Job description

Preventative and Corrective Maintenance of Buildings, Sites and Related Infrastructure – Supervise the day-to-day maintenance activities at all sites in the designated region;  Supervise staff, vendors and sub-contractors in the execution of their duties in line with the Service Level Agreements (SLAs);  Supervise or perform (where minor action is required) routine preventative and corrective maintenance on ATNS buildings (local and remote sites) and related infrastructure in accordance with regulations, ATNS policies and procedures, station instructions, and supplier/service provider recommendations. These activities include carrying out and/or managing maintenance to all buildings;  Monitor and attend to maintenance requests and issues logged;  Develop station-specific operational maintenance plan to address all facility maintenance issues;  Procure vendor services in collaboration with the Facilities Manager and oversee their performance in respect of building maintenance activities;  Keep track of facilities vendor contracts to and advise Facilities Manager timeously prior to their expiration;  Provide input into the facilities maintenance budgeting process;  Monitor expenditure and ensure appropriate spending of funds available without compromising safety and quality; Assess and report to the Facilities Manager the state of buildings and sites pertaining to their compliance with safety, hygiene, and functionality requirements biannually;  Provide support in the Occupational Health and Safety compliance of buildings, services and equipment as required;  Draft reports on building systems and equipment proactively and as requested;  Draft reports on facilities management operations for the Facilities Manager on a monthly basis or when required.

Stakeholder Relations Management – Supervise sub-contractors, including gardening, cleaning, fire extinguisher, pest control, painters, electricians, and plumbers to ensure compliance with Service Level Agreements, safety, and regulations;  Maintain good client relations with service providers, contractors and internal ATNS clients;  Maintain good communication channels with landlords where ATNS is leasing.

Safety and Quality Assurance – Ensure that facilities and buildings comply with housekeeping rules and related regulations and policies;  Ensure general safety of buildings and sites;  Conduct quality assurance of maintenance services provided.

Adhoc Maintenance support – Oversee the provision of facilities management requirements during building projects, renovations, or refurbishment

Minimum requirements

Minimum Formal Qualifications:

  •  Grade 12 or equivalent is a requirement
  •  NQF 6 qualification in Facility Management and/or Construction Management is an added advantage
  • Registration with the South African Council for Project and Construction Management Professions (SACPCMP) will be an advantage
  • Valid RSA Driver’s License is a requirement 

Minimum Years of Experience:

  •  Minimum 5 – 6 years’ experience in Building and Facilities Management

Responsible to provide high level administrative support and assistance to the executive and to ensure the smooth and efficient running of the executive’s office.

Job description

Office Management: Act as first point of contact, representative and information source for the executive’s office, and respond to basic queries and requests for information and meetings. Receive and welcome guests and visitors courteously and efficiently. Screen all incoming calls of the executive and divert or take messages. Respond to queries where possible on behalf of the executive in their absence. Arrange meetings, prepare agendas when required, obtain inputs from all parties concerned, and ensure that all relevant documentation is in order. Manage and maintain the executive’s schedule with due consideration of the Corporate Calendar and relevant events, demonstrating an awareness and understanding of business priorities and challenges. This includes daily time management and consultation with relevant stakeholders to ensure optimisation of the executive’s time, availability and contribution. Maintain a proper system for handling the receipt and distribution of incoming and outgoing mail, emails, and publications.

Administration: Prepare and process documents and correspondence using appropriate MS Office packages within the required timelines for review and approval by the executive:

  • Distribute to relevant parties

Liaise with and engage relevant stakeholders courteously and competently in dealing with issues and queries, assisting with communication to and from the executive’s office, and managing incoming and outgoing instructions and responses to and from the executive. Follow executive office protocol at all times, i.e. the way things are done in terms of executive office management processes, practices, and in managing stakeholder relationships. Ensure that the ATNS corporate identity is accurately reflected in and around the executive’s office, i.e. in brochures, booklets, stationery, etc. Liaise and interface with relevant internal and external stakeholders such as suppliers, government officials, and other executives, conveying information accurately, competently and courteously whilst maintaining the required level of confidentiality and discretion.
