Purpose Statement
To provide administrative and operational support for the effective administration and lifecycle management of supplier contracts and service level agreements by maintaining accurate contract records, monitoring contractual obligations and milestones, and ensuring compliance with organisational policies, legislative requirements, and contract management processes.
Minimum Requirements
Qualifications
- National Diploma / Diploma in Supply Chain Management / Procurement Management / Business Administration or related filed (NQF Level6).
- Certificate in Contract Management (advantageous)
Work Experiance
- 3 – 4 years relevant experience in contract administration, supply chain management, related environment
- Experience maintaining records, databases, and document control systems.
Duties and Responsibilities
Functional Management
Provide administrative and operational support for the effective management of supplier contracts and service level agreements by maintaining accurate contract records, registers, and repositories;
Coordinate contract documentation and correspondence
Support the preparation and administration of contracts, amendments, extensions, and renewals;
Monitoring contractual milestones and deliverables;
Facilitate supplier performance administration
Ensure compliance with contract management procedures, organisational policies, and governance requirements.
Risk and Compliance Management
Monitor adherence to procurement legislation, governance frameworks, and internal controls.
Identify contract-related risks and implement mitigation strategies.
Support internal and external audits by providing required contract documentation and evidence.
Ensure compliance with ISO standards and regulatory requirements.
Review and strengthen contract management policies, procedures, and controls.
Monitor supplier compliance with contractual obligations and organizational requirements.
Stakeholder Management
Liaise with suppliers and internal stakeholders regarding contract documentation and information requirements.
Facilitate contract review meetings, following up on outstanding documentation and approvals.
Liaise with internal and external stakeholders to ensure the timely and efficient execution of contract management processes across the organisation.
Contract Monitoring and Reporting
Maintain contract management information systems, registers, and tracking mechanisms to support effective contract oversight.
Monitor contract milestones, renewals, expiries, supplier performance, and service delivery obligations.
Analyse contract utilisation and expenditure trends.
Produce accurate, timely management information and reports to support informed decision-making, compliance, and contract governance.

To lead and oversee the administration, governance, and lifecycle management of supplier contracts and service agreements, ensuring compliance with legislative, regulatory, and organisational requirements. The role supervises contract management activities, provides commercial and compliance oversight, and supports the effective delivery of procurement and organisational objectives through sound contract management practices.

- Bachelor’s Degree / Advanced Diploma (NQF Level 6).
Work Experiance
- 5 – 7 years relevant experience in contract and supplier managements
- 2 -3 years supervisory experience
Duties and Responsibilities
Functional Management
Manage and oversee the end-to-end lifecycle of supplier contracts and service agreements by ensuring contractual compliance, effective performance monitoring, risk management, and governance.
Oversee contract administration, including renewals, amendments, and terminations;
Maintain contract management systems and repositories;
monitor contract expenditure and supplier performance against agreed service levels;
Provide specialist contractual advice; and support the effective management of strategic contracts to optimise value, Mitigate risk and ensure compliance with legislative and organisational requirements.
Provide first-line leadership and supervision of the Contract Management function by coordinating and monitoring team activities,
Allocate workloads, managing performance, and developing capability through coaching and mentoring.
Foster a high-performance, customer-focused culture by ensuring compliance with service standards,
Promote continuous improvement and facilitating knowledge sharing to achieve operational objectives.

Provide management with contract-related insights and recommendations.
