Job description

Key Performance Area:

  • Processing of Customs / TPT and TNPA Cargo Documents (Imports and Exports)
  • Compiling quotes and issuing purchase order as per approved customer quote
  • Keep principals updated daily and ensure deadlines are met
  • Liaise with all Service Providers, Principals and Shippers on an ongoing basis
  • Processing and submission of 3rd party documentation i.e. COO, SADC, DAFF, Port Health, State Vet etc.
  • Liasing with Other Government agencies to obtain cargo releases and meeting shipping line deadlines
  • Customs Tariffing
Minimum requirements

Qualifications/ Experience:

  • Matric / National Senior Certificate
  • A minimum of five years clearing & forwarding experience in a similar position – imports/exports (including cross border clearances, bonded cargo)
  • Relevant industry-related training and/or a relevant course in the maritime field an advantage
  • Experience working on Shipshape or similar clearing & forwarding system program is essential
  • Knowledge of the clearing & forwarding processes relevant to industry (Incoterms and the various shipping modes and procedures for different types of cargo-Bulk-Liquid/Dry, Break bulk, etc.)

Main Purpose of The Job:

Assist with implementing and maintaining of effective safety, health, environmental and quality management system to meet OHS Act and  ISO, SAMSA requirements within a Legal framework, Rail safety regulator, Municipal Bylaws and Nuclear regulator.

General responsibilities

  • Support with effective “Safety, Health, Environmental and Quality” (SHERQ) systems for operational, engineering, construction and administrative activities in his/her area of responsibility.

SHERQ

  • Assist with incident and accident investigation to determine the root cause, recommend corrective action and ensure correct records are completed, submitted and retained.

Contractor Management 

  • Attend pre-planning and pre-shut project meetings.
  • Draw up a safety specification as specific to the Contractors work as per the OHS Act.
  • Check the Contractors safety file against the safety specification to ensure all is in order before GMR.2 Approves the safety file.
  •  Issue the contractor with the 37.2 Agreement of Mandatory, Letter of Appointment and Annexure G for the approval of the safety file.
  • Conduct site inspection on the Contractors work area to ensure compliance and to ensure that they comply to Grindrod rules and they work according to their Safety plan as stipulated in their safety file.
  • Issuing of NCRs for non-compliance and approving the Contractors action plan and close out of the NCR.
  • Check the working safety files of all contractors on site to ensure daily, weekly, and monthly checklists/registers are done and documents are up to date.
  • Conduct monthly audits on Contractors as per OHS Act.
  • Managing the HSEC Online.

General Tasks

  • Undertake all duties and responsibilities in accordance with Company policies and procedures.
  • Ensure that the Company Health, Safety, Environment & Quality policy and procedures are observed as well as all relevant safety and the provisions of the relevant Health and Safety & Environmental Legislation.
  • Ensure that legal requirements are updated and communicated to those that have a need to know.
  • Reporting to Line Manager SHERQ & National SHERQ Manager any deviations noticed.

  • Internal Audit Plan Development: 
  • Identify and evaluate the organisation’s risk areas and provides key input to the development of the annual audit plan.

  • Internal Financial Controls (IFC) Framework Developments:
    Understanding and documenting business processes and controls. Take initiative to facilitate IFC workshops where necessary and creation of control frameworks.
  • Risk Based Audits (RBA) – Systems and Processes Understanding:
    Understanding and documenting business systems and processes (using narrative and/or flowcharting techniques).
  • Audit Execution:
