Role Context

Responsible for supporting the Customs Affairs Manager in the daily control and management of the Customs Affairs Department, which includes maintaining and developing DHL’s Gateway Customs Affairs Standards, thus ensuring an excellent service to the network and satisfying and meeting our customer needs.To provide leadership and direction to a large team of frontline and backline Customer Service employees in an inbound call centre set up, and who are responsible for providing clearance expertise, tracking shipments and dealing with various types of enquiries and complaints. Strive to achieve all KPI’s relating to the position, including Grade of Service, Abandoned Calls; revenue targets for sales of insurance and time-definite deliveries and cost control. Ensure that all staff delivers best in class customer service to ensure customer satisfaction, brand loyalty and repeat business.

Key responsibilities

  • Ensure improvement of Customer Satisfaction through customer service initiatives and strategies.
  • Enable and manage the achievement of service performance that meets or exceeds customer expectations and differentiates DHL from the competitors.
  • Ensure regional service standards are met or exceeded on all DHL OPS scorecards.
  • Exercise forward planning to ensure that maximum resources are utilized and standards are met into. customs clearance. Implement and oversee measures to ensure maximum performance into. Pre-Clearance (COE Performance).
  • To integrate quality into the business by ensuring that every customer contact is a demonstration of absolute dedication towards providing first time ideal solutions for the satisfaction of customer needs. To implement ISO standards and DHL’s policies and procedures at all times. To ensure awareness of and adherence to all required policies and procedures with the team.
  • To ensure their scope of work aligns to Center Of Excellence Guidelines, ensuring a fully compliant Center of Excellence at all times.
  • Ensure all elements of a ‘Center of Excellence’ Call Centre is in place for Frontline.
  • Quarterly Audits on Frontline COE elements to be conducted to ensure full compliance.
  • Manage the process of recruiting, training and scheduling of staff to ensure that there is always sufficient staff to meet customer demand as per OET standards.
  • Ensure that sufficient backup staff are trained to cover for unscheduled leave, and churn at all times
  • Identify trends with regard to call arrival patterns; staff absenteeism and other factors affecting the availability of staff to meet customer demand, and take actions to address the shortfall both locally and across the network.
  • Plan and manage leave to ensure that staffing needs are met based on varying seasonal customer demand whilst analyzing non-paid leave and managing accordingly.
  • Manage productivity to maintain efficiency within the department
  • Make use of times when the department has sufficient resources to conduct cross-training to ensure that the more specialized functions are covered during absence of regular staff
  • Keep overtime to a minimum – explore alternative options and monitor all overtime claimed to ensure that it is paid correctly
  • Make sure that overtime worked by an individual does not exceed the legal limit at any time
  • Implement and keep updated time and motion studies to determine the number of staff required to perform each function, based on forecasts.
  • Conduct recruitment in line with company policies and procedures
  • Ensure that all employees recruited are of the highest calibre, regardless of whether they are an internal or external appointment
  • Ensure that recruitment does not exceed the approved headcount at any time
  • Ensure that all staff recruited to the function receives appropriate formal training to enable them to fulfill their function correctly
  • Deal with all escalated customer complaints effectively and efficiently to improve customer satisfaction and repeat business & Take corrective action at a root cause level for each complaint
  • Use alternative service recovery options to reduce the cost of service recovery where possible
  • Take corrective action at a root cause level for each complaint received to try and prevent a repeat event
  • Undertake monthly root cause analysis and action plans to ensure that reasons for complaints are reduced on an on-going basis
  • Write apology letters as required by the customer adhering to DHL’s brand standards
  • Review and approve/decline GWEB request sent from Finance
  • Active Leadership through campaigns, initiatives and be a Role model of DHL’s ICCC and CIM behaviours to encourage desirable behaviours
  • Constantly introduce new activities, campaigns and initiatives aimed at improving morale and motivation within the department
  • Maintain an open door policy and encourage employees to discuss their concerns openly without fear of reprisal
  • Implement development plans for all permanent staff to assist them to encourage loyalty to the company and reduce churn
  • Ensure that counselling and disciplinary action takes place when appropriate and in line with company policy and procedure
  • Aim to provide firm, fair and consistent application of the rules to all employees
  • The Contact Center Manager is responsible for ensuring all DHL application tools used are deployed and utilized correctly in the Frontline teams.
  • Supervise the operation of Customs Clearing which includes: –
  • Daily monitoring and controlling of all procedures, processes, quality, quantity of the department,
  • Plan and implement corrective actions to improve service and transit time performance.
  • Continual review of current export process to ensure that the maximum time and performance is achieved with the available resources.
  • Manage roles and responsibilities and performance targets and goals within import team.
  • Plan, organize and direct efficient and effective functions.
  • Monitor IKOs/KPIs with team members and monitor individual performance.
  • Manage the allocation of appropriate resources and commitment of staff to the achievement of Regional objectives and targets.
  • Identify training needs and opportunities to develop a highly skilled functional department.
  • Mentor, guide and coach staff to ensure that the highest service levels of engagement is obtained to achieve setout targets.

Minimum Requirements

Education & experience

  • Matric
  • Degree in the Logistics and Supply Chain field will be an advantage
  • 5-7 years’ experience in a management role in the express or logistics industry specialising in Customs clearance and Contact Centres
  • Previous Management or Supervisory experience
  • Valid driver’s license

In this   Cross Border Controller position
 

  • Understand & process Road Freight shipment requests and execute such request expertly.
  • To arrange bookings based on customer requirements with the most qualified & cost efficient transport supplier, capable of executing the shipment requirements.
  • Register shipments on CW1 within the specified timeframes (1 hour) after receiving shipping instructions
  • Process shipping documentation acquired from customers in the most adequate way to allow DHL CDZ to efficiently & effectively customs clear the shipment within the specified time frame (3 hours)
  • Ensuring all shipping documents related to the file are accurately named and stored on eDOCS, following stated document management best practices
  • Ensuring all ACR’s & WIP’s are loaded onto registered file at time of registration
  • Ensuring all files are properly billed out within the acceptable time frames following best billing practices & ensuring accepted GP margins are maintained.  Files need to be opened at inception of the transaction and invoice upon receipt of the POD. Or dispatch (as per customer SOP).
  • To co-ordinate movement of cargo within required/stipulated time frames in order to meet customer needs.
  • To manage and monitor all parties in the supply chain of the shipment (Shipper, Carrier & Agents)
  • To develop and maintain relationships with suppliers and customers.
  • To prepare specific customer reports whenever required.
  • Support the Head of Road Freight with negotiation & maintenance of supplier rates and contracts, new/change of systems, directives.
  • Receive and accept transport orders from customers.
  • Book shipment with transporter on time.
  • Follow up acquittals for RIT/RIB shipments.
  • Follow up PODs (proof of delivery) with transporters.
  • Arrange collection / packing of customer cargo.
  • Supply carrier with transport order instructions, CW1 reference No.
  • Send Pre-alerts to customer & destination offices and agents.
  • Invoice shipment based on estimate or rate agreements.
  • To produce thorough and accurate documentation ensuring customer satisfaction and compliance to regulations.
  • To participate within the department with regards to industry or regulation changes.
  • The identification of Hazardous Cargo and ensuring the cargo is transported under the right regime
  • Follow up Standard Operating Procedures (general or customer specific).

In this   Road Freight Commercial Center Specialist position

General

  • Increase number of winning bids through accurate & competitive completion of Road Freight estimate requests
  • Ensure product profitability by managing customer selling rates and supplier buying rates
  • Maintain minimum 50% hit ratio for all ad-hoc bids and RFQ’s
  • Improving carrier base in country by minimum of 100% in first year and 25% YOY

Procurement

  • Owns and maintains Country Road freight Tariffs with carriers on agreed validity
  • Understanding and managing of costing Structure of Road Freight Supplier
  • Manage contract with all suppliers, establish regular carrier meetings and ensures that these are conducted for all key carriers
  • Drive best pricing solutions in order to maximize profitability of Road freight. Negotiate and procure best rates in market
  • Review existing pricing rates and policies with carriers and network to initiate updates and changes based on market trend/current business requirements and maintain strong relationship with them
  • Manage and keep transport supplier (buying) register up to date.
  • Execution of global procurement strategy and decisions (rates, process, etc.)
  • Monitors carrier/ station performance in conjunction with the Ops Manager and initiates corrective actions.

Estimates

  • Development and Implementation of a Rate Card Model for domestic and cross border Road Freight
  • Ensure domestic and cross border rates input into the rate management system and validate it for Auto costing, quotations and auto rating
  • Standardize costing Model to ensure quick and effective turnaround timings on pricing requests
  • Standard quotes are responded within 6 hours excluding weekends and requests received after 4 pm on work days (Monday – Friday)
  • Determine profit margin, support and follows up with Sales, Sales Support and Customer Service
  • Source and Provide Spot Rates to Sales, Customer Service and customers for all types of cargo to be moved by road
  • Follow-up with internal and external customer requests for quotes & pricing.
  • Follow-up on all estimates that have been submitted to customers
  • Maintain proactive communication/relationship with colleagues and managers
  • Maintain and keep estimate/bid register up to date

RFQ Bidding

  • Monitor and participate on RFQ’s for road freight together with designated sales person
  • Managing and fully owning RFQ Bids for road freight
  • Coordinate RFQ’s above 50.000 USD with Regional Head of Commercial Center Road Freight
  • Submission of RFQ bids in good time before deadline in customer specified methodology (online, physical or email)
  • Participate and consult other departments and products in their pricing strategy for road freight component of freight

Administration

  • Supply Month End number of estimates completed, won and lost to Head of Road Freight
  • Assist in rate disputes where necessary
  • Use of Quoteshop for 100% enquires
  • Develop and execute trade-lane management marketing and capacity overview

Quality & Improvement

  • Comply with company Quality processes
  • Ensure proper storage & management of Communications, rates agreements and win/loss ratio analysis

A Responsible Pharmacist

Role Outline

To carry out the duties of a Responsible Pharmacist in accordance with the Section 22 (4), 22 (5) and Regulation 28 of the Pharmacy Act (Act no 53 of 1974), acting responsibly in the practice of a pharmacist in accordance also with the operational requirements of the Business.

General Responsibilities

  • Ensure that he/she continuously supervise the Wholesale Pharmacy in which he or she has been appointed.
  • Ensure that persons employed in such Wholesale Pharmacy and who provide services that form part of the scope of practice of a pharmacist are appropriately registered with the council.
  • Take corrective measures in respect of the deficiencies regarding inspection reports of regulatory bodies or in terms of the Medicines Control Act.
  • Ensure that unauthorized persons do not obtain access to medicines or scheduled substances of the Wholesale Pharmacy premises outside of normal trading hours, or to take possession of the medicines without proper process.
  • Establish policies and procedures for the employees of the Wholesale Pharmacy regarding the Acts performed and services provided in the Wholesale Pharmacy, and within the realms of a warehousing facility.
  • Management and measurement of Service Quality Initiatives – monitoring the Service Quality KPIs, investigation and root cause analysis & support operations with correcting actions to ensure high service quality.
  • Support OMS FC Implementation:  Training and Coaching on Work Instructions and SOPs and other Elements aligned to site implementation resources and OMS FC Advisors.
  • Ensuring awareness of customer and quality requirements throughout the organization.
  • Ensure correct and effective record keeping of the purchase, ordering, picking, batch numbers, and dispatch or dispensing, possession and storage and safekeeping and return or medicines or scheduled substances.
  • Compliance First Mindset:  GMP, GDP, ISO 9001 and 13485 requirements; Act as the company representative with the local authorities by being named in the relevant GxP licences.
  • To ensure that product complaints involving “adverse drug reactions” are recasted upon and followed up without delay involving the management of the DC or warehousing facility as and where required with urgency.
  • To Ensure that goods returned to the wholesale via the retailer are handled in a procedurally correct manner at the warehousing facility, determining reasons for return and any further actions that need to be taken, which must then also be recorded. To authorise the return to saleable stock of any returned medicines in accordance with local legislation.
  • To ensure that goods rejected at back door or otherwise are handled appropriately and correctly, and to be responsible for the final decision, after consultation with relevant personnel to destroy rejected goods, as and when required.
  • Temperature monitoring of the warehouse and fridges where applicable, including temperature mapping as required. Ensure cold chain maintenance for thermolabile products where applicable.
  • Training & Development:  Understands and coach others on processes, tools and standards. Ensures training requirements are met. Identify and address skill gaps. Might also be required to train and develop Pharmacist Assistants.

Divisional and Functional Experience

  • Working knowledge of the Medicine control Act                                                                                                    
  • Good analytical and numerical skills: Basic computer skills, including spreadsheets, databases, and word processing using applications such as Microsoft Office for tracking, analyzing, and communicating related data.                                                                                                                                            
  • Excellent communicator (verbal & written)                                                                                                              
  • Computer literate (Word, Excel & Email, & Associated pharmaceutical programs)                                      
  • In depth understanding of process improvement tools, change management tools and LEAN approaches.
