RCL FOODS is on the hunt for an Executive Secretary, who is able to drive success with precision and professionalism to join the Group Services Division. The role will report into the Chief HR Officer and will be based in Westville.

The purpose of the role is to perform secretarial support and administrative support functions to the x5 Directors.

Minimum Requirements

Secretarial or Office Administration Diploma.

5+ years secretarial related working experience essential.

Advanced Computer literacy: Microsoft Word, Excel, PowerPoint and Outlook, and advanced PowerPoint presentation certificate and experience.

Knowledge:

Office administration practices.
Document, presentation, report and database creation.
Interpersonal skills.
Strong verbal and written communication in English.
Office administration skills relating to client relations and liaison, function organisation, equipment management, logistical scheduling, telephone etiquette, minute taking, filing and record keeping.
The ability to perform detailed clerical and administrative work with accuracy and speed.

Duties & Responsibilities

Office Activity Scheduling and Planning:

Maintain the Director calendar; schedule executive and broader management and stakeholder meetings; and establish critical event priorities for scheduling purposes.
Interact internally (executive management and the broader functional management team) and externally (business, vendors, government representatives and regulators) to confirm arrangements and programmes.
Coordinate the booking of venues for meetings.
Coordinate the décor and layout, food service, invitations, functions and meetings.
Brief the Director on the status of events with respect to confirmation of the guest lists, agendas, schedules of events, speeches, etc.
Ensure universal standards of professionalism and confidentiality are maintained at all times and that decisions and actions taken on behalf of the Director are executed in accordance with company policy.
Executive Support to the Director:

Prepare correspondence on the Director’s behalf.
Commission work on the Director’s behalf.
Manage the Director’s electronic diary.
Prepare supporting reports.
Make conference bookings.
Administer vehicle logs, travel, cell-phone and medical claims and ensure submission to the appropriate section for payment, when necessary.
Organise travel and prepare complex travel itineraries for the Director.
Teamwork and Self-Management:

Take ownership and accountability for tasks and activities and demonstrate effective self-management in terms of planning and prioritising, and self-development.
Follow through to ensure that quality and productivity standards of work are consistently and accurately maintained.
Inform relevant parties in the event of tasks or deadlines not met, the potential risks thereof and provide appropriate resolution.
Support and drive the business core values.
Manage colleagues and client’s expectations and communicate appropriately.
Demonstrate willingness to help others and “go the extra mile” to meet team targets and objectives.

RCL FOODS is seeking a skilled NAM Assistant to join our Customer Team in Westville. The role will be reporting to the National Account Manager.

RCL FOODS is looking for a decisive, efficient and innovative individual with an FMCG background in Account Management support. The purpose of the role is to provide support to the National Account Manager in the smooth running of a portfolio of accounts and ensure that both internal and external customer needs are fully met.

Minimum Requirements

Degree or Diploma in Marketing and Business.

Valid code EB drivers’ license.

Minimum of 3 years of sales, account management or administration experience and in a similar role (data driven and analytics).

Knowledge and Skills:

Computer literacy.

Proficient in Excel, PowerPoint and Outlook.

Strong data skills and analytical ability.

Strong affinity with numbers.

Solid communication and interpersonal skills.

Excellent time management.

Ability to work under pressure.

Duties & Responsibilities

Support the NAM across core job responsibilities.

Develop strong relationships with internal stakeholders and customers.

Pricing management. Capturing pricing, maintaining trackers and managing day to day queries internally and with the customer.

Claims management. Resolving and processing all claims, investigating invalid claims, managing day to day queries internally and with the customer.

Run pre and post promo ROI’s, maintain promotional grids, track compliance.

Budget management. Day to day management of budgets, update and maintain trackers and systems.

Compile customer reviews, sales performance tracking and running innovation trackers.

Use various data platforms to analyze performance and deliver meaningful insights.

Operational excellence. Work closely with Vector and Ops team to drive operational excellence, trade initiatives and perfect store.

Business Planning. Support the NAM in the business planning process.

Complete listing documentation and own the listing process. Support the NAM in formulating innovation strategy and managing the execution.

Support the NAM through the demand planning and forecasting process. Provide relevant information and data required to build the forecast, including sales in, sales out, promo performance and stock on hand. Track performance against forecast.

Commercial excellence. Develop an understanding of profitability. Interpret and understand financial KPI’s.

General admin. Including expense claims, credit card recons, travel bookings.

Attend internal and customer meetings as required.
