OFFICE OF THE DVC: TEACHING AND LEARNING

POST: EXECUTIVE SECRETARY (POST. REF. :90000007) (PERMANENT)

MINIMUM REQUIREMENTS

QUALIFICATIONS:

  • National Diploma (NQF Level 6) in Office Management/Administration or Business Administration.

EXPERIENCE:

  • At least 5 years of experience in a secretarial/administrative role, of which a minimum of 3 years must have been at an executive level.
  • Proven experience in multidisciplinary office management.

 KNOWLEDGE & SKILLS:

  • Considerable knowledge of secretarial standards, office practices, and Business English.
  • Demonstrated high-level computer literacy (MS Office Suite, Internet).
  • Experience in drafting professional correspondence, memoranda, and reports independently.
  • Familiarity with modern office equipment and record-keeping systems.
  • Experience in budget management and proficiency in Excel.
  • Ability to quickly learn and work with DUT’s financial and operational systems.

 KEY RESPONSIBILITIES

  • Manage the DVC’s schedule, appointments, and daily workflow.
  • Coordinate all office activities and represent the DVC when delegated.
  • Handle sensitive and confidential executive tasks with discretion.
  • Draft, format, and prepare high-level correspondence, reports, and presentations.
  • Manage incoming communication and interface with staff, students, and external stakeholders.
  • Organize domestic and international travel arrangements and maintain accurate travel records.
  • Plan and coordinate meetings, events, and catering within budget limits.
  • Maintain the office’s filing systems (manual and electronic) for efficiency and compliance.
  • Monitor office supplies and equipment, and liaise with procurement when needed.
  • Prepare, track, and report on staffing budgets, performance data, and study leave schedules.
  • Provide first-line support to visitors and ensure efficient communication flow.
  • Support the wider administrative team and serve as a resource for junior secretarial staff.
  • Engage in continuous professional development and training relevant to the role.

Institutional Planning, Monitoring and Evaluation

Post: Institutional Planning Officer

Minimum Requirements:

  • Honours Degree or equivalent (NQF 8) in a relevant discipline.
  • 5-8 years relevant experience in developing organizational strategic and operational plans.
  • Knowledge and understanding of strategic and operational planning and reporting principles.
  • Understand internal and external factors which impact on strategic direction of the Institution and ensure these are reflected in forecasts.
  • Ability to identify challenges, trends, and opportunities.
  • Knowledge of planning analysis tools and modelling.
  • High level written and oral communication skills in the business language of the University.

Summary of Duties:

  • Maintains and further develop the strategic planning framework and design approaches for strategic and multi-year operational planning.
  • Facilitate the line of sight between Institutional strategy and the APP and EAPP and facilitates the cascade of this alignment to divisional-, faculty- and departmental-level operational plans and tactical plans.
  • Collaborate with and capacity build stakeholders responsible for KPI achievement on planning execution principles and concepts.
  • Supports in the mid-term/cyclical review of the strategic plan.
  • Supports in the facilitation of adaptive management learning sessions.
  • Manage all administrative processes surrounding the strategic and operational planning process.
  • Collate data into reporting templates and draft written narratives for mandatory, statutory and management plans and reports.
  • Compile plans and complete reports, in alignment to DHET regulations and institutional requirements, for submission to DHET and Council.
  • Review the planning and reporting processes to make process improvement recommendations to line management.
  • Collaborate with Institutional Planning Monitoring and Evaluation (IPME) team and other stakeholders to support collation and compilation of data and information for the preparation of plans and reports.

Post: Senior Assets and Liability Management 

Minimum Requirements:

  • Degree in Accountancy, Finance, Business, or any other relevant qualification (NQF Level 7).
  • 3 to 5 years’ experience in asset management preferably in a higher education environment or a large organisation of which 3 years should have been in an asset management role.
  • Knowledge of relevant legislative requirements and rules applicable to asset management, structured finance
  • Understanding of IFRS and other relevant accounting standards
  • Understanding of asset management practices
  • Understanding of Financial systems
  • Advanced Proficiency in MS Office
  • Proficient in IT systems to manage asset.
  • Demonstrated ability in asset, risk management.

Summary of Duties:

  • Provide data and information as requested by the Manager Asset Management for input into the Asset strategy to support the strategic objectives and annual performance plan for DUT.
  • Provide data and information for the drafting, communication, and monitoring of the implementation of an operational plan for the effective running of the asset function.
  • Support the identification and communication of plans to protect and maintain assets and minimise any potential liabilities.
  • Support the review, updating and development of policies, procedures, and process to manage and safeguard asset management.
  • Ensure compliance with relevant policies and identify non-compliance matters for escalation.
  • Support the management of DUT assets and student residence assets in accordance with DUT policies and procedures.
  • Ensure that accurate appreciation and depreciation costs are reflected in the finance system.
  • Develop contingency plans to protect and safeguard DUT assets in consultation with protection services.
  • Provide data and information for the review of the replacement vs the repair of movable assets and support the manager’s recommendations.
  • Ensure the timeous maintenance and repairs of assets and ensure adherence to budget provisions in liaison with the respective departments and services.
  • Reconcile systems data to asset registers. Report and investigate variances and submit monthly reports to the Manager Asset Management detailing variances and reasons for deviation.
  • Conduct an annual review of insurance suppliers through the DUT procurement process.
  • Ensure that asset-related documentation and records are saved and archived in accordance with the DUT document management system.
  • Support the management of delivery on service level agreements / contractual obligations with external insurers.
  • Support all liaisons with external stakeholders to address and resolve any asset or insurance-related matters.
  • Support engagements with insurers on insurance claims, renewals, and escalated queries.
  • Provide information and guidance to internal stakeholders regarding insurance queries and claims.
  • Prepare reports for the purpose of reporting to various structures as required, in accordance with the reporting schedule.
  • Review or draft asset related reports to internal and external stakeholders and submit to relevant stakeholders.
  • Compile and consolidate all relevant data, information, and statistics required for the drafting of the asset management report for submission to the Manager Assets and Liability Management. Support the manager in drafting and presenting the report.

  • To provide support to clients and training to business process owners by empowering users while continually reviewing and improving business processes through the implementation of changes to the designated application environment.

Duration

Five (5) years fixed contract as an HOD, renewable for one additional term based on performance.

Summary of duties:

– Dealing with student queries and complaints regarding the Department;

– Managing and supervising staff which include:-

  • Providing leadership to the department in respect of Teaching & Learning, Research and Community Engagement.
  • Enhancing staff relations and building the team towards effective pursuit of the Envision 2030 strategic plan.
  • Representing the department in relevant institutional, regional and national fora.
