MINIMUM QUALIFICATIONS

Grade 12 & secretarial qualification

MINIMUM EXPERIENCE

  • 5 years’ experience in administrative duties

MAIN RESPONSIBILITIES

Accurate document / information processing and management.

  • Demonstrate the ability to use technology and equipment.
  • Capture data within a standardized format.
  • Distribute to relevant stakeholders.
  • Maintain Information – Store and File for easy future access.
  • Assist with signature of confidential documentation and contracts for SSB Operations Executive.

Effective office administration / management.

  • Render a personal support service to clients.
  • Attend monthly Manco meetings, take minutes, compile and distribute to Manco members.
  • Ensure leave plan updated and managed.
  • Supports Operations Executive and other Admin (HR, Finance and ISC) Manco Leaders in their daily activities.
  • Liaises with staff in different departments.
  • Responsible for keeping supply of stationery and office supplies for Admin.
  • Processing Purchase Requisitions, Reservations and Service entries on SAP ERP
  • Arrange Safety Equipment for visitors when required.
  • Maintain Diary of Operations Executive.
  • Process General Expense claims and manage Site credit card.
  • Manage Courier services (DHL & Skynet) for National and International deliveries of Documents and/or Samples when required.
  • Update front screen (security) with appropriate company information.

Organized resources (events, meetings, functions, travel and time).

  • Co-ordinate travel arrangements.
  • Arrange Site functions and events.
  • Organize meetings on request.

Effectively execute communication initiatives.

  • Coordination of Site communication.
  • Manning Switchboard and taking messages for Executive.
  • Ensure Telephone Directory is updated.
  • Support Communication to achieve annual objectives.
  • Assess and adapt to the communication needs of relevant stakeholders.
  • Assists Management with correspondence eg. To copy information on Company Letterhead and News Line using Microsoft Office i.e. Word / Excel / PowerPoint
  • Arrange visits and compiles itinerary for Operations Executive.
  • Liaise with external visitors to Safripol by arranging accommodation, airport pickup and drop off. Process Invite letters to obtain visas.

Develop and maintain effective relationships.

  • Demonstrate professionalism.
  • Promote teamwork.
  • Build and maintain positive relationships with colleagues.
  • Assistance to managers during and after working hours with handling of crisis situations.
  • Ensure client satisfaction.
  • Liaise with security officers regularly regarding visitors arrival on Site, to maintain a smooth flow by following security protocol.

Managing own learning.

  • Demonstrate the Function’s specified behaviors for the relevant values.

Work within the system.

  • Knowledge of the Safripol organization.
  • Demonstrate understanding of Safripol information relevant to the Function.
  • EDRMS – review status of documents. Forward for revision / validation / approval.  Send out reminders as needed. 
  • Process electronic requests for meals / refreshments for Executive visitors.
  • Manage Pool Car requirements (bookings, maintenance, licenses, etc.).

MINIMUM CRITICAL REQUIREMENTS

  • Excellent communication skills.
  • Ability to interact with people and employees at all levels.
  • Must be able to work under pressure.
  • Ability to manage multiple activities.

MINIMUM QUALIFICATIONS

  • B-Eng Mechanical Engineering or equivalent. GCC is a strong preference.

MINIMUM EXPERIENCE

  • 5 – 8 Years Mechanical Maintenance Experience in a Chemical/Industrial environment.
  • Experience in plant legislative requirements: Pressurized Equipment Regulations etc.
  • Experience in Improve Reliability techniques.

MAIN RESPONSIBILITIES

  • Provides technical expertise to plant personnel on troubleshooting failures, repairs, and evaluating whether equipment is designed to meet its intended or existing service conditions.
  • Serves as a subject matter expert in equipment failures and repair techniques during root cause investigations.
  • Provides engineering support for specification, identification, and purchasing of needed parts.
  • Provides maintainability input to Project Methodology (PM), Six Sigma, and other improvement activities.
  • Provides technical input on scope of work for daily maintenance and turnaround jobs.
  • Determines appropriate near term actions on Evaluated Condition Based Monitoring (CBM) results.
  • Participates in developing the maintenance equipment strategy from the facility strategy by providing technical and historical information.
  • Understands the economic impact of engineering decisions taken. Provides technical input for developing the maintenance budget.
  • Provide equipment reliability and performance data to the technical resource networks for input into equipment purchasing requirements, evaluation of equipment performance, vendor performance, and modifications to MET level 1, 2, or 3.
  • Provide technical expertise in risk management programs.
  • Responsible for maintaining and developing the statutory integrity of respected area of responsibility.

MINIMUM CRITICAL REQUIREMENTS

  • Proficient in Maintenance Management Systems (SAP etc.)
  • Must have good Interpersonal Effectiveness, Leadership; Productivity Focus, Technical Capability, Initiative and strong assertiveness.
  • Have a high level of computer literacy.
  • Work within an empowered Maintenace Team.
