DUTIES

  • Uphold the image of Services SETA through professional behavior and administration of the reception area and office according to quality standards.
  • Always adhere to corporate values and ethics when interacting with Services SETAs 
  • Welcome visitors and offer refreshments where necessary.
  • Provide assistance to walk-in visitors wherever possible.
  • Keep visitors informed of waiting times where necessary.
  • Keep the reception clean and tidy at all times.
  • Report maintenance issues promptly and monitor progress until they are resolved.
  • Attend to the reception area at all times during office hours.
  • Perform basic trouble shooting to correct minor problems.
  • Attend to incoming calls efficiently and timeously in order to minimize customer waiting time.
  • Route calls to the relevant people
  • When callers are on hold, ensure that the person whom they want to speak to is aware of the pending call and keep the caller up to date with progress.
  • Proactively take messages and ensure that all staff are aware of and receive their messages timeously.
  • Screen calls in order to assist with queries or to route the callers to the correct area
  • Photocopy and scan documentation upon request
  • Filing
  • Distribute documents correctly and timeously
  • Provide typing services as requested
  • Bind documents when requested
  • Receive and dispatch courier packages
  • Collate information for reporting
  • Support Services SETA projects by:
    1. Assist in scheduling of monitoring and evaluation visits
    2. Assist in scheduling of induction  visits
    3. Prepare site visits reports.
    4. Provide other project related clerical functions  
  • Support the office in conducting outreach and stakeholder engagements on and/or off-site

i.e. career exhibitions, stakeholder capacitation sessions.
