Aftermarket administration
- Ensure that deposit slips and daily schedules balance and are forwarded to Head Office on daily basis.
- Queries are promptly solved/referred to Head Office.
- Ensure that all documentation are sent to Head Office with necessary authorizations.
- Payment to be made immediately on any cash sales.
- Ensure Aftermarket Manager approves any credits.
Sales
- Assist sales executives with administration ie. Release notes followed up. Ensure paperwork is up to standard as per Volvo requirements.
Customer Focus
- Take action to resolve customer account queries.
- Take action to meet customer needs.
- Take action to address customer concerns.

Customer Service Specialist

What you will do
The main purpose of the job is to oversee and manage the in and outbound flow of goods to and from the Regional Distribution Centre (RDC), which includes Central warehouse activities and all related service providers for all Business Area’s (BA’s). This function complement’s the entire interface between the RDC, BA’s, Dealers and Central Warehouses on urgently required parts.
Reporting: Customer Service Centre Manager.
Job Objectives:
- To ensure and manage good Customer relations.
- Serve as the first point of contact for dealers via support mailboxes, telephone, and Argus on dealer queries.
- Interface with and respond to all dealer queries in a timely and professional manner.
- Follow up on all dealer and supplier discrepancies, including credit notes and processing issues.
- Analyze and act on inbound lead time follow-ups, coordinate with Customs & Freight Controller for Estimate Time of Arrival (ETAs).
- Liaise with Vehicle off Road (VOR) Procurers/Helpdesks for VOR orders and manage order Class 1 and 2 Back Orders with the central warehouse.
- To follow up with Warehouse on all orders, collections, delivery issues, nil picks, delays, discrepancies and Transport delays etc.
- Ensure timeous placement of orders to meet central warehouse deadlines.
- Monitor and report on service provider performance against SOPs.
- Follow up and support dealer discrepancies (Processing, lead times, credit notes and outstanding discrepancies)
- Coordinate and handle order entries and special demand orders (unnumbered routines, chassis-unique items).
- Contribute to continuous improvement initiatives within the Customer Service Centre.
- Ensure continuity of daily operations when acting as back-up within the Customer Service Centre.
- Coordinate and communicate with internal departments to resolve cross-functional queries.
- Evaluate dealer survey results and follow up on feedback to enhance service delivery.
- Manage BA and Dealer ETA reports, ensuring accuracy and follow-through.
- Handle dealer returns, core returns, and buybacks efficiently.
- Quote and process cab orders accurately.
- Communicate supplier rejections and coordinate returns or corrective actions.
- Maintain and improve customer relations through continuous improvement, solution-oriented support, activities and initiatives using the Volvo Performance System (VPS) methodology.

The main purpose of the role is to pursue, secure and maintain customers in the purchase of total life cycle support from Volvo Penta, securing the above purpose with sound parts inventory and price management principles.
Reporting: This position reports to Service Market Manager.
Job Objectives
Strategic:
- To increase the B2B (Business to Business) sales including service contracts, meet or exceeding parts sales annual budgets and self-initiated special offers through Dealers & OEMs.
- Assist the Volvo Penta Dealer Network in maintaining an efficient and relevant Network in compliance with the Volvo Penta Dealer Operating Standard applicable.
- Manage and maintain an efficient Parts Inventory and Pricing strategy in conjunction with RDC (Regional Distribution Centre) through active liaison, both local and regional, in line with Business plan objectives.
Operational:
- To ensure that Technical problems are resolved within set time frames.
- Act as a first line contact and assist the Volvo Penta Dealer Network in maintaining an efficient and relevant Network.
- To effectively liaise between Volvo Penta industrial and marine business units, Volvo Group SA Head Office and the Dealer Network to ensure delivery on customer expectation.
- Drive and monitor the development of dealers & OEMs, supporting them with necessary initiatives (competence, audits, surveys, etc) to ensure sustainable growth and performance with business plan objectives.
- Lead and support the Dealers/ OEMs to achieve profitability as per Business plan Objectives.
- Sell benefits of genuine parts and explain the technical differences between products vs. solutions.
- Key Account Management (Fleet Customers) – Drive Push Pull Activity with Dealers.
- Conduct customer engagement activities in collaboration with Dealers & OEMs.
- Conduct regular visits to dealer network sites and fleet customers where required.
- Monthly Performance review with RDC to ensure desired parts availability as per KPI target in order to achieve customer satisfaction.
- Develop and Drive aftersales sales campaigns.Deliver on the Key performance areas and strategic objectives, translating business objectives into actions.
- Adhere to Volvo Penta processes and seek improvement of same through a methodical approach to find solutions to ensure business is profitable.
- Collate, analyse and report information to management.

What you will do
The role of Technical Customer Support Manager (TCSM) will be to manage key customer technical discussions related to customer satisfaction.
This position will be a pivotal point of contact for key customers as determined by Volvo Trucks SA to ensure strengthened relationships and partnerships with all stakeholders. The TCSM will implement processes, monitor data and provide reports linked to the customers vehicles and the technical and quality issues related to it and limited to.
Reporting: The role will report directly to the Senior Manager Technical & Warranty.
Job Objectives:
- Act as a liaison between the Volvo Trucks SA (Servicemarket & Retail) and the Key Customers.
- Providing solutions for the customer that will improve the customer experience and build long term relationships with the customer.
- Facilitate and expedite technical queries as determined by the customer to the relevant Dealers or Departmental Managers.
- Continuous Customer Relationship management with regular face to face visits and where necessary with the use of online meetings.
- To keep the CRM tool monitoring tool up to date related to the technical aspects of the relationship.
- Analysing and distributing customer queries to the relevant departmental Manager’s for resolution and ensuring that they are concluded /resolved within a reasonable timeframe.
- Provide all feedback in the best interest of the Volvo Trucks SA whether positive or negative in a professional manner.
- Facilitate and coordinate key account customer technical meetings using a standard pre-determined agenda.
- Schedule the key account meetings in advance for the upcoming year.
- Complete minutes from Key Customer meetings and share within 7 day to the necessary parties, ensuring that copies are available in a SharePoint.
- Track the completed minutes to ensure that the necessary actions with feedback has been taken by all parties.
- To provide the highest level of service to all customers.
- Monitor and ensure that correct levels of Aftersales support is provided to the key customers.
- To contribute and be involved with scheduled customer meetings regionally wherever and whenever necessary in order to present a unified Volvo Offer to the customers.
- Advise and provide guidance to customer on systems (e.g. Volvo Connect, Services) and processes (e.g. VOSP).
- Participate in the monthly Dealer Quality Meetings (DQM).
- Support the truck sales organisation where necessary.
- Participate in seminars/meetings when required.
- Collaborate with sales team to identify and grow opportunities within territory.
- Assist with challenging client requests or issue escalations as needed.
- Develop trusted advisor relationships with key accounts, customer stakeholders.
- Ensure the timely and successful delivery of our solutions according to customer needs and objectives.

Qualification & Job Experience:
- Mechanical Engineering diploma or similar business degree/ Related Technical Qualification.
- Minimum 5 years industry experience preferably from within a commercial vehicle environment.
