Key Account Specialist – CCOGP

Context & Environment

Activities

An incumbent of this role would possess the following: 

  • Appropriate tertiary qualification in sales / business management or administration
  • 4-6 years marketing and sales management experience in the oil industry or a comparable industry,
  • Exposure to analyzing and interpreting financial statements / results either in studies or work experience
  • Interacting with employees, customers, and government / parastatal organizations
  • Good sales management, negotiation and conflict resolution skills; good analytical and presentation skillsGood knowledge and understanding of business and legal basics
  • Good knowledge and application of people management and interpersonal skills
  • Good knowledge and application of TMSA’s Code of Conduct / Ethics and Policies and Procedures
  • Computer literacy is a requirement (Harmony System (SAP), and SALSA

The jobholder is accountable for enhancing the performance and improving the presence of Total in the Transport and Food channels of trade by providing sound financial and operational solutions tailored to the needs of customers so as to ensure sustainable increase in the market share and optimal profitability for TSA.

The jobholder is responsible for controlling the GT marketing activities of Total in defined sales and achieve optimal sales and sustainable profitability, while adhering to all Total norms and HSEQ standards.

Candidate Profile

The Key Accounts Specialist is the point of contact for the customer and handles the distribution of the brand/products or set of brands/products within assigned outlets. The sales representative is responsible for building and maintaining strong professional relationships with clients, ensuring visibility, achievement of sales targets and delivery of high-quality customer service to the existing and potential clients. He/ she is also responsible for collection of receivables and is the key source of information for movement of goods/brand and as one of the responsibilities is to bring back market feedback. Main Responsibilities

? To ensure sales budgets are achieved for fuels and lubricants, and give input during budgeting process?

? To nurture, maintain and manage good customer business relationships in the mining channel of trade?

? To effectively manage pricing, rebates and discount levels and ensure all costing associated with customers is accounted for?

? To ensure that under recoveries (e.g. transport, product returns, maintenance costs, etc.) are collected?

? To control the level of gross margin after variable expense (GMVE) per customer?

? To manage customer credit (resolve errors, perform reconciliation), and ensure customer service delivery?

? To conduct variance analysis / business reviews per customer, compare to budget and take corrective action where appropriate?

? To ensure proper stock management and sales forecasting?

? To monitor and control Fuel Management System suppliers and other suppliers to ensure that costs are managed?

? To compile monthly business review and KPI’s, including asset management?

? To effectively control contracts and administration to ensure contractual rights and obligations are honored?

Asset & Stock Management

? Manage the Area’s operating expenditure and working capital through regular budget monitoring to ensure a reduction in costs to improve the profitability of the Company.?

? To ensure that all regulatory and TOTAL South Africa requirements in respect of handling, storing, and distributing our products are adhered to strictly and submissions are maintained.?

GT Strategy

? To identify and collaborate on leads for GT business opportunities with the Regional Sales Manager?

? To implement and execute promotions and marketing strategies / activities as directed to ensure marketing objectives are reached?

? To collect and report market intelligence, competitor activities, pricing strategies etc.?

? To investigate and initiate / propose opportunities for investments in the sales area?

? To assist in controlling capital expenditure, commitments, and liquidations in the sales area?

? Participate in developing sales and marketing strategies?

HSEQ:

? Manage the HSEQ and security of the Area to ensure constant adherence and compliance to the Company’s standards, any local?by-laws and government legislation. This to minimize all risk pertaining to the company’s assets and stock, be an excellent corporate?citizen, remain operational and ensure the safety of all people.?

? To effectively manage and minimize HSE risk within area of responsibility by ensuring: Compliance with all HSE Policies, rules, guideline and legal requirements, Promotion of safe working environment and positively contributing to the company HSE KPIs and risk reduction strategies That HSE competency requirements are identified & enforced within area of responsibility?

People

? To assist in developing, coaching and mentoring trainees / new sales staff to promote a positive working environment which will attract and retain skilled staff and increase productivity

HSSE SYSTEMS & QUALITY PRACTITIONER

Activities

  • To manage and ensure standardization of Health, Safety, Environmental and Quality systems for TMSA, by ensuring compliance with all the relevant HSSE company norms, policies and procedure so as to minimise the risk and liability to the organization as a result of the installations activities and processes.
  • To implement and maintain HSE management systems
  • To manage and maintain the HSE digital roadmap
  • To ensure compliance to the procure to pay process
  • Key Performance Areas: Quality, Safety and Environmental management system compliance, System utilization

Candidate Profile

The HSSE Sytems & Quality Practitioner would carry out the following skills and experience: 

  • Management and Improvement of HSSE System
  • Contribute to the maintenance and continuous improvement of the affiliate’s One Maestro and Integrated ISO (45001, 14001) management system.
  • Continuous update of all One Maestro and ISO related requirements, its applicability to TMSA and its subsidiaries/branches and implementation monitoring.
  • Ensure constant adherence and compliance to the company’s HSSE (Health, Safety, Sustainability and Environmental) standards, any local by-laws and government legislation thereby minimizing all risk pertaining to the company’s assets and ensuring the safety of all people
  • Support the HSSE Systems and Quality Specialist on communicating HSSE Return on Experience (REX) and coordination of the Committee on Return on Experience (COREX).
  • To facilitate all HSSE Communication Programs and Initiatives such as Safety Golden Rules and KPIs.
  • Provide support to all other HSSE Disciplines with regards to the various initiates and projects in each portfolio.
  • Carry out any other lawful and reasonable instruction by the HSSE Systems and Quality Specialist, ELHS manager and GM: HSSE.
  • To escalate identified high risk conditions and follow up on the actions required to remedy the situation.
  • To oversee the Procure to pay process, budgets and provision movements for the division.
  • Support the Systems and Quality Specialist in implementation of the Office 365 tools and apps as part of the system improvement
  • To act as the Compliance officer for the Division.
  • To monitor and evaluate HSSE system gaps and performance from quarterly system evaluations and audits
  • To support the Systems and Quality Specialists in assessment of local regulation at corporate level in line with processes and procedures
  • To effectively manage and minimize HSE risk within area of responsibility by ensuring:

Audits and reporting

  • To ensure that business management systems are in place to satisfy the requirements of the Group preferred HSSE Management

System in line with the following:

  • Scheduling of HSSE internal and external audits (management systems and legal compliance).
  • Follow through on all corporate internal and external HSSE audit findings.
  • Management of non-conformances and corrective actions regarding HSSE audits and assessments conducted.
  • Conduct trend analysis on HSSE system non-compliances and implement corrective actions in line with the IMS requirements and One Maestro.
  • Support the Systems and Quality Specialist on management of the HSSE electronic management systems such as Intelex, One Synergi, Oscar, Progress Card and Ariscu.
  • Develop, review and maintain HSSE policies, procedures, templates and protocols in line with requirements of the ISO 9001 and business.
  • Management of all HSSE related documents in terms of document control.
  • Ensure that HSSE practitioners/managers at operation sites and subsidiaries/branches have access to the latest HSSE management system documents.
  • Owns and coordinate various HSSE reporting programs.

Advising and training

  • Advice and train within area of responsibility on the development, execution and effectiveness of the HSE Management systems.
  • Training, mentoring and coaching HSSE Practitioners based on sites on the HSSE Systems
  • Develop and present awareness training on HSE issues when required.

Activities

Accounting and Reporting

•    Act as a point of contact for the external Annual financial statements (AFS) preparers for TMSA and all subsidiaries. 

•    Coordinate the status update meetings with the AFS preparers, external auditors and internal stakeholders 

•    Assist to manage and track the information request system and track submissions   

•    Manage submission of all Produced by Client requests from the AFS preparers

•    Assist with rebilling invoices  

•    To compile, analyse and capture journal entries on Docuware.

•    Assist timeous re-invoicing of HR costs.

•    To prepare and provide information for audit (internal and external) requests and liaise with auditors on queries.

•    Attending to adhoc requests from management.

Business Development

•    Participate in current and future information technology projects that have impact on the financial statements of the group plus business projects.

HSEQ

Candidate Profile

Qualifications:

The main purpose of this position is to manage the Projects ED obligations and ensure ED compliance during all phases of the project:

  • Design and Implement Economic Development strategies that will be applied at the various stages of a project cycle (i.e. during the development, construction and operations.)

  • 2 – 5 years’ experience in all elements of Economic Development as per REIPPPP 
  • Good knowledge of Broad-based Black Economic Empowerment (BBBEE)
  • National Diploma in Project Management/Social Sciences/Development studies/any equivalent NQF level are advantages 
  • Fluent in English and ability to speak/read/write one additional language
