Kouga Municipality, is committed to the prescripts of the approved Employment Equity Plan and furthermore invites suitably qualified applicants to submit a detailed application for the following position:
OFFICE ADMINISTRATOR: CHIEF FINANCIAL OFFICER
REQUIREMENTS:
Relevant NQF level 6 qualification in Secretarial/ Public Administration;
3 years relevant experience;
Secretarial skills at a senior level, some of which should preferably have been gained in a local government environment;
Proficiency in minute taking and undertaking of independent research;
Attention to detail;
High level computer Literacy: Office Applications;
Sound communication skills (oral and written);
Good computer knowledge in office applications;
Good planning skills;
Must be able to speak, read and write in at least two of the official languages in Kouga Municipality (Afrikaans, English, and
Xhosa).
SPECIAL CONDITIONS:
Nil.
SALARY: R283 151,07 – R367 497,19 per annum
TASK: 10
DUTIES:
Implements specific tasks/ activities associated with the provision of Secretarial support to the Chief Financial Officer;
Maintains and access records of discussions, instructions and correspondence;
Schedule, Confirming and updating the diary of the Chief Financial Officer and altering or indicating priority/ urgent meetings requiring attention;
Liaising with visitors at the Chief Financial Officer’s office, and attending to their queries and nature of the visit;
Attending to the ordering of office supplies, printing and photocopying;
Liaising with scribes to ensure that the Portfolio Minutes are signed off and returned to scribes;
Perusing Council and Committee Agenda and Minutes of Meetings and identifying with items associated with the Chief Financial Officer;
Updating the correspondence register inserting reference numbers and subject of correspondence received and in circulation and/ or seeking information and approval of and communicating response established for specific/ or routine matters;
Preparing notification, agendas and minutes for specific office events (Council/ Executive Committee, Internal Meetings) and attending to the distribution and/ or arranging for the collection of documentation prior to scheduled meetings;
Maintaining stock of standard forms and stationery and completing requisition orders to facilitate the replenishment of items prior to depletion;
Performs specific tasks/ activities associated with the provision of Secretarial support;
Procurement of specific items as requested by the Chief Financial Officer.

3 years relevant experience as Office Administrator in similar position.
Secretarial skills at a senior level, some of which should preferably have been gained in a local government environment;
Proficiency in minute taking and undertaking of independent research;
Attention to detail and consistently upholding excellent office administration
High level computer Literacy, use end execution: Microsoft Office Applications;
Sound communication skills (oral and written);
Excellent planning skills; agility and adaptation to a dynamic work environment.
MUST be able to work under severe pressure.

Maintains and access records of meetings and discussions, instructions and correspondence;
Schedule, confirming and updating the diary / calendar of the Director: Civil and Water Services and altering or indicating priority/ urgent meetings, correspondence and emails requiring attention;
Accumulate data, capture and formulate into presentations, reports and portfolio items;
Liaise with Managers to ensure adherence to all administrative requirements, action sheets and reports required from the Director Civil and Water Services;
Adhere to daily and weekly updates of data, records and statistics;
Liaising with visitors at the Director: Civil and Water Services office, and attending to their queries and nature of the visit;
Attending to the ordering of office supplies, printing and photocopying;
Liaising with scribes and role-players to ensure that the Portfolio Minutes are signed off and returned to scribes;
Perusing Council and Committee Agenda and Minutes of Meetings and identifying with items associated of the Director: Civil and Water Services;
