Job Purpose:

The Financial Administrator is responsible for any financial related task of the campus and ensures all finance administration is complied with on site.

Duties & Responsibilities:

  • Role and Responsibilities· This position records the day-to-day financial transactions of the Campus and is responsible for writingup/recording, the daily receipts, payments in the correct ledger account· Assist with cash sales collected and banking,· Responsible for the Cash up procedure and daily banking of all receipts, electronically or on site· Responsible for providing copy of account statements on request· Responsible for the Cash up procedure and daily banking of all receipts on site· Monthly billing of sundry cash receipts
  • Additional Responsibilities/TasksIn addition to these typical duties, may perform other duties as assigned and required· Refund requests, hand letter of requirements to Account payer/student; load all necessary documents on cheque tracking (Principal to sign off)· Prepare 1 Copy of hand over files – from list provided by Central Debtors (when required)· Assist with suspension of student cards – from list provided by Central debtors (when required)· Direct queries from Students/account payers to Debtors @ National if you cannot resolve 
    TECHNICAL/Preferred SKILLS REQUIRED· Must be highly skilled in dealing with financial and numeric data· Must be highly skilled in use of Excel Spread sheets.· Ability to work well with others under deadline situations and respond to changes in priorities.· Good written and verbal communication skills and strong organizational skills.· Ability to work independently, take initiative, set priorities and see projects through to completion.· Strong service orientation.· Reporting· Complaints & Telephone techniques

Minimum Requirements:

  • Higher Certificate in Accounting/ Finance
  • Diploma in Accounting is ideal.
  • 1-2 years’ experience as a Financial Administrator
  • Experience within a higher education institute is preferable.

Job Purpose:

To provide an efficient and effective Human Resources generalist function to line thus enabling them to meet their people strategy objectives.

Duties & Responsibilities:

Recruitment and Selection:

  • Advertises jobs (all vacancies for full / part time employees and contractors) internally and externally.
  • Liaises with recruitment agencies.
  • Negotiates recruitment rates with recruitment agencies
  • Screens applicants – in line with Employment Equity (EE) targets and approved People Strategic initiatives targets
  • Ensures adherence to recruitment policies and procedures as well as South African Labour legislation.
  • Sets up interviews.
  • Conducts competency based Interviews.
  • Conducts credential checks.
  • Coordinates / administers psychometric assessments and job specific tests.
  • Ensure all applicants have had feedback; i.e. regret letters, not successful but keep on data base letters etc.
  • Prepares documentation for authorization in terms of approved Advtech Process
  • Prepares Offer Letters

 Performance Management:

  • Coordinates and guides line managers on the performance management process.

  • Assists line managers with coaching initiatives. 
  • Conduct career path planning sessions. 

 Training and Development:

  • Conducts staff induction.
  • Conducts skills audits.
  • Draws up training plans within approved budget
  • Coordinates training in line with training plans.
  • Assists and guides line managers with coaching and mentoring initiatives.
  • Coordinates learnerships, internships and skills programmes.
    Calculates Return on Investment (ROI).
  • Facilitates team building interventions.
  • Liaises with Sector Education and Training Authority (SETA).

 Remuneration and Payroll:

  • Ensure all staff, contractors, temps and casuals are paid within the agreed specified periods
  • Assist line managers with payroll process within agreed to timelines
  • Assist with the market research and other initiatives regarding market salaries
  • Assist line managers with increase process to ensure fair and equitable annual increases
  • Assist line managers with bonus process to ensure fair and equitable bonuses
  • Ensure actual payroll expenses are within approved budget
  • Generate, and analyse reports and proposals for rectification of problems.
  • All variances must be reported in terms of standard approved processes
  • Assist managers with the management of leave and other benefits.
  • Prepare monthly Leave reports and highlight concerns, problems and deviations from approved processes and policies

 Industrial Relations:

  • Advises and guides line managers on all staff relations issues
  • Coordinates disciplinary, grievance and appeal hearings.
  • Assists line managers with progressive discipline, i.e. absenteeism management and poor performance.


Minimum Requirements:

Qualifications

  • Advanced Diploma/Bachelor’s Degree (NQF Level 7) in Human Resources Management, Industrial Psychology, or equivalent.

Experience

  • 4 Years of Human Resources Officer – generalist experience.

Job Purpose:

To develop and manage collections of recorded material and the delivery of information services to users. Library collections can include books, journals, newspapers, pamphlets, manuscripts, maps, films, sound recordings, microfilms, CD-ROMs, e-books, e-journals, and databases. The position also supports research and research practice for both students and Online Students. Promote intellectual integrity and ethical scholarship

Duties & Responsibilities:

    • Implements library policies and provide feedback to National Librarian 
    • Manage Library activities by facilitating access and process

Minimum Requirements:

Qualifications

  • Bachelor’s degree in library and information science.
  • Honours degree in library and information science.

Experience

  • Minimum of 2-3-year working experience in a relevant field,
  • 3-4 years working in the academic Information Centre.

Job Purpose:

The Payroll Administrator will be responsible for payroll and benefits administration. The Payroll Administrator acts as a link between the HR, Payroll Departments and other business stakeholders. The incumbent will be responsible for coordinating input, processing on employee central system and responding to payroll related queries. The successful candidate is expected to have knowdge and understanding of payroll administration processes. The candidate will also facilitate administration for employee benefits onboarding and off boarding.

Duties & Responsibilities:

Input Processing 

  • Monitor and action payroll input submitted via shared space/ticketing systems.
  • Validating the information received for accuracy and completeness
  • Accurate capturing of input received on EC or global input file inline with Payroll guidlines
    – Verifying total kilometers travelled and the rate per kilometre for each travel claim received.
    – Verifying total overtime hours as per the claim and the claim rate payable.
    – Validating and verifying the hours for additional work and capturing the claim using the correct cost centre.
  • Processing of New Starts, Late Starts, Promotions/Demotions, transfers and Terminations on EC
    – Ensuring that all relevant supporting documents are on record for all staff movements/transactions.
    – Completing the CTC salary structure according to Payroll guidelines on EC
    – Competing the benefits structure as selected by employee
    – Verifying that the employee Job Details on EC match that of the supporting document (i.e. Offer of employment or P3, reporting lines and department)
    – Ensures that the Provident Fund contribution % correlates with employee onboarding supporting documents.
  • Updating of payroll transactions which require corrections on electronic correction forms
  • Capturing of bank details changes (where applicable), where banking details are updated by employee via EC ESS, verify bank details against Proof of Banking details uploaded on file.
  • Assists with the the annual payroll audit process providing information/ documents as requested by line manager.
  • Identifies payroll risks and escalate to line manager for intervention.
  • Monitors adherence to company payroll policies and procedures, where deviation is identified, reports same to line manager.

Stakeholder Engagement/Relations

  • Liaising with HR department regarding payroll closing date/timelines as approved by Payroll Lead, in collaboration with GSS/PS, i.e. Payroll calendar.
  • Attends to Payroll queries and escalates to line manager where required.
  • Distributing of Payroll Recon for Payroll checks to be done by HRO/HRA and campus/department heads.
  • Facilitates and coordinates the administration of payroll approval processes as directed by line manager.

Reporting and Documentation

  • Compiles monthly input register for input control purposes. 
  • Reports on Banking details changes for the month and ensures that the line manager receives the report for verification and validation purposes.
  • Ensures that all relevant supporting documents for input/payroll processing are saved in the correct folders for easy access and for compliance with Payroll guidelines.

Benefit Administration

  • Ensures that all onboarding documents for medical aid or medical insurance are completed correctly(by employee) and submitted for verification to line manager.
  • On termination of employment/cancellation of benefits(where applicable), facilitates the administration of off-boarding the employee from medical aid and medical insurance.
  • Ensures that the thirdparty termination notices are completed on time.
  • Obtains the line manager signature/approval for all onboarding and off boarding of employees as per benefits administration guidelines.
  • Coordinates the administration of death, disability and ill health benefits ensuring (in collaboration with HR) that insurer administration requirements are completed.

Minimum Requirements:

Qualifications

Minimum

  • Diploma (NQF Level 6) Qualification in HR, Administration or similar

Advantageous

  • Certificate in Payroll Administration

  • 5 Years Experience in computerised payroll administration

Job Purpose:

Maximise productivity & supervision within the Debtors team.  Minimizing accounts from being overdue/arrears, minimizing the handover of accounts. Supervisor will be specialized in different aspects of the debt collection department and supervise the team in line with this specialization.

Duties & Responsibilities:

  • Supervision of team which includes:
    • Daily, Weekly and monthly staff statistics on collections, PTP made, broken PTP and average talk time, conversion rate,
    • Training and counselling where standards are not met via training or disciplinary.
    • Updates on risk categories of debt and the way forward.
    • Loading, calls, Sms and email campaigns.
    • Assisting collectors during a call by using the call whispering function
    • Monitoring and reporting on daily, weekly, and monthly performance collection vs set target
  • Deal with all/any escalated queries or high-risk debtors from Senior credit controllers.
  • Tracing as required by team members.
  • Identifying accounts due for handover.
  • Accounts balance adjustments of any nature on accounts
  • WhatsApp messaging/SMS portal.
  • Assist with the month-end report.
  • Handling HR performance-related issues and escalation if necessary.
  • Send Monthly bulk Statements.
  • improve the system to be more efficient and effective.
  • Daily management of the age analysis & work planning and allocation accordingly.

Minimum Requirements:

  • Postgraduate Degree (NQF Level 8) qualification in Financial management or similar

Experience

Minimum

  • Debt collection experience – minimum 7 years
  • Debt collection supervision – minimum 4 years
