Investment Admin Specialist and Executive Assistant

Job DescriptionAfrican Infrastructure Investment Managers (Pty) Ltd was established in 2000 and has established itself as a leading niche private equity fund manager, specialising in infrastructure equity investments in the African market. AIIM actively manages investments in East, West and Southern Africa and has assets under management of USD 2.6 billion with a track record extending across seven African infrastructure funds.

Investment Administration

AIIM is primarily seeking a Investment Administration Specialist to support the SADC Investment teams in respect of investment administration and coordination of investment meetings, and investment forums; in accordance with Service Level Agreement parameters. Additionally, the applicant will partner with Finance & Operations Team and other group administrators and service providers to deliver a variety of investment administration related functions and will be individually accountable for achieving results through own efforts.

The successful candidate will be responsible for but not limited to:

  • Assist the director of origination in the capturing of rejected deals, passed on deals and deals taken forward to deal screening (formal consideration);
  • Organising and preparing for investment meetings, including gathering documents, developing agendas and attending to logistics of meetings for internal and external stakeholders;
  • The minuting of these meetings, the preparation of matters arising schedules and the maintenance of a database of cost approvals and/or key approval conditionality as applicable. In addition, ensuring cost approvals and/or key approval conditionality is captured in Investment Notification forms for capture in the investment enterprise management software of the Old Mutual Alternative Investment group;
  • In respect of new transactions:
    • Monitoring and assisting the Investment Team with the filing and organising of internal control documents evidencing transaction completion including accurate records of important documentation and liaison with group stakeholders and service providers to secure timeous completion of such documents
    • Monitoring and assisting the Investment Team with the sourcing of key investee company data including that needed for the verification of banking details, compilation of ESG reporting, the undertaking of KYC checks and the appointment of directors;
  • In respect of existing assets and recently closed transactions:
    • Filing and organising investment records, transaction documents, third party reports and internal approval documents;
    • Periodically review historic electronic filing of the broader team to ensure compliance with agreed principles of appropriate record keeping and flag to senior management repeated instances of non-compliance;
    • Filing and organising invoices, internal approvals and other important documentation in relation to the management and preparation of draw requests and payments as well as ensuring the compliance of draws and payments with internal approvals
    • Monitoring and assisting the Investment Team with the sourcing of key investee company data including that needed for the compilation of ESG reporting, the appointment of directors and maintaining accurate records in respect of board approvals, resolutions, management accounts, forecasts and annual financial statements;
  • In respect of the investment portfolio: Compile portfolio data and bespoke team and stakeholder contributions in standard format client quarterly and semi-annual reporting;

Executive Administration

AIIM is secondarily seeking a Senior Executive Administration Specialist to supplement the incumbent executive in the provision of support SADC Investment teams in respect of investment administration, in accordance with Service Level Agreement parameters.
