Bookkeeper

Position Bookkeeper
Job Purpose
The Bookkeeper will be responsible for maintaining accurate financial records, ensuring timely processing of transactions, and supporting financial reporting and compliance requirements. The role requires strong attention to detail, adherence to deadlines, and the ability to support management with reliable financial information to support financial integrity, compliance, and operational efficiency.

Key Responsibilities
Weekly Duties
Process and update the cash book, Accounts Payable & Accounts Receivable and perform bank reconciliations on the accounting system
Process journal entries if required by Finance Management
Generate invoices, reconciliations, and statements
Perform supplier reconciliations (based on supplier volume)
Review and understand operational processes and procedures
Understand VAT calculations and ensure compliance with VAT requirements (based on VAT category)
Ensure compliance with IFRS, SARS VAT regulations, and relevant South African legislation
Reconciliation of accounts
Employee expense and business trip liquidations
Inventory & Parts Accounting
Assist with cycle counts and annual stock takes
Record stock transactions, ensuring accuracy and completeness
Update Inventory Listing and Monthly CSV Folder
Capture vehicle sales and inventory purchases on the Accounting System
Warranty and Service Dealer Payout Reconciliation
Update Dealers Parts Account reconciliations and statements manually

Purpose
To support the implementation and execution of Education and Training programmes.

Key Outputs
Support Project Achiever Programme
Process PA applications for acceptance or rejection
Provide information and advice to prospective candidates about the programme
Attend to all queries on the Project Achiever mailbox
Submit invoices to FASSET for payment
Follow up on facilitator pending invoices
Update and provide access to Facilitators and Candidates on the Learner Management System (LMS)
Upload assessments and all notifications to candidates
Set up all meetings for the programme
Manage PA candidate attendance and follow up where required
Analyse trends in PA candidate drop-out
Manage all Zoom class sessions
Coordinate and assign rights to facilitators and markers during class
Coordinate PA class breakaway sessions
Monitor class attendance and issue notices where required
Handle all programme-related queries
Handle invoicing for candidates
Manage excessive absenteeism for PA classes in line with candidate terms and conditions

Knowledge Requirements
Practical and technical understanding of legislative compliance requirements within the education and professional environment

To represent SAIPA and raise its profile with members and key external stakeholders
To support District/District Committees and deliver SAIPA strategy locally
To support the implementation of member services at District level to improve service to members
To support the implementation of member services at District level to improve communications with members
To support the delivery of a programme of activity, including communications, events and seminars/webinars, to members and external stakeholders across the district
To support the running of national projects in line with project plans and expected deliverables
Key Responsibilities
Represent SAIPA and Raise Its Profile
Represent members via all available communication channels
Engage with key external stakeholders via National and District Committee guidance/requirements
Deliver SAIPA strategy locally with full understanding of the District and District Committees “RAC” and “DAC” as well as input to “RADAC” agenda
Support National Member Services
Provide support to the implementation of national member services initiatives at District level to improve service delivery
Distribute relevant information to members
Assist with all functional areas as instructed by the National Office, including Marketing, Finance, IT, Operations, ETM and TSD

Strong communication skills (written, digital, verbal and creative)
Relationship management and budget management skills
Experience in developing and sustaining excellent stakeholder relationships
Experience in raising sponsorships and working with sponsors/partners during event preparation
CRM or membership system experience
Knowledge Requirements
