Executive Assistant to General Manager

Description:

  • Full administrative support including all confidential correspondence, local & international, reports, phone call screening, messages; facsimiles, scanning and emailing.
  • Direct liaison with senior executives on international & local level
  • Ensure GM is aware of key meetings, correspondence, and communication requirements daily
  • Screen calls ensuring that matters of importance reach the GM
  • Co-ordinate and control diaries daily as well as drawing up of company yearly planner with local and international events across all departments.
  • Prepare, submit, and record all business and personal medical claims to medical aid.
  • Reconcile credit card statements and FOREX spent and generate Travel & Expenditure claims and ensure these are distributed to respective department prior to cut off date.
  • Handle and personally follow up all customer complaints directed to MD’s office
  • Assist and advise with telephonic enquiries for new Africa franchisees.
  • Prepare and distribute agendas, minutes and reading material for management meetings, including graphics and charts
  • Arrange and book boardroom functions and catering monthly or as and when requested
  • Record all management leave and maintain an updated leave roster
  • Book and plan international & local travel, car hire, accommodation, visa requirements, new passports, medical assistance
  • Prepare and assist international visitors with detailed agendas, logistics, security, drivers, hotel accommodation & travel arrangements on a business level
  • Assist international visitors with holidays – i.e., safaris, hotels, dinners & logistics in Southern Africa on a personal level
  • Arrange venue, logistics, accommodation for management meetings held off site
  • Arrange and book boardroom functions and catering monthly or as and when requested
  • Manage and coordinate all logistics related to functions, meetings, events pertaining to the GM’s office

Requirements:

  • Completed matric
  • 3 – 5 years of experience as a Personal Assistant
  • Extensive dairy management experience
  • Experience in Liaising with internal departments, answering calls, and making travel arrangements
  • Discretion and trustworthiness: you will often be party of confidential information

Design Coordinator

Description:

Supporting the Design Manager in coordinating plan approval for all new restaurants and remodels to ensure they are designed and planned according to rigid KFC Africa Standards. Supporting design team in invigorating new design standards to improve the customer experience and managing the maintenance of the KFC Africa Development Library. By supporting the development and REX (Restaurant Operational Excellence) team in developing design standards/ site specific design layouts. 

  • Maintain updated project data base and pipeline for each site (franchise & equity). This would include storage and distribution of drawings, photographs, scoping reports, sign off documentation etc.
  • Support Development Managers and Franchisees to ensure that 90% of assets are on the remodel cycle.
  • Support the team in driving KFC Building Green Standards, including reporting thereof. 
  • Maintain and manage KFC Africa Development Library and ensure that brand standards and specifications are up to date and shared with internal and external stakeholders.
  • Manage relationships with KFC and their Suppliers.
  • Facilitate the communication between stakeholders to ensure all stakeholders are up to date with the latest design specifications and brand standards.
  • Support Africa Design Team in executing a design and asset strategy related to ‘building the big brand’ for KFC throughout Africa. When necessary, produce and provide site plans and internal layouts to support development team in delivering pipeline.
  • Support Design Team in producing generic designs including 3D visualizations and brand standard documentation.
  • Maintain a full knowledge of current planning, building and health codes, regulations and ordinances, and other associated standards and ensure these are reflected in current KFC design standards.
  • Post implementation review and recommendations, including preparation of detailed briefing and instructions to consultants, franchisees and other internal stakeholders.
  • Including In-restaurant training up to Leading a shift (LAS)

Requirements:

  • Architectural / Interior Architectural degree essential.  A Masters in Interior Architecture or Masters in Architecture is preferred.
  • 5 years working experience is essential.
  • A strong interest in retail design and creating great customer experiences.
  • Strong working knowledge of AutoCAD, Revit, Blue Beam, Corel Draw and Adobe Creative Suite (Photoshop and Indesign) and other 3D visualization software.
  • Strong interpersonal skills and proven ability to communicate effectively in both written and verbal as you will be engaging with The Development Team and Restaurant Operations Excellence Team (REX).

Digital Project Manager

Description:

The Digital Project Manager will be responsible for overseeing and managing digital initiatives and projects for KFC RoSSA. This role involves collaborating with various teams to ensure the successful delivery of digital projects, enhancing KFC’s digital presence, and driving digital adoption in the region. The Digital Project Manager will be a key contributor to KFC RoSSA’s digital transformation journey and customer experience enhancement.

Projects & Responsibilities include:

Working closely with the Head of Architecture and Delivery as well as the Digital Change Manager on new project initiatives, as well as ones, kicked off in flight

Understanding the solution designs in place or architected and gathering the right set of functional and non-functional requirements

Owning the product plan/roadmap oversight to ensure successful implementation in line with business requirements and needs for new products and initiatives

Working closely with vendor teams on Test Team oversight (STS Vendor) to ensure requirements are understood

Key Responsibilities:

1. Project Planning and Management:

   – Define project scope, objectives, and deliverables in collaboration with stakeholders.

   – Develop detailed project plans, including timelines, resource allocation, and budgeting.

   – Monitor and manage project progress, identifying and addressing any potential roadblocks or risks.

2. Cross-functional Collaboration:

   – Liaise with various teams to ensure seamless coordination and alignment on project objectives.

   – Facilitate communication between different departments to ensure a cohesive project execution.

3. Digital Initiatives:

   – Oversee the implementation of digital initiatives, such as website enhancements, mobile app updates, online ordering systems, and loyalty programs.

   – Ensure digital projects meet quality standards and are delivered within budget and timelines.

4. Vendor and Stakeholder Management:

   – Collaborate with external vendors and technology partners to ensure the successful delivery of digital projects.

   – Engage with internal stakeholders to understand business requirements and gather feedback on digital initiatives.

5. Agile Project Management:

   – Adopt agile methodologies to manage project development and delivery.

   – Organize and facilitate sprint planning, reviews, and retrospectives.

6. Budget and Resource Management:

   – Track project expenses and manage budgets effectively.

   – Allocate resources efficiently to ensure project success.

7. Risk Management:

   – Identify potential risks and issues related to digital projects and develop risk mitigation strategies.

   – Proactively address challenges and obstacles to ensure project continuity.

8. Data Analysis and Insights:

   – Utilize data analytics and user feedback to gain insights and inform project decision-making.

   – Measure project performance and success using relevant KPIs.

9. Documentation and Reporting:

   – Maintain comprehensive project documentation, including progress reports and status updates.

   – Prepare and present project updates to stakeholders and senior management.

Requirements:

Qualifications

  • Diploma, Bachelor’s or Master’s degree in Business, Computer Science, Marketing, or a related field.
  • Agile product owner certifications would be advantageous

Experience

  • At least 5 years of experience in digital project management, preferably in the quick-service restaurant (QSR) or retail industry.

Knowledge, Skills and Competencies

  • Strong understanding of digital technologies, web development, and mobile applications.
  • Proven track record of successfully managing and delivering complex digital projects on time and within budget.
  • Experience with agile project management methodologies and tools.
  • Excellent organisational and communication skills, with the ability to lead cross-functional teams and collaborate with diverse stakeholders.
  • Analytical mindset with the ability to use data to drive project decisions.
  • Proficiency in project management software and tools.
  • Adaptability to work in a fast-paced and dynamic environment.
  • Knowledge of the RoSSA region and its digital landscape is a plus.
