SUPPLY CHAIN MANAGEMENT ADMINISTRATOR (X2)

CLOSING DATE: 28 AUGUST 2025

REPORTING TO: SUPPLY CHAIN MANAGER
SALARY: MARKET RELATED
PERIOD: PERMANENT

KEY PERFORMAMNCE AREAS:

  • Receiving of request for quotations from user
    departments
  • Sending of request for quotations to prospective
    service providers
  • Sourcing quotes from service providers that are
    registered on the central database
  • Evaluation of received quotes according to the
    threshold values and applicable preferential point
    system and price Evaluation.
  • Sending purchase orders requisitions to successful
    service providers
  • Ensure that all materials purchased are of
    appropriate quality and price and are timely
    delivered.
  • Weekly update of RFQs.
  • Ensure that all procurement activities of the state
    Theatre are compliant to applicable legislations,
    regulations and transcripts.
  • Receiving of travel requests from end-users.
  • Send requests to a travel management company.
  • Sending of purchase orders to travel company.
  • Proper Filling and record keeping of open and
    active purchase orders.
  • Play a role during audit period by supplying
    auditors with SCM documents requests.
  • Creations and maintenance of an SCM manual
    and electronic filling system.
  • Control and performs tasks/activities with the
    application of specific supply chain management
    procedures associated with the procuring of products and/or specific services.
  • Communicating and interacting with officials
    from user-departments in respect of specific
    requirements and priorities.
  • Attends to procedural administrative requirements,
    records keeping and reporting deadlines
    associated with the functionality.
  • Prepare payment requests and collect all needed
    documents to facilitate payment submission.
  • Coordinate with Finance Department to make
    sure the payments are made to the supplier.
  • Keep good track of suppliers performance and
    maintain a database of good and reliable supplier
    for different categories of supplies, service and
    goods.
  • Perform other duties as required by the SCM
    Manager.
  • Advertise RFQs on e-tender.
  • Prepare pre-qualification spreadsheet.
  • Prepare for RFQ evaluations.
  • Prepare Consolidated scorecards.
  • Create minutes and a summarised report.
  • Communicate with the chosen supplier.

Tender and Acquisitions Management

  • Manage the end-to-end Tender and Quotation
    (RFQ) process in accordance with PFMA and
    applicable SCM legislation and the Supply Chain
    Management (SCM) policy, procedures and
    regulations.
  • Compilation of tender and quotation
    documents
  • Adverting and closing of Bids
  • Evaluation and Adjudication of Bids and
    Quotations
  • Serving as the secretariat to the BEC and
    BAC
  • Supply Chain Management Compliance
  • Reporting

PREFERRED MINIMUM EDUCATION AND EXPERIENCE:

  • National Diploma/degree in Public Procurement/
    Supply Chain Management

MINIMUM EXPERIENCE REQUIRED:

5 Years experience in Supply Chain Management,
Acquisitions Management and Tenders
Management.

Stage Assistant x2

DEPARTMENT: PRODUCTION
REPORTING TO: PRODUCTION MANAGER
SALARY: MARKET RELATED
PERIOD: PERMANENT

KEY PERFORMAMNCE AREAS:

  • Liaising with Décor and Wardrobe Co-ordinator
    with regards to customers booked for the day to
    ensure that customers are assisted accordingly.
  • Ensuring that customer orders are packed out.
    Packing returned décor back.
  • Assist with prop placement and tracking
    throughout the performance run.
  • Assisting in taking tables/chairs/podiums and Props
    to different theatres.
  • Assist with the setup and breakdown of stage
    elements, sets, and props.
  • Help manage and organize backstage areas to
    ensure safety and efficiency.
  • Maintain an organized, safe, and clearly labelled
    decor store (set/prop storage).
  • Track, store, and retrieve props and decor items
    efficiently during rehearsals and shows.
  • Setup outdoor stages and lights
  • Coordinate with design and technical teams
    to ensure all decor is accounted for and stored
    properly post-show.
  • Assist performers and crew with costume and prop
    needs, as directed.

PREFERRED MINIMUM EDUCATION AND EXPERIENCE:

  • Grade 12
  • 1 Year theatre or live event experience and
    familiarity with cue sheets, scripts, and backstage
    etiquette
  • Familiarity with prop tracking systems, inventory
    software, or labeling/storage practices.

DECOR COORDINATOR

REPORTING TO: PRODUCTION MANAGER

KEY PERFORMAMNCE AREAS:

  • Take bookings from customers regarding props,
    costumes, and décor and inform décor assistants
    of bookings.
  • Ensuring that customer orders are packed out.
    Packing returned décor back.
  • Controlling the issuing and return of costumes,
    Décor, props to internal and external clients.
  • Maintain documentation of décor assets,
    condition reports, and usage logs.
  • Coordinate with technical teams to execute
    scenic builds or modifications.
  • Ensure décor elements comply with safety
    standards and venue requirements.
  • Manage décor inventory, organize the décor
    store, and ensure safe storage of items.
  • Maintain calendars for technical rehearsals, set
    builds, and crew schedules.
  • Attend production meetings and document
    technical/decor updates and action points.
  • Assist in scheduling, budgeting, and tracking
    expenses for technical and décor departments.
