Job description
Business and Financial Results Management and Delivery
- Provide thought leadership and input into the Issuer Regulation Divisional strategy.
- Provide input into divisional budget to meet requirements and targets Manage and develop all LPM deliverables for Issuer Regulation Division, Capex budgets and business cases and ensure continued compliance to targets for ROI and productivity. Monitor expenses against allocated Capital budgets ensuring cost effective ways of achieving departmental goal
- Managing and prioritise the Product Backlog in collaboration with the Issuer Regulation team in accordance with business value and customer requirements
- Implement departmental IT strategy by ensuring there are business and project release plans in place, monitor activities according to plans, ensure execution of deliverables within agreed timelines, identify cross dependencies between plans and take corrective action when required
- Ensuring the existence of a shared vision for IR Solutions and be the champion for realising this vision through the delivery of the right products to customers (internal & external)
- Manage all and ensure continuous communication to stakeholders and clients regarding progress and manage their expectations including making trade-offs where required
- Enforce and maintain min set of divisional Business Continuity and Recovery procedures, Disaster Recovery checklists and documents and coordinate IR team member participation and responsibilities during mandated internal and Disaster Recovery test execution.
Stakeholder Relationship Management
- Understand clients’ needs by listening to their needs and influencing the outcomes to meet the requirements within project constraints whilst still protecting the JSE project delivery
- Build long term relationships and networks with stakeholders through effective communication, holding regular stakeholder forums continuous engagement and collaboration
- Provide training to internal and external parties on new and amendments to Issuer Regulation systems.
- Manage all communication with Regulated entities on systems and business continuity events requirements.
Process Management
- Gather requirements from internal and external parties on Issuer Regulation systems, develop appropriately detailed specifications for product features so that they are clearly understood by the various groups of stakeholders e.g. development teams, customers, support teams, etc
- Translate functional strategy into department delivery strategy for IT systems, project plans, backlogs and deliverables. Develop user readiness and communication approach and plan and monitor progress against plan.
- Identify risks and issues to the project or market readiness by continuously being in touch with stakeholders for the project to ensure the right mitigation is in place.
- Quality Assure documentation provided to clients to ensure it meets JSE corporate branding and project standard and avoid ambiguity to clients.
- Produce status reports to monitor readiness to check on track against timelines.
- Coordinate the market facing activities by ensuring various activities and business scenarios are executed to track progress and assess readiness internally and externally.
- Actively participate and prepare accurate and concise IR inputs required for Programme Increment (PI) or Big Room Planning
- Prepare and conduct Iteration Planning sessions by reviewing and reprioritizing items on the backlog.
- Compile and maintain the IR technology program vision, roadmap and content presentations.
- Collaborate with other Product Owners to understand, manage, and coordinate cross dependencies.

Job description
Operations Management
- Manage and monitor daily Issuer operational tasks administered by the operations team of the following departments, to ensure operations are executed to the highest standards:
- Issuer Services – Responsible for carrying out direct instructions from Issuers such as allotment of new shares, cancellations, execution and mailing and E-Comms and analysing the share register, facilitating and perform the duties of Scrutineers at shareholder meetings. Internal audit of all transactions performed on the share registers.
- Meetings – Responsible for back-office processing, administration and facilitation of legacy client meetings, provision of pre-lim and final meeting results and communication of all current, future, and historic client meeting information.
- Assist with back-office processing and facilitation of meetings for large clients.
- Administer the migration and balancing of new share registers and establish operational relationships with the respective Issuers.
- Attend meetings with previous Transfer Secretaries and project manage new migrations to obtain and record special company instructions and information on sub-register requirements.
- Peruse daily SENS, news portals, SARS portal, Companies Act and JSE updates to identify and align business processing to legislative changes on behalf of JIS and Issuers.
- Review and compare monthly departmental billing sheets to Issuer invoices for all Registry companies to identify and eliminate revenue leakage.
- Attend Issuer operational meetings when required and provide guidance to Relationship Managers, Meetings Specialist and Issuers on complexed requirements and special project planning.
- Attend meetings with legislative institutions such as Strate, SARS, FSCA, Compliance etc. to provide technical feedback from a Registry perspective in the event of tabled legislative changes.
- Assist business unit managers to review and amend standard operating procedures for all business units within Registry.
- Assist with technical testing of new IT and operating developments for all Registry companies.
- Assist all business unit managers in Registry with periodical review and alignment of risk registers prior to final review and sign-off by Registry Executive.
- Identify operational risk areas in line with projected system developments and legislative changes to create awareness in the business and inform Registry Executive.
Financial Management
- Review all media notices to identify new business opportunities which will increase revenue.
- Assist with administration and review of monthly and ad-hoc billing and invoicing.
- Administration of various reports to assist with review and feedback on monthly financial management accounts.
- Assist with effective, efficient, economical, and transparent use of financial and other resources.
- Assist with maintaining the existing client base and avoid loss of any current clients.
Stakeholder Management
- Work collaboratively with stakeholders by establishing and maintaining effective internal and external relationships.
- Represent JIS in meetings with internal and external stakeholders.
- Solve problems creatively whilst demonstrating a high level of integrity in line with the company’s core values.
- Provide advice and guidance to relevant parties on stakeholder related matters.
- Manage relationships in accordance with policies, procedures, and legal requirements.
- Establish and maintain operational relationships with all Issuers.
People Management
- Monitor and measure performance according to policy by conducting employee appraisals.

- Address employee relation matters fairly and promptly.
- Set performance objectives for team by cascading of the organisation’s initiatives into individual performance contracts.
- Ensure that all employees have signed performance agreements.

Risk Management
- Continuously assess any risks in line with current processes and implement controls to ensure that the risks do not materialise in losses either financially or reputationally.
- Review and submit risk registers in accordance with Compliance requirements.
- Provide feedback to Internal Audit and Compliance in relation to enquiries on the risk register.
- Administer departmental complaints register and provide feedback to Compliance within the required timelines.

- 10 years of Registry operational experience, with at least 7 years in a managerial capacity.
Knowledge and Skills required
- Understanding of regulatory environment, laws, acts, and rules.
