School Bursar

SCHOOL BURSAR

Key Responsibilities

  • Maintain efficient and effective accounting processes and provide timely, complete and accurate financial and management information to support the school in achieving its financial goals.
  • Prepare financial statements and reports, including income statements, balance sheets, cash flow statements, analyse monthly financial reports, as well as detailed variance analysis supporting these reports.
  • Be able to communicate financial results and variances to management and FinCom.
  • Identify opportunities for cost saving initiatives, conduct financial analysis to inform business decisions and proactively analyse business data.
  • Manage budgeting and forecasting activities. Maintain and update financial forecasts.
  • Updating operational cash flow models to provide management and the Board with accurate and timeous cash flow forecasts.
  • Lead budgeting and forecasting activities, ensuring alignment with the school’s strategic goals.
  • Monitor financial transactions and reconcile bank accounts daily.
  • Manage school fees, billing, collections, and debt management.
  • Manage collections and reporting for excursions, sports, and events. Proactively identify high-risk accounts and ensure timely intervention or escalation for recovery action.
  • Preparation of supporting schedules to the annual financial statements.
  • Ensure compliance with relevant accounting standards, statutory legislation, and school policies.
  • Maintain effective internal controls
  • Drive the implementation of credit control strategies
  • Review, monitor, and enforce compliance to debt collection procedures
  • Monitor and manage outsourced debt collection partner performance and track recovery outcomes.
  • Manage payroll ensuring accuracy and timeliness.
  • Assist and maintain accurate HR records including drawing up employment contacts ensuring legal compliance.
  • Provide financial guidance and support to the Headmaster, School Management Team, and Board of Governors

Skills, Qualifications and experience required

  • B. Com Accounting degree
  • Minimum 5 years’ financial management experience, preferably in a school or non-profit environment.
  • Excellent knowledge of IFRS for SMEs and South African financial regulations.
  • Advanced Excel skills
  • Strong analytical and problem-solving ability.
  • Excellent organisational, interpersonal, and written/verbal communication skills.
  • High level of integrity, confidentiality, and attention to detail.
  • Energetic, self-motivated, and able to work under pressure to meet deadlines.
  • A passion for education and willingness to participate in the broader life of the school.
  • Detail-oriented approach to work
  • The ability to work under pressure
  • Strong experience in financial accounting.
  • Experience with updating and reviewing operational cash flow models and treasury management.
  • Strong understanding of financial regulations and accounting standards.
  • Experience with budgeting and forecasting.
  • Experience with financial analysis and reporting.
  • Experience with financial systems, payroll software and CRM tools.
  • Experience with tax compliance and filing.
  • Proven experience in adhering to financial deadlines
  • Serve as a key contact for internal stakeholders
  • Maintain a service excellence culture while enforcing disciplined financial practices.
  • Ability to work multiple priorities in parallel

School Debtors Clerk

St Mary’s Diocesan School for Girls seeks a proactive, innovative Debtors Clerk with an engaging and caring personality who has the ability to positively influence and motivate both staff and Parents. The Debtors Clerk will report directly to the Bursar/Business Manager. The Debtors Clerk will be responsible for the processing, and collection of school debtors accounts from Grades 00 – 12.

Minimum requirements for the position:

  • Minimum 3 years’ work experience in a similar position
  • Experience at a school in a similar position an advantage
  • Gr 12 or relevant tertiary qualification
  • Ability to perform all duties required in the debtor’s department; with some extraordinary examples of face to face assistance to ensure that customer satisfaction will be attained.
  • Excellent ability to plan and ensure all expectations are met.
  • Excellent telephone manner and business communication/email etiquette
  • Exceptional interpersonal skills and able to manage conflict, work with diverse problems and requests that will be part of the daily process.
  • Strong analytical and reconciliation skills. With special attention to detail.
  • Ability to ensure admission in takes, changes to grades yearly roll over, changes through the year, etc.
  • Reconciliations with a different system from school to financials system, when it comes to students, records transfer and complete the exact parallel working between two systems using EdAdmin, EduAdmin, Excel spreadsheets tie into balance with numbers at school only on a daily basis.
  • Good administrative, co-ordinating and organisational skills
  • Good working knowledge of Microsoft Office and an accounting programme
  • Proficient in the English language
  • Willing to support the Christian faith and values of the school.

Business Manager

Skills and Requirements:

  • A relevant qualification in finance, business administration and operations management.
  • Extensive general management experience with proven experience in financial and operational management, ideally in an education environment.

Key Responsibilities:

Provide leadership across all non-academic functional disciplines, including but not limited to:

  • Collaborating with the Heads of the School to ensure smooth operational support of the School’s varied activities.
  • Managing the School’s financial and commercial operations, including budgeting, forecasting, reporting and compliance.
  • Overseeing the management of the estate, including building, ancillary facilities, grounds, sports arenas, transport, security, housekeeping and capital projects.
  • Overseeing the management of other non-academic disciplines including HR, IT, School Shop, Catering and Sanatorium.
  • Managing procurement, contracts and supplier relationships.
  • Supporting marketing by ensuring resources are used effectively to promote the experience and in doing so attract prospective pupils.
  • Collaborating with the Board of Trustees and Heads in strategic planning and financial decision-making.
  • Overseeing risk management and insurance.
  • Administering Trust governance matters.
  • General administration.

ACCOUNTANT

This is a full-time position reporting to the Business Manager.

Duties and Responsibilities:

  • Daily reconciliation of the bank statements;
  • Assist with creditors and debtors and have experience with reconciliations;
  • Maintain accurate financial records up to Trial Balance and prepare all month end reconciliations for month end reporting;
  • Prepare monthly Management Accounts;
  • Assist with payroll processing and maintain HR records;
  • Maintain the fixed asset register, calculate monthly depreciation and post relevant journals;
  • Monitor budget performance;
  • Assist with cash flow forecasts, budgets, and submission of SARS returns;
  • Support external audit by providing documentation and explanations of financial transactions.
  • Assist with the implementation of new accounting systems; and
  • Stay updated on industry best practices, financial regulations, and software tools.

Skills and Qualifications:

  • BCom Accounting degree with completed SAIPA articles;
  • Excellent knowledge of the IFRS for SMEs Accounting Standard;
  • Sound work ethic with a professional and pleasant demeanour when dealing with staff and stakeholders;
  • Proficiency in Pastel Accounting & Payroll;
  • Proficiency in Xero Accounting & Simple Pay;
  • Strong Excel skills;
  • High attention to detail, problem-solving ability, and analytical thinking;
  • Strong communication skills;
  • Be assertive and energetic together with having excellent organisational and administrative skills; and
  • Be self-motivated and willing to work as part of the administration team.
