Job Description

Co-ordinates and enhances the effectiveness of the General Manager: Internal Audit and Risk & Compliance by providing information, management support, effective diary management, meeting logistics services, event management, travel and accommodation arrangements as well as payment of invoices.

Key Responsibilities

  • Diary management, both business and personal.
  • Travel arrangements for the department, including flights, venues and accommodation.
  • Meeting logistics and reservations.
  • Meeting attendance, recording, taking minutes and preparing the action list thereafter.
  • Assist in planning and organising events.
  • Quarterly and monthly department report consolidation and quality checking where required.
  • Creation of various documents and presentations for the General Manager.
  • Database and information updates.
  • Answering and directing all calls for the GM, taking messages and resolving queries where appropriate.
  • General office administration duties such as emailing, filing, shredding of confidential documents, typing and printing.
  • Maintenance of all office equipment and logging of service requests where necessary.
  • Management of payment, procurement and finance processes for all invoices.
  • Reconciliation of invoices against service provider statements as well as travel/credit card reconciliations.
  • Arranging parking for the GM’s guests.
  • Management of stationery and refreshments for boardrooms.
  • Record keeping of minutes, agendas and all other legal documents.
  • Maintenance of registers, correspondence and confidentiality of all records.
  • Maintain records of all external and internal stakeholders with full contact details, updated regularly.
  • Ensure good governance and compliance with all NBCRFLI policies.

Job Requirements and Knowledge

  • Knowledge of the SAP System and MS Office package.
  • Knowledge of labour legislation including the POPI Act, Archives Act and OHS.
  • Ensure that all documentation is on file and that information is easily retrievable.

Qualifications & Experience

  • Matric qualification with a Diploma or NQF Level 6 qualification in Office Management and/or Secretarial or Administration.
  • Knowledge of filing documents and record keeping.
  • 3+ years relevant experience as a personal assistant, with at least 1 year at senior personal assistant level.
  • Knowledge of the LRA, BCEA and EEA will be an advantage.
