The Office of the Ombud for Financial Services Providers (FAIS Ombud) was established by the Financial Advisory and Intermediary Services Act, 37 of 2002 (FAIS Act). Job Description

Job Purpose

To provide full administrative support to the Supply Chain Department team and to co-ordinate the end-to-end supply chain processes for the FAIS Ombud.

Key Performance Areas:

  • Liaise with suppliers and request quotations.
  • Assist with the selection of appropriate suppliers, contractors and/or consultants, to promote good procurement practice with due regard to sustainability, ethical purchasing standards, legislative and policy requirements.
  • Procure goods and services in accordance with the Supply Chain Management policies and National Treasury prescripts, Public Finance Management Act, Preferential Procurement Regulations, and other public procurement regulations.
  • Prepare purchase orders and ensure that they are approved before being issued.
  • Assist with tender specification and evaluation processes.
  • Liaise with the relevant internal stakeholders to ensure the efficient running of the operation and delivery of key business objectives.
  • Proactively communicate any issues that arise relating to procurement processes.
  • Build strong working relationships with all internal and external stakeholders.
  • Maintain and update the registers applicable to the Supply Chain Management department namely, contract and deviation registers.
Job Requirements
  • National Senior Certificate
  • Diploma (NQF 6) in Supply Chain Management or equivalent
  • A minimum of 1 year of working experience in procurement space.
  • Understanding of Supply Chain processes, policies, procedures, practices, and legislation.
  • Knowledge of Public Finance Management Act (PFMA) and Treasury Regulations.

Job Description

Job Purpose

To drive the resolution of complaints received by the FAIS Ombud within a target driven environment on complaints received by the public against financial service providers and to move same towards a resolution in a procedurally fair, informal, economical, and expeditious manner.

Key Performance Areas:

  • Analyse complaints with various levels of complexity, draw correct legal conclusions, and establish a clear and focused direction in the resolution of complaints.
  • Refer complaints ready for mediation and conciliation to the Senior Adjudicator and Assistant Ombud.
  • Submit draft recommendation and determination to the Senior Adjudicator and Assistant Ombud within set timelines to resolve complaints.
  • Prepare records in respect of determination referred to the tribunal and application to review before the high court.
  • Liaise directly with various internal and external stakeholders in the pursuit of resolving complaints.
  • Research various areas of the law applicable to the FAIS Ombud and provide sound legal options.
  • Attend to Property Syndication matters.
Job Requirements

Matric certificate, LLB or BProc Degree, admission as an attorney or advocate, minimum 4 years post admission, minimum 2 years’ experience in the financial industry, minimum 2 – 3 years drafting experience. Sound report writing skills and ability to make market conduct arguments for the financial services industry, banking industry, insurance industry, investments, forensics, actuarial and audit fields.

Job Description

Job Purpose

To provide administrative and client care support in relation to the effective registration and processing of all complaints. The person appointed to this position will report to the Case Admin Manager.

Key Performance Areas:

  • Register new complaints.
  • Assess whether a complaint falls within jurisdiction in terms of the FAIS Act or the Financial Services Ombuds Scheme Act 37 of 2004 (FSOS).
  • Assist and guide complainants in whether their complaint falls within the jurisdiction of the FAIS Act or FSOS Act.
  • Extract the essence of the complaint from available information provided and request additional information where required.
  • Refer complaints that do not fall within the jurisdiction of the FAIS Act and FSOS Act to other relevant entities.
  • Liaise with complainants and financial service providers.
Job Requirements
  • Matric certificate or equivalent.
  • National Diploma (NQF 6) in Business Administration or related fields.
  • A minimum of 2–3 years administrative experience in a similar environment.
  • An understanding of the legal environment in which the FAIS Ombud’s Office operates, including a good understanding of the FAIS Act, 37 of 2002 and its subordinate legislation.
  • Knowledge of the Microsoft CRM program (or similar) would be an advantage.

Job Description

Job Purpose:

  • To maintain the physical space of the office by ensuring a safe, clean, and functional environment, attending to all Human Capital coordinating and administrative support requirements, facilities, and health and safety requirements of the office, including delivery (driving) assignments as and when requested

Key Performance Areas:

  • Facilities Management and Office Maintenance.
  • Oversee all facilities and office maintenance activities, ensuring that building and occupational standards are met and arranging repairs when needed.
  • Adhere to the facilities management schedule (e.g., servicing air conditioners, scheduled refurbishments, inventory, etc.).
  • Coordinate procurement activities per SCM requirements, ensuring that departmental heads are engaged in approving and processing work orders.
  • In collaboration with the GRC Office, design and implement effective Health, Safety, and Security procedures for the Office.
  • Represent the Support function in the BCM Committee and disaster recovery engagements.
  • Attend to compliance audits and measurements.
  • Provide safe, prompt, and efficient driving and messenger services to the office.
  • Ensure the office vehicle adheres to service maintenance intervals, repairs are attended to promptly, and it is always clean.
  • Provide general coordination and administrative support for recruitment, appointments, terminations, leave and benefits administration, employee wellness, performance management, training, and development.
  • Collaborate with the HC team to coordinate office events and activities to ensure effective execution.

Job Requirements
  • Matric certificate or equivalent.
  • A valid Code 8/10 driver’s license.
  • Diploma or certificate in Facilities Management, Human Resources Management, or a related field.
  • Certification in Occupational Health & Safety will be an added advantage.
  • Minimum of 2-4 years experience in Facilities Management and, or Human Capital Coordination.
