Senior Project Administrator (R550 000 all-inclusive package)
Coordinates and oversees project activities, ensuring projects are completed on time,
within budget, and meet organizational objectives.
Key Responsibilities
- Project Coordination: Work closely with the Project Lead, PMO Manager, and
Coordinatorsto plan, schedule, and monitor project activities, ensuring alignment with s
trategic goal. Run the Project Lead’s office rhythm by managing meeting schedules,
briefing cycles and submission deadlines. Ensure requests to and from Secretariat,
Steering Committee, EPG, and IMC follow agreed protocols. - Documentation and Reporting: Prepare project documents, reports, and
presentations. Maintain accurate records of project progress, budgets, and schedules. - Planning and Calendar Integration: Align Project Lead priorities with Steering
Committee Cycles and National Dialogue milestones. Maintain an integrated forward
calendar. - Quality Assurance: Responsible for quality management of project documents
(format, logo, letterheads, design of new forms and documents) - Contract and Procurement Support: Review and prepare Project procurement
Requests for Quotes (RFQs), and Requests for Proposals (RFPs) on Sage - Risk and Compliance Management: Identify potential risks, consult with Project
Lead and ensure projects comply with process discipline, legal and organisational
standards. Maintain a master decision register for the Project Lead. - Stakeholder Communication: Maintain regular contact with internal and external st
akeholders, resolve issues, and facilitate collaboration across departments. - Travel Support: Responsible for travel arrangements for project stakeholders (flight,
accommodation, car hire, etc). - Financial Administration: Ensure financial administration procedures are being
adhered to, for correct reflection of costs/expenditure against project. (invoices, travel
claims, payments to contractors).
Required Skills and Qualifications
- Education: National Diploma in business, project management, or a related field.
- Experience: Minimum of 5 years in project management or administration, preferabl
y in public sector or multi-project environments. - Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and proje
ct management software; knowledge of project management methodologies. - Soft Skills: Strong organisational, analytical, and problem-solving
abilities; excellent written and verbal communication; ability to work independently an
d manage multiple stakeholders. - Interpersonal Skills: Ability to build relationships, motivate teams, and influence proj
ect outcomes.
Project Management Office (PMO) Manager (R650 000 all-inclusive package)
Establish, manage, and institutionalise the PMO function within the National Dialogue
Secretariat, ensuring structured planning, disciplined execution, risk control,
performance monitoring, and integrated reporting across all National Dialogue
workstreams.
Key Responsibilities
- PMO Framework: Design and implement a fit-for-purpose PMO framework tailored to
the National Dialogue context. Develop standard operating procedures, templates,
reporting formats, dashboards, and performance scorecards. Institutionalise
project controls, documentation standards, and decision-tracking systems. - Programme Planning and Co-ordination: Consolidate all workstreams into a single
integrated programme plan aligned with Steering Committee priorities, Secretariat
deliverables, Provincial and stakeholders’ engagement. Maintain a master
implementation roadmap. - Monitor Progress and Reporting: create clear performance measures for different
workstreams. Track deadlines, milestones, and key deliverable. Prepare monthly and
quarterly progress reports. Support preparation of briefing documents for leadership
structures. - Risk and Problem Management: Keep an updated list of risk facing the programme.
Identify possible problems early, including operational and reputational risks. Suggest
solutions to reduce or manage risks. Escalate serious issues according to agreed
procedures. - Governance and Compliance: Make sure work follows approved Terms of Reference,
Code of Conduct, and communication rules. Ensure financial and procurement rules are
adhered to. Keep record of decisions and assist the Secretariat stay ready for audits. - Budget and Resource Coordination: Work with the finance team to track how money
is being spent. Ensure that spending matches the approved plan and timelines. Identify
gaps in resources or capacity. - Support Co-ordination between Structures: Assist align timelines across the
Steering Committee, EPG, IMC, and Secretariat teams. - Support the Project Lead: Provide clear information about progress and risks. Highlight
delays or bottlenecks. Assist prepare performance- focused briefing materials.
Required Skills and Qualifications
- Education: B Degree in business management, public administration, project or
programme management, or a related field. PMP, Prince2, or equivalent certification
advantageous. - Experience: Minimum of 10 years in project or programme management. Experience
in public sector, policy, or multi- stakeholder environments preferred. - Technical Skills: Proficiency in Microsoft Office (Excel, Word, PowerPoint) and proje
ct management software; knowledge of project management methodologies. Strong
understanding of project management methodologies (agile, Waterfall, Hybrid
models). - Soft Skills: Strong organisational, analytical, and problem-solving
abilities; excellent written and verbal communication; ability to work independently an
d manage multiple stakeholders. - Interpersonal Skills: Ability to build relationships, motivate teams, and influence proj
ect outcomes.
Interns x8 (R120 000 all-inclusive package)
Key responsibilities
Interns will be exposed to the following functions, amongst the others:
- Performing all functionary tasks for the unit at entry level.
- Handle correspondence and enquiries relating to and maintain the units’ records and
files. - Providing administrative support to the co-ordination of the units budgeting processes.
- Assist with information gathering for the preparation for audits.
- Assist in data collating and preparation of monthly and quarterly reports for units.
- Performing all functions as delegated by the units’ supervisors and managers.
- Prepare meeting agendas and take minutes.
- Assists prepare at least 1 presentation per quarter, or as may be required from time to
time.
Required Skills and Qualifications
- Education: National Diploma, Bachelor and Honours Degree in the Public
Administration, Journalism and Media Studies, Project Management, Public Relations,
Business Management. - Knowledge: Basic knowledge about relevant and applicable regulatory laws and
frameworks, Acts, guidelines and policies (including the Skills Development Act, SDLA,
PFMA, Tax laws, BBBEE, Employment Equity and Affirmative Action, amongst the
others). - Expected to possess relevant and reasonable theoretical knowledge and
understanding relating the functional area or specific departments or units in which
interns are placed.
Entry Requirements
- Be a South African of less than 35 years of age, with a valid South African ID.
- Relevant post matric qualification obtained from a recognised institution of higher
learning.
District Coordinators x15 (R150 000 all-inclusive package)
Key Responsibilities:
- Programme Implementation and Coordination
- Lead and oversee the roll-out of national or regional programmes within the district.
- Develop and monitor district implementation plans and ensure alignment with timelines
and outcomes. - Coordinate local-level delivery through district officials, implementing partners, and
community-based organisations. - Facilitate workshops, training, and community engagements to strengthen programme
ownership.
- Stakeholder Engagement and Partnership Management
- Establish and maintain strong working relationships with provincial government
departments, municipalities, traditional leadership, civil society, and private sector
actors. - Represent the programme in district stakeholder platforms and coordination structures.
- Serve as the primary liaison between the national office, implementing partners, and
district counterparts.
- Communication and Advocacy
- Develop and implement a district communication plan aligned with the national
communication strategy. - Prepare press releases, briefs, and updates for stakeholders and the media where
required. - Document and disseminate success stories, lessons learned, and case studies to
highlight programme impact. - Ensure consistent branding, messaging, and visibility of the programme in all district
activities. - Facilitate internal communication flows between the district team, districts, and the
national secretariat. - Support public engagements, advocacy campaigns, and awareness events that
promote programme goals
- Monitoring, Evaluation, and Reporting
- Collect, analyse, and validate programme data in collaboration with M&E officers.
- Prepare and submit high-quality monthly, quarterly, and annual reports.
- Monitor progress toward targets and identify risks or implementation gaps.
- Recommend evidence-based improvements to enhance efficiency and impact.
- Operational and Financial Management
- Manage district budgets, expenditures, and procurement processes in line with
organisational policies. - Ensure compliance with financial and administrative procedures.
- Oversee logistical planning for workshops, meetings, and field activities.
- Team Leadership and Supervision
- Supervise and mentor district coordinators and support staff.
- Foster a culture of teamwork, accountability, and excellence.
- Support staff development and performance management
Minimum Qualifications and Experience
- Education: Bachelor’s degree in Public Administration, Development Studies,
Communications, Social Sciences, or a related field. - Experience: Minimum 3 years of experience in programme coordination,
communications, or stakeholder engagement, preferably within government, NGO, or
development sectors. - Demonstrated experience in managing communications and media relations at district
or project level. - Proven experience in working with multiple stakeholders and cross-sectoral partners
Finance Officer (R600 000 all-inclusive package)
Key Responsibilities:
- Financial Management
- Lead Prepare monthly Trial Balance
- Assist in preparing of Annual Financial Statements
- Maintain debit, credit, and total accounts on spreadsheets and databases.
- File invoices.
- Keep record of transactions taking place
- Reconciliations
- Reconcile, adjust, and maintain balance sheet accounts (such as prepaid expenses,
petty cash,accounts receivable,payroll,suppliers etc.). - Conduct bank reconciliations.
- Conduct reconciliations of payments made and submit to the Finance Manager for
review and approval. - Post batches to have effect on the age analysis
- Reporting
- Compile, financial or accounting reports and tables pertaining to such matters as
cash receipts, expenditures, accounts payable and receivable, profits, and losses. - Provide audit documents as requested,
- Compile Monthly accounts report for submission to the Finance Manager.
- Compile variance reports.
Minimum Qualifications and Experience
- NationalDiploma/AdvancedcertificateinAccounting/Financial Management or relevant
NQF Level 6 - At least 3 years’ relevant experience
- Knowledge of Accounting packages, Knowledge of administrative,
clerical procedures and systems), SAGE system, PFMA
