Principal Accountabilities

Academic Delivery (40%)

  • Keeps abreast of future focussed educational trends, academics intentionally incorporating them into teaching and learning practices aligned with Crawford Pillars.
  • Implements the school curriculum and other teaching strategies in planning for challenging, engaging, inspiring, relevant, and differentiated learning locally and globally.
  • Plans, prepares, and delivers lesson to meet the needs of individuals or groups of students to enable them to progress incrementally as part of personalised learning journey.
  • Enriches teaching and learning by including frequent use of technology and additional learning resources as well as engaging and stimulating teaching practices.
  • Sets tasks which challenge students, are time appropriate and sustain high levels of interest.
  • Prepares and/or ensures classrooms are appropriately set up in accordance with lesson plans and 21ST Century learning practices aligned with future focused skills.
  • Ensures the effective and efficient deployment of classroom technology to enhance the teaching and learning taking place. Enriches the curriculum and teaching programme by making lessons more exciting through the usage of exciting and stimulating teaching practices and appropriate learning aids including technology.
  • Identifies relevant enrichment and extension opportunities to support set curriculum content and creatively deliver it.
  • Provides meaningful opportunities to develop skills to support content and application in relation to mindfulness and critical thinking and discernment.
  • Collaborates, plans, liaises, and reflects with different members of the learning community as well as other teachers in the grade.
  • Provides academic support to individuals or small groups of students as identified through ongoing formative and summative assessments. This support should be available to students until 16h00 or before school.
  • Shows an ongoing commitment to “lifelong learning” and remains informed on current strategies, relevant practice, and appropriate pedagogical approaches, and is readily available to attend appropriate development/training.

Academic Assessment and Reporting (20%)

  • Assesses and records students’ progress continuously and systematically and keeps records up to date in mark book/personal file, STASY, forming an in depth knowledge of each student in the class.
  • Meets academic standards as defined by Central Academics and Crawford International Academic strategy
  • Assesses and monitors student performance and progress, using data driven decision making and defines next steps in the personalised learning journey. Integrates this information into future planning
  • Undertakes, teaching and learning assessment of students as required by Academics Department as well as Crawford International assessment expectations.
  • Provides feedback and reports for parents, Principals and/or Academics Department throughout the year (STASY, Inquiry Units, Other)
  • Participates in the moderation and standardisation process, of formal assessments. Participate in team marking, clusters and IEB moderation as required.

Student Behaviour Management (15%)

  • Manages student behaviour in the classroom by establishing rules, essential agreements, and procedures as expected behaviours.
  • Maintains good philosophy of Crawfordology to guide expectations of behaviour.
  • Promotes personal, social, physical, and emotional well-being of individual students, groups of students, through mentorship program.
  • Provides guidance and advice to students and parents.
  • Identifies students who may have barriers to learning and inform the appropriate people to initiate the next steps to support individual progress.

School Brand Ambassadorship (15%)

  • Knows and demonstrates the Crawford International mission statement and embracing Crawford International DNA.
  • Acts as a role model with regard to work ethic, attitude and professionalism, Embracing the Crawford DNA
  • Assists with additional offerings, duties and extra murals, assemblies and other events taking place across Crawford International. Attends and supports a range of school activities and events.
  • Promotes the good reputation of the school and Brand both internally and externally and is readily available to market the school at Open Days, exhibitions etc.
  • Contributes to the professional development of new teachers and student teachers/ interns as required.

  • Assists with plans for excursions by obtaining all the relevant approvals and liaises with service providers, where required.

  • Where applicable, conduct inventory activities of consumables and equipment to monitor usage and ensure availability as required. Repair and replacement
  • Advises Principal and management team if substitution is required and assists with substitution as requested.
  • Follows the annual and termly plans and advises if adjustments are required.
  • Adhere to all processes and procedures pertaining to the efficient and effective operation of the school policies

Qualification

  • Bachelor’s degree (NQF 7) and PGCE/HDE or B.Education [FET/GET] with specialization in the subjects to be taught at the correct level

  • 3-5 years Teaching Experience.
  • 3-5 years Subject Specialization

  • Applies medical support , as a first-aid trained staff member, as prescribed or as/ when the medical condition/ situation requires action ensuring that any incidents are duly reported to Management and parents via the stipulated channels.
  • Observes and scrutinises the classroom and playing areas for dangerous / hazardous objects or circumstances, removes/ tapes off hazards where possible and immediately reports safety issues to the school leadership team.

Job Description

OVERALL PURPOSE OF THE JOB:

The Receptionist is the first internal point of face-to-face or telephonic contact for the campus and is responsible for welcoming guests and greeting people who visit the campus and directing them appropriately. The Receptionist is also responsible for ensuring that the reception area is well maintained and for co-ordinating the front-desk activities including but not limited to, distributing correspondence promptly, operating the switchboard and service desk efficiently and redirecting phone calls to the appropriate staff member or taking and delivering messages promptly when staff members are unavailable.

RESPONSIBILITIES:

  1. CAMPUS RECEPTION AND SWITCHBOARD DUTIES:
  • Creates an organised front office environment (orderly systems, clean, professional and neat).
  • Receives and welcomes prospective and current students, parents and guests by greeting and directing them appropriately.
  • Builds relationships with students and parents through professional interactions.
  • Operates the switchboard by receiving and screening / directing calls promptly, professionally, friendly and efficiently and gathers the relevant information (i.e. reason for the call) from the caller to ensure that calls are directed to the appropriate staff member.
  • Takes detailed messages when staff members are not available and delivers these messages timeously to the appropriate individuals.
  • Deals with queries from students and directs them to the correct departments.
  • Assists with intercom instructions.
  • Daily check-ins with the principal to confirm who is not in the office etc – therefore, redirecting calls efficiently and promptly.
  • Log all incoming calls onto service desk , correctly and promptly.
  • Ensure SalesGuru SLA’s are passed.
  • Organises the flyers and fact sheets at Reception in a neat and orderly manner and supports the Marketing Assistant/s in ensuring that the waiting area and interview rooms are neat and tidy.

    2. VISITORS/ CUSTOMER SERVICE:

  • Meet and greet visitors
  • Offer Tea/ Coffee to all visitors.
  • Manage the announcement of visitors.
  • Ensure sound knowledge of the Organisation in order to direct enquiries efficiently and be able to provide information on the products and services offered.
  • Evaluate customer complaints and provide proper solutions within a 24 hour turn-around time.
  • Ensure all customer queries are resolved and ticked closed on the system.
  • Follow up on all customer calls.
  • Ensure excellent telephone etiquette is adhered to at all times whilst providing a personalised experience to all customers.

    3. RECEPTION/ HOUSEKEEPING:

  • Ensure a professional image is upheld at all times.
  • Environment and surrounding area is to be neat and clutter free.
  • Replenish brochures etc.

    4. MAIL ROOM:

  • Monthly reports in Excel.
  • Order labels timeously.

   5. COURIER SERVICES:

  • Responsible for the receipt and redirection of all deliveries and managing the courier system.

   6. ADMINISTRATION DUTIES:

  • Performing administrative duties as and when required.

  • Process orders, forms and applications.
  • Consolidate and administer timetable for teachers and classes.

    7. GENERAL ADMINISTRATIVE SUPPORT AND AD HOC DUTIES

  • Administering First Aid to students.
  • Assist with admissions, applications and school tours.
  • Conduct temperature checks when necessary.
  • General ad hoc duties when necessary.
  • Provides administrative support to various departments as and when required.
  • Maintains a list of all remotes and microphones for use in the lecture rooms, keeps record of who has taken them out and which ones are in stock and ensures that lecturers hand them back in good condition.
  • Responsible for preparing, tracking and receiving of campus courier parcels, post and deliveries and notifying the relevant staff member/s promptly regarding collection or delivery updates.
  • Receives deliveries for the National office (campus specific) and campus staff and ensures that they are collected or handed to the appropriate individual timeously.
  • Supports the Marketing Assistant/s in booking appointments for the Full Time Student Recruitment team and assists with managing their diaries accordingly if required (campus specific).
  • Assists with campus events and any ad hoc campus duties as and when required.

Facilities Supervisor

Job Description

  1. Overall Purpose of the Job:

To manage and coordinate facility operations and services at the School or Campus which serves as the home base. The key responsibilities include:

  • Oversees the daily facility services and coordination of operations at the facility, both insourced and outsourced.
  • Holistic site maintenance and management to the desired standards of excellence.
  • Provision of financial input for budgeting purpose.
  • Solution driven toward facility-specific issues.
  • Achieves KPA’s outlined specific to each facility.
  • Builds and maintains relationships with stakeholders.
  • Reports to the Principal with regular updates to the Area Facility Manager.
  1. Responsibilities:

 
Output 1 – Facilities Operational Oversight:

  • Establish facility-specific KPAs/Outputs in consultation with Area Facility Manager and Principal.
  • Plan and obtain the resources necessary to enable implementation of the KPAs/Outputs.
  • Oversee the implementation of plans for the facilities within their area of responsibility.
  • Lead the staff within the Facility towards achieving the plans.
  • Measure and report on progress in accordance with defined reporting templates.
  • Proactively identify performance shortcomings or risks, report these timeously and institute corrective measures.
  • Arrange weekly meetings with Principals to report on facility-specific performance and exchange feedback on relevant operations and tactical matters.
  • Review current operating practices and processes within the respective facilities and ensure alignment with the relevant area standards.
  • Take charge of all emergencies and ensure reliable back-up is available in order to take corrective action as necessary. Emergencies also includes acts of God, plagues and pandemics.

 Output 2 – Maintenance Management:

  • Provide input into the preventive maintenance plans for the facility in accordance with ADvTECH’s developed standards and maintenance lifecycle plans.
  • Oversee the planning and implementation of preventive maintenance, whether insourced or outsourced.
  • Expedite any predicted delays specifically in preventative maintenance prescribed by Law and mitigate any health and safety risks.
  • Co- ordinate the planning, scheduling and implementation of resources to assure restoration of functions within the shortest period, where unplanned maintenance is required due to failure.
  • Ensure that staff have the required supervision, training, certification, health and safety understanding to perform the tasks required of them, where maintenance is performed by ADvTECH personnel.
  • Coordinate the maintenance and servicing of the generator in line with the manufacturer’s specification. Test start per month. Keep a log book to record services, refuelling, test starts. Ensure that refuelling is done in line with minimum diesel levels.
  • Ensure that all furniture and equipment is clean and in a usable and good condition.
  • Classrooms, offices, walkways, ablution blocks must be cleaned daily.
  • All equipment must be maintained.
  • School premises to be neat and tidy at all times.
  • Liaise with the principal and sports coordinators to ensure that the setup for events are done within the required time lines as well as the required dismantling following the event completion.
  • Weekly inspection of buildings, identification of maintenance issues, arrangement of repairs and replacements accordingly.
  • Carry out or Oversee? repairs to fixtures and fittings, plumbing, electrical, any paint disrepair, glass panes, roof tiles / sheeting, gutters, waterproofing, paving and driveways, gates and fences when and where required, these repairs to be executed by a reputable specialist.
  • Will be able to perform basic fault finding on electrical installation, have basic knowledge on HVAC systems, be familiar with the use of tools and power tools.
  • Inspect ablution blocks on a daily basis to ensure that it is always clean, hygiene equipment is in working order and filled with consumables, taps are working, toilets are functioning and that there are no leaks.
  • Log all maintenance requests on the Fresh Service maintenance portal, execute tasks logged within the required time frame. Provide feedback and close tickets once tasks have been completed.
  • Monitor water consumption by using the Aquaffection platform on a daily basis. Identify and report all leaks on the water pipes to Aquaffection.
  • Monitor electrical consumption by using Tsebo electrical platform to view consumption data. Ensure all non essential lights and other electrical equipment are switched off at night. Implement manual shutdown procedures.

 
Output 3 – Service Provider oversight (Outsourced and contracted):

  • Provide input into national/regional service specifications for those services to be outsourced.
  • Facilitate and support procurement and contracting of new providers and transitioning/exit of existing providers.
  • Manage outsourced service providers, providing Security, Cleaning, Hygiene and Landscaping services.
  • Familiarise yourself with Security, Cleaning, Hygiene and Landscaping SLAs.
  • Periodic Security risk assessments must be done by the security service provider and SOP amened accordingly to ensure all security risks are mitigated.
  • Monitor and measure Service Provider performance against contracted Service Level Agreements and reactively/proactively intervene to assure achievement of SLAs.
  • Arrange combined monthly meetings with principal, AFM and area managers of all contracted service providers.
  • Attend monthly on-site meeting with service providers to rate service delivered against SLA.
  • Log out-of-scope requests on the service provider’s service desk.
  • Understand the service providers billing structure and verify the agreed cost against the monthly billing.
  • Monitor cleaning and hygiene consumable stock levels and place orders when quantities reach minimum levels. Verify stock deliveries against orders. Sign for all delivered consumables. Be familiar with consumables included in the contract and ensure that these are delivered monthly and timeously. Ensure that all other services included in the contract are executed in line with SLA.
  • Meet with Service Providers on a routine basis for proactive contract management and discuss the following agenda items as a standard.
    • Resource matters pertaining to staff such as attendance, discipline, presentability; and equipment.
    • Service standard matters such as compliance with schedules and quality.
    • Future planned events requiring extra-ordinary services.
    • Open service requests and status of completion.
    • School organisational changes affecting the service providers such as new procedures.
    • Recurring and ad-hoc historic, current and projected costs are aligned with contract and budget.
    • Health and Safety compliance and issues.
  • Ensure maintenance and roadworthiness of vehicles, coordinate outings and log all trips.

Output 4 – Financial Management:

  • Provide input to the annual budgeting process for the Area and facility specific budgets. Perform the following as a minimum standard:
    • Identify aspects that were under-maintained or not adequately addressed because of budget limitations in current period.
    • Identify new requirements such as additional facilities/assets and assets out of warranty.
  • Provide input to the five-year maintenance refurbishment and replacement budgets. Draft annual preventative maintenance budget in line with the preventative maintenance plan.
  • Report on performance against budget, project future cost versus budget and advise on corrective measures where the projections are exceeding the budgets, also include savings on the utilities.

 Output 5 – Stakeholder management (Principals, Financial Administrators etc.):

  • Arrange monthly Facility/ Site specific meetings with Principals and other stakeholders.
  • Report to Facility/ Site Management daily on all operations affecting the educational outputs.
  • Manage relationships with the relevant stakeholders on site ensuring that their needs are responded to and met timeously.
  • Familiarise yourself with the procurement processes, specifically uploading of new vendors.

 Output 6 – Staff Management and Development:

  • Determine human resource requirements and ensure that the Facility employs candidates fit for purpose and in keeping with the facilities standards.
  • Ensure identification of critical skills essential for sustainability of service delivery and succession plans for the facility.
  • Oversee the development of the training and development plan for the facility.
  • Lead and supervise the Facilities staff on site in the achievement of the set objectives, targets and deliverables.
  • Provide feedback and coaching to direct reports to ensure optimal productivity and to foster growth, on an ongoing basis.
  • Drive performance management across the Facilities team.
  • Develop capability within the team to ensure continuity and build appropriate succession plans.

 Output 7: Health, Safety and Environment:

  • Where assigned, maintain the campus health and safety files as per the ADvTECH Health and Safety Policy and Procedure.
  • Perform routine health and safety inspections, record and report findings, and act on non-compliant or unsafe conditions.
  • Attend and participate in Health and Safety meetings.
  • Where assigned, coordinate or participate in routine fire, evacuation and other drills, and further report on any improvements required.

 Output 8: Hiring of premises and event management:

  • Manage set up & strike down for all events.
  • Coordinating will all relevant external service providers and staff involved to set up for events as needed.
