The Division of Human Genetics is based in the School of Pathology, Faculty of Health Sciences, The University of the Witwatersrand. The Division has a vacancy for a Senior Administrative assistant on a one year, fixed-term contract. The incumbent will focus on coordinating a wide variety of academic administrative, fiscal and program support activities for the Division. They will serve as a primary point of operational and administrative contact for the Division’s staff and students. This is a demanding position that requires someone who is a proactive and a positive thinker, and who is able to exercise good judgment.
Brief Description
Minimum education
BSc(Hons), Human Genetics or equivalent qualification (NQF8).
Minimum work experience
1 year work experience in a relevant field is required. Experience in project- or research management would be advantageous.

Tactful, respectful, and non-judgmental. Thoroughness, with good attention to detail. Good administrative skills together with working knowledge of Microsoft Office 365. Demands of the job

Key performance areas
- Academic administration:
a. Supports the Academic Head in planning and managing academic activities.
b. Responsible for ensuring academic information is up to date, including student records, timetables, meeting schedules and examination processes.
c. Ensures logistical planning and arrangements in aid of academic module administration.
d. Administration of continuing professional development activities (CPD).
e. Collate and capture research outputs.
f. Maintain an online filing system of all important academic documents.
g. Takes minutes of academic meetings and distribute to attendees timeously.
- Stakeholder engagement:
a. Facilitates communications and coordinates activities between staff, students and the leadership team.
b. Keeps an updated contact list of staff and students.
c. Communicate news and events to members of the Division.
d. Liaise with School and Faculty staff as Divisional main point of contact
- Financial administration:
a. Budget monitoring of Divisional accounts.
b. Collect, analyse and maintain relevant data to inform financial and operational strategies.
c. Advise staff on compiling cost estimations and obtaining quotations.
d. Ensure compliance with procurement requirements.
e. Advise staff on administrative requirements of grant management.
f. Take responsibility for Divisional transactions on the Wits Oracle finance system, incl. funds check, raising purchase orders and initiating payment process.
- Reporting
a. Works with the Academic Head to compile annual reports required by the School and University.
b. Puts systems in place for continual accrual of reporting data.
c. Follows up with staff and students to obtain reporting information.
- Effective self-management and performance ownership
a. Takes ownership and accountability for tasks and demonstrate effective self management.
b. Follows through to ensure that quality and productivity standards of own work are consistently and accurately maintained.

The University’s student housing programme comprises 5800 beds in 14 student residences (styled as “living and learning centres”) as well as accommodation for more than 300 visiting and permanent staff and their families, within and adjacent to the Braamfontein and Park town campuses. The Campus Housing & Residence Life (CHRL) Unit receives no University or state funding, so ongoing financial viability is a major priority, and the generation of substantial third-stream income is therefore essential. The Unit collaborates with students and other stakeholders to work towards developing cultures that are inclusive, empowering, innovative, and cosmopolitan, and that embrace diversity as a strength in learning, development and living. The University wishes to appoint a Deputy Director: Residence Life and Operations within CHRL unit.
Some of the duties of the incumbent will include:
· The incumbent reporting to the Director of Campus Housing & Residence Life (CHRL) will through cluster managers be primarily responsible for the day-to-day operational management of the various residences within CHRL.
· Critical duties of the incumbent include implementation/ executing of the University policies, plans and strategies of Campus Housing and Residence Life. This includes medium- and long-term planning and organising as well as management of administrative activities within CHRL.
· Through the Managers ensures the effective and efficient utilisation of human resources and oversees the performance management of staff that have direct reporting lines.
· Developing and maintaining a staffing plan (including the upskilling, training and development of existing operational staff) to ensure excellent service delivery and continuity of operations.
· Formulating standard procedures for dealing with a range of regularly occurring types of crises related to the care of students, and services.
· Developing and strengthening co-operative relationships with all the relevant University support departments that render direct service to the residences.
· Chairs the Occupational Health & Safety Committees within CHRL and ensures the development and management of appropriate health & safety systems and risk management strategies to mitigate risks to the University.
· Work with cluster managers and the Central Accommodation Office to ensure that placement of students in residences is done as per the established business processes
· Prepares and delivers operational reports to the CHRL Director on a monthly basis and as and when required.
· Regularly review operational and developmental needs related to residential and hospitality services & facilities within a constantly changing academic, social and economic environment.
· Direct and coordinate the implementation of strategic plans through the creation of operational plans within each major area of operations, with clearly defined goals.
· Assess incidents of student misconduct to determine appropriate courses of action – e.g. referral to the Legal Office or internal action within the division (reprimand, caution or financial penalty).
· Establish close working relationships with external accommodation providers to ensure a virtually seamless transition between on-campus and off-campus housing for students who are required to make way for new generations of junior undergraduates in line with the University’s commitments to the provision of on-campus housing for most new first-year undergraduates requiring accommodation.

Brief Description
Purpose of the position
Reporting to the Station Manager, the incumbent is responsible for ensuring the development, implementation, maintenance and evaluation of the station’s programming strategy. Further to this he/she will be responsible for the training and development of on-air talent.

- Strategic planning and management of programming
Develop, manage and continuously review the programming strategy of VOW, ensuring that this process is informed by the results of audience research, community forums, focus groups and legal requirements. - Management of programming resources
Manage, develop and grow the station’s on-air talent daily. In order to achieve this he/she must:
a. Be able to effectively direct, develop and grow the station’s on-air talent in order to achieve the station’s programming objectives. This includes regular performance assessment, feedback, training and guidance.
b. Be aware of the on-air content and ensure that the overall output of the station is in line with the station’s strategic objectives.
c. Ensure that the volunteers are able to work in an environment that enables them to perform their work at an optimal level (ie: adequate access to resources, equipment, training, etc).
d. Work hand in hand with the technical manager, deputy station manager and station manager to ensure access to the appropriate resources, opportunities and training.
e. Assess on an ongoing basis the quality and performance of the on-air talent and the overall impact on the station’s programming output.
- Implementation, management and evaluation of programming strategy
Ensure the station’s programming strategy is implemented and executed correctly, making sure that there is an ongoing improvement of systems and strategies which would allow for the realization of the programming strategy. To address this, the following should be observed:
