POLYVALENT CONSULAR VISA ASSISTANT – Replacement contract (sick leave)

Tasks
Visa application processing: review, assess and process visa applications, ensuring
compliance with visa regulations.


Document verification: authenticate submitted documents as needed, ensuring all
requirements are met.


Pre-analysis and initial assessment: prepare visa applications, provide preliminary
assessment based on document review and applicant interviews.


Applicant guidance and interviews: advise, guide and conduct interviews with applicants,
including cases of marriages of convenience, au pairs etc.


Communication and support:
provide timely updates to applicants regarding the outcome of
their visa applications and respond to inquiries from Belgian and foreign citizens, honorary
consulates and other stakeholders.


File management: register files in the designated software systems, ensuring all records are
up-to-date and properly archived in accordance with the relevant instructions.


Revenue management: monitor and manage consular revenue, ensuring correct financial
procedures are followed.

Do you have what it takes?
General behavioral skills: You can work in a team, flexible, service-oriented, reliable,
trustworthy, loyal, a quick learner, dynamic, resourceful with an interest in consular affairs,
capable of developing yourself, show respect and value the importance of discretion and
confidentiality. Having a keen eye for detail and a very strong sense of responsibility will be
highly appreciated.


Technical competences: When it comes to technical competences you are required to know
one of the national languages of Belgium (Dutch or French) and English. Your written and oral
communication should be excellent as well as your organizational skills. You have strong IT
skills, in particular Microsoft Word, Excel, and Outlook.

Selection procedure
To assess the above-mentioned competences, you will be asked to do a written test and oral
interview. The start date for the position will be between 1/05/2026 and 15/05/2026.

We offer
➢a full-time contract until 30 September, with possible extension.
➢ Working schedule: full-time, 7,5 hours per day, five days a week.
➢ Working hours: 08:00 or 08:30 to 16:00 or 16:30.
➢ A competitive salary that is commensurate with the responsibilities.
➢ Local social security.
➢ Holiday arrangements: 11 leave days.
