

  • Proven experience in facilities management or a similar role.
  • In-depth understanding of building systems and maintenance procedures.
  • Excellent organizational, problem-solving, and leadership skills.
  • Proficient in Microsoft Office and facilities management software.
  • Ability to manage multiple tasks and respond effectively in emergency situations.

Role Accountabilities

Building Maintenance & Operations

  • Oversee the daily operations of building systems, including HVAC, plumbing, electrical, elevators, and fire safety systems.
  • Conduct routine inspections and ensure preventive maintenance schedules are implemented effectively.
  • Respond promptly to facility-related emergencies and resolve issues efficiently.

Vendor & Contractor Management

  • Manage and coordinate external service providers for cleaning, security, landscaping, pest control, and specialized maintenance.
  • Monitor service levels, ensure compliance with SLAs, and evaluate contractor performance regularly.

Health, Safety, and Compliance

  • Ensure full compliance with relevant laws, regulations, building codes, and safety standards.
  • Conduct regular risk assessments, safety inspections, and organize fire drills.
  • Maintain up-to-date records of inspections, permits, and certifications.

Budgeting & Reporting

  • Assist in developing and managing the facilities operating budget.
  • Track and control expenses while ensuring cost-effective operations.
  • Generate regular reports on maintenance activities, safety incidents, and improvement initiatives.

Tenant/Occupant Liaison

  • Serve as the primary contact for all facility-related tenant or occupant concerns.
  • Address service requests, complaints, and feedback in a timely and professional manner.

Asset & Inventory Management

  • Maintain accurate inventory of equipment, tools, and supplies.
  • Ensure proper tracking, maintenance, and lifecycle management of building assets.

Remuneration

As per the AGA salary scales.

Role Overview

The Superintendent Corporate Travel and Credit Card Programs is responsible for the execution and operational performance of the company’s corporate travel programs and credit card policies. This role implements travel policies set at the corporate level, ensuring regional vendor management, compliance enforcement, and credit card fraud mitigation. It also plays a critical role in travel expense tracking and budget monitoring, reporting directly to the Manager, Global Corporate Services.

Key Responsibilities:

  1. Travel Program Strategy & Development:
      1. Design and implement a global travel policy aligned with company goals and industry best practices.
      2. Ensure policy compliance, inclusivity, and continuous improvement of travel programs.
      3. Oversee the adoption of travel booking tools, expense management systems, and digital reporting solutions.
      4. Lead the implementation and global rollout of an integrated travel management system, ensuring seamless adoption across all business units.
  1. Vendor & Supplier Management:
      1. Negotiate and manage contracts with travel management companies (TMCs), airlines, hotels, and rental services.
      2. Maintain service-level agreements (SLAs) and conduct quarterly performance reviews with vendors.
      3. Foster long-term partnerships with strategic suppliers to enhance service quality and cost efficiency.
  1. Cost Management & Reporting:
      1. Develop and manage the corporate travel budget, ensuring cost control and financial efficiency.
      2. Identify cost-saving opportunities through analytics, supplier negotiations, and program optimisations.
      3. Prepare monthly and quarterly travel expenditure reports, tracking key performance indicators (KPIs).
      4. Oversee the corporate credit card program, including issuing policies, monitoring expenses, and ensuring policy compliance.
  1. Risk & Duty of Care:
      1. Implement a comprehensive travel risk management framework, ensuring employee safety on domestic and international trips.
      2. Monitor global security risks, geopolitical issues, and travel advisories, providing proactive support for travellers.
      3. Work with HR and Security teams to establish emergency response protocols and ensure compliance with duty-of-care obligations.
  1. Operational Management:
      1. Oversee day-to-day travel operations, ensuring streamlined booking, policy adherence, and efficient workflows.
      2. Drive adoption of online booking tools and travel technologies to enhance user experience.
      3. Engage with key internal stakeholders, including finance, procurement, and HR teams, to optimise program performance.
  1. Compliance & Audits:
      1. Ensure strict compliance with corporate travel policies, expense regulations, and global mobility requirements.
      2. Conduct regular audits of travel and expense processes to identify policy gaps and implement corrective actions.
      3. Ensure compliance with visa, immigration, and tax regulations for international business travel.
  1. Stakeholder Collaboration & Communication:
      1. Work closely with senior executives, IT, Finance, Legal, and Procurement teams to align travel initiatives with business objectives.
      2. Provide training and ongoing support to employees on travel policies, booking procedures, and credit card usage.
      3. Communicate policy updates, compliance changes, and emerging travel risks effectively across the organisation.
  1. Team Management & Development:
      1. Lead and mentor a team of travel administrators, fostering collaboration, performance excellence, and professional growth.
      2. Conduct regular team meetings, ensuring alignment with strategic objectives.
      3. Drive continuous learning and career development opportunities for team members.

Key Capabilities:

1.  Qualifications and Knowledge:

      1. Tertiary qualification in Business Administration, Travel Management, Hospitality, Finance or a related field.
      2. Certification in Travel Management (e.g. Certified Travel Counsellor (CTC), Global Travel Professional (GTP) would be advantageous.
      3. In-depth knowledge of travel policies, expense management systems and vendor contract negotiations.
      4. In-depth knowledge of visa, immigration and global mobility considerations.

2.  Experience:

      1. 5+ Years of Travel consultant/manager experience, preferably in a travel agency or large in-house corporate travel department.
      2. Experience in travel risk management, corporate mobility, and credit card program administration.
      3. Experience working with multi-national organisations and managing travel across diverse regions (Advantageous).

3. Competencies:

    1. Technical Competencies:
        1. Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
        2. Proficiency in corporate travel booking & expense management tools (e.g., Amadeus, Sabre).
        3. Experience with SAP, financial reporting, and cost control mechanisms.
        4. Familiarity with BI tools for travel analytics, performance tracking, and KPI reporting.
