GROUP ADMINISTRATIVE ASSISTANT
The South African Health Products Regulatory Authority (SAHPRA) serves as the National Medicines
Regulatory Authority, established under the Medicines and Related Substances Act, 101 of 1965 (as
amended). SAHPRA is responsible for monitoring, evaluating, regulating, investigating, inspecting,
registering, and controlling medicines, scheduled substances, clinical trials, and medical devices, as

SALARY: R309 253.00 – R328 223.00 PER ANNUM (TOTAL COST TO COMPANY)

REQUIREMENTS: Applicants must hold a Matric certificate and a three-year Diploma in Administration
or an equivalent NQF level 6 qualification recognized by SAQA.
EXPERIENCE: Minimum of two (2) years of administration experience. Must be computer literate.
COMPETENCIES, KNOWLEDGE AND SKILLS: * Administrative practices, record keeping, and report
preparation. *Professional communication with internal and external stakeholders. *Basic ICT
systems, hardware, software, networks and troubleshooting. *ICT asset management and service desk
operations. *Procurement processes and stock/consumable management. *Proficiency in Microsoft
Office Suite (Word, Excel, PowerPoint, Outlook). *Ability to manage records, assets, reports,
schedules, and documentation efficiently. *Basic knowledge of computer hardware, software, and
networks. *Familiarity with ICT asset management systems and inventory tracking. *Ability to assist
in system updates and basic troubleshooting. *Strong clerical and organizational skills (filing,
documentation, record-keeping). *Ability to prepare reports, schedules, and minutes of meetings.
*Attention to detail and accuracy in records and documentation. *Strong organizational and
multitasking skills. *Clear communication and teamwork with internal and external stakeholders.

DUTIES: Operational management:
ICT Records Management: Maintain well-organized ICT records and documentation to ensure
accurate and timely access to information. ICT Asset Management: Maintain accurate and up-to-date
ICT asset registers. Record all asset issuing, transfers, returns, and disposals. ICT Service Desk Support:
Assist with call logging, tracking, and updating ICT service requests and incidents. Assist with
monitoring logged calls and following up on outstanding requests.
Group, Risk and Compliance:
ICT Meetings & Coordination: Schedule meetings with correct agendas and documents. Record and
distribute accurate minutes and action items promptly.
Financial Management:
ICT Procurement & Inventory Control: Maintain accurate procurement and supplier records. Monitor
ICT equipment and consumable stock levels, and request replenishment in a timely manner. Ensure
timely payment of ICT-related invoices.
People Management:
Self-management. Manage own Performance Management and Individual Development Plan. Living
the SAHPRA values.

DUTIES: QMS establishment: Develop, implement, and maintain the organisational Quality
Management System and its associated processes. Ensure effective monitoring, measurement, and
continuous maintenance of the QMS to support operational continuity. Maintain organisational
compliance with ISO 9001 standards and ensure successful certification and recertification.
Business Support and Advisory: Provide strategic and operational support on QMS governance and
implementation across the organisation. Develop, implement, and maintain documented information
required for effective QMS operations. Facilitate and coordinate continual improvement initiatives to
enhance organisational processes. Ensure complaints and queries related to quality management are
addressed and resolved within defined timelines. Review and approve change controls and deviations
to ensure process integrity and compliance.
QMS Governance and Compliance: Plan and coordinate internal QMS audits in accordance with
approved audit programmes. Compile and issue audit reports within stipulated timelines and monitor
implementation of corrective actions. Ensure effective management and closure of identified nonconformances. Support successful national and international regulatory assessments (e.g., ISO 9001,
PIC/S, WHO GBT). Facilitate QMS awareness and training initiatives across the organisation. Provide
accurate inputs into Management Review processes and monitor the implementation of agreed
actions and outcomes.
Quality Assurance and Risk Management: Monitor and evaluate organisational process performance
to ensure effectiveness and compliance with QMS requirements. Develop and maintain the annual
internal audit plan. Identify non-conformances, risks, and opportunities for improvement and ensure
appropriate corrective actions are implemented. Maintain accurate and compliant process-related
records. Standardise documentation templates and guidelines and ensure timely review of
documented information for adequacy and approval. Promote and integrate a risk-based thinking
approach within organisational processes and documentation to mitigate potential risks and
undesirable outcomes
