This role will be the first point of contact – the face and voice of PPC Group. You will welcome visitors and take calls in a warm and professional manner. You will appreciate the importance of reception and the significance of being at the forefront of a successful business.
Act as the Facility coordinator in ensuring the smooth and efficient running of the office and all ancillary facility operations.
Support and assist with administrative support services as and when required.
Minimum Requirements
Diploma in front office management, Administration or related qualification
Minimum 3 years’ in the Reception and Administrative Assistant role.
Minimum 3 years’ in facility operations.

Duties and Responsibilities
Accommodate visitors, clients and job candidates.
Operate switchboard and direct potential clients, customers to relevant departments.
Coordinate meeting room bookings and setting up meeting rooms in collaboration with Cleaning Staff.
Manage all outgoing and incoming courier and mail.
Manage all matters pertaining to reception/office appearance, utilities and facilities.
Support the Manager in the CEO Office on office and facility management.
Maintain database of suppliers and service providers.
Effectively procure and administer office furniture and supplies/goods/consumables and ensure effective stock control procedures/processes are in place.
Record and process all incoming invoices, gaining appropriate approval where necessary, and forward to Finance Department in a timeously in line with Procure to Pay protocols, SLAs’ and Facility budget, and provide monthly reports.
Prepare expense claims for credit card, gaining appropriate approval where necessary, and forward to Finance Department in a timeously.
Maintain updated list of Group Support Services staff names and contact information in collaboration with the HR department.
Administer access control system in line with active employees and provide monthly access control reports.
General administrative tasks including developing and maintaining filing systems and procedures.
Ad hoc duties as required and directed by your line manager.

Manage and control materials and stock levels at the plant.
Manage and co-ordinate production, administration, and maintenance.
Ensure that team members carry out cleaning, lubrication, and inspection.
Carry out daily and weekly Inspections/checks related to stock and material control.
Manage daily staff challenges and HR related matters.
Ensure daily short interval controls are done in accordance with the Company policy and procedure.
Conduct performance reviews and regular one on one discussion with subordinates in accordance with Company policy and procedures.
Manage and establish a safe and healthy environment.
