ADVERTISEMENT OF THE POST OF DIVISIONAL ASSISTANT

Post : Divisional Assistant: Education and Advocacy
Basic Salary Per Annum : R308 154
Centre : Pretoria, Groenkloof

Purpose of the job
To provide administrative and related support to the components of Education, Compliance and Advocacy Division of the NCC

Key Responsibilities

  1. Provide secretarial and administrative support to officials of the division
    1.1 Assist with co-ordinating and organising meetings/ appointments,
  2. 2 Make arrangements for refreshments and attend to other necessary logistics for meetings,
    1.3 Provide the necessary support for events, including registration,
    1.4 Receive guests and clients,
    1.5 Assist with typing of reports and submissions,
    1.6 Assist with maintenance and capturing of statistics and other records,
    1.7 Update and maintain case registers, consent orders, compliance notice and search warrant registers,
    1.8 Assist with opening and labelling of files in the approved format,
    1.9 Receive and distribute mail, and other relevant correspondence,
    1.10 Relieve the Receptionist as and when required,

  1. Manage the administrative functions of the Division
    2.1 Obtain all necessary prior approvals for all expenditure,
    2.2 Take accurate messages for all officials,
    2.3 Compile agendas for meetings after consultation with officials,
    2.4 Prepare meeting packs,
    2.5 Take accurate minutes of meetings,
    2.6 Ensure attendance lists are completed,
    2.7 Retrieval and storage of case related files and documents,
    2.8 Assist with securing resources for officials and the Division,
    2.9 Arrange all teambuilding and special events for the Division.

  1. Manage all travel and accommodation arrangements
    3.1 Assist and make arrangements for official travel including accommodation arrangements for officials,
    3.2 Ensure that the necessary approvals for travel and accommodation requests are obtained,
    3.3 Manage the travelling and accommodation bookings,
    3.4 Assist with subsistence and travel and claims.

  1. Ensure accurate administration of financial, stationery and procurement functions of the Division
    4.1 Manage stationery control function,
    4.2 Assess requirements,
    4.3 Obtain necessary approval for ordering of stationery,
    4.4 Attend to petty cash function and control,
    4.5 Ensure that claims and payments are made under proper line items in budgets.

  1. Coordinate events for the Division
    6.1 Facilitate events for the Division

Minimum Qualifications: Matric certificate with a programme or certificate or Diploma in Secretariat or Office Management or Public Administration and Management.

Minimum Experience: 3 years secretariat and administrative experience in private sector or government service within the Marketing and Communications or Stakeholder management

Minimum Training: Computer Literacy (Microsoft Office 365)
