Purpose of the Job
Responsible for reconciliations, preparing and capturing of invoices from suppliers and handling of internal and external queries

Job Responsibilities

  • Pre-audit and capturing (Park and Post) of creditor invoices including Tax invoice, funeral claims,
    settlements from risk management for authorisation approval including budget check and overrun,
    signature of all parties
  • Creation of vendor master records on SAP after checking for completeness and correctness.
  • Returning invoices that cannot be paid to the relevant Business Units and advice why they could not
    be processed and handling all queries in respect thereof.
  • Ensure the capturing of invoices, credit notes, and goods received notes also relevant supporting
    documentation
  • Handling and resolving internal and external queries
  • Assisting the supervisor to preparing and capturing of journals
  • Preparing of vendor reconciliation as per vendor statement of account
  • Matching of invoices to supporting documentation (Goods Received Note and/or Order)
  • Responding to ad hoc requests from supervisor/manager
  • Prepare general ledger reconciliations and follow up on outstanding items over benchmark.
  • Reversal of duplicate invoices
  • Submission of Key Performance Indicators (KPI’s) information relating to invoices received, invoices
    processed and queried to Supervisor
  • Assist in drawing documentation on special requests from forensic/ investigations
  • General administrative duties (via receipt and distribution of invoices, flight tickets, filing,
    photocopying, open mail, etc.)

Qualifications, Knowledge and Experience

Qualifications and experience

  • Diploma in Accounting or equivalent
  • National Diploma and bachelor’s degree in accounting or equivalent will be an added advantage
  • 5 years’ Banking experience in a similar position.
  • SAP Creditors module experience

Knowledge and understanding of:

  • Understanding of basic bookkeeping and accounting payable principles
  • Thorough knowledge of applicable statutory requirements, e.g. VAT Act and PFMA
  • Thorough understanding of accounts payable functions.

Purpose of the Job
An opportunity has arisen within Postbank for an Administrator to support the Variation Notice project (Card Distribution).

The purpose of the role is to provide full range of administrative services within the Variation Notice project but not limited to recruitment, On boarding, employee maintenance and termination for the duration of the project.


Job Responsibilities

Assist with assessment logistics and queries relating to assessment link and or venue logistics.

Arrange / co-ordinate meetings, record and capture minutes or action items and follow-up on issues on behalf of
management,
resolve and report back

Prepare agenda, reports, statistics and general correspondence

Gather and assembles data / necessary background information / management information which Management
require, analyse and report in required format

Design and prepare presentations/ reports/ statutory returns using operational knowledge to meet requirements

Handle all correspondence / enquiries / complaints (telephonically, electronic, paper), direct, co-ordinate and
escalate issues for resolution

Provide Administrative support for the Card Replacement project.

Co-ordinate weekly time sheets, overtime, and any other project related claims

Develop and maintain filing / retrieval system; co-ordinate filing / backups

Set up and manage document repository for the project

Co-ordinate all financial administration duties (staff refreshments, telephone, private calls, etc)

Ordering of Uniforms, Name tags, materials / stationary

Create, modify, maintain database on system module (E.g. MySAP)

Assistance with admin duties relating to advertisement of positions

Receiving guests (welcoming of management guests) etc

Capture and acknowledge supporting documents, acceptance of offer and any other supporting documents

Draw and maintain statistics on training interventions, absenteeism

General housekeeping

Assist with interview logistics, Venue, invitation of candidates, interview packs

Handling HR and general enquiries, verbally and writing

Assist with updating of employees’ data and files

Assist with preparation, distribution and gathering of feedback for various correspondences sent to candidates

Qualifications and Experience

  • Grade 12, Certificate (NQF Level 4
  • NQF Level 6 qualification in Administration or Related Qualification
  • 1 to 3 years administrative or related experience.
  • Sound computer literate (MS Office)

Knowledge and understanding of:

  • Excellent understanding of MS Word, Excel, Power Point
  • Should be fluent in English.

Purpose of the Job
The HR Officer will be responsible to provide an all-inclusive end-to-end HR generalist support aligned with the Project
needs. This role will furthermore be responsible for both onboarding and offboarding process of the project within
Postbank.

Job Responsibilities

  • Provide guidance and support on Human Resource best practice ensuring proactive delivery of HR processes and
    consistent
    measurement across the project
  • Support the project team in ensuring that the company remains fully compliant with changes to employment law
    and practices
    and that these practices are implemented consistently
  • Maintain accurate and up-to-date employee records
  • Ensure compliance to all relevant policies, procedures, and legislation
  • Prepare and submit various weekly and ad hoc reports
  • Prepare any necessary documentation for appointment and ensure necessary approvals
  • Ensure Proper employment contract management
  • Provide feedback to candidates where applicable
  • Engage with vetting service providers and follow-up on any outstanding vetting results from time to time
  • Ensure proper on-boarding of new employees, provide assistance to the new employees with on-boarding
    documents
  • Ensure the efficient management, control, compliance and reporting of the function/resources in accordance with
    the stipulations of the PFMA, banks Act, Postbank Act, BCEA, fraud prevention and risk management principles,
    legislation, corporate governance, Delegation of Powers, company policies, processes, regulations, etc.

Qualifications and Experience

  • Degree and/or related Advanced Diploma Human Resource Management/Behaviour Science (NQF 7).
  • At least 4 – 6 years’ experience in a similar position preferably in the banking industry

Knowledge and understanding of:

  • A good understanding of labour legislation, regulations, practices, processes and procedures
  • E-recruitment systems
