What you will do
Financial Control and Accounting (FCA) is the accounting department within the Volvo Group, responsible for financial compliance in terms of the International Financial Reporting Standards (IFRS) as well as compliance to local legislation.
Purpose of the Job
As a Senior Financial Accountant, you will be part of the FCA South EMEA team. You will be responsible for supporting the Chief Accountant with the preparation and reporting of month-end results in the group reporting system in accordance with local and IFRS reporting standards to ensure compliance with local financial and tax legislations. You will also take an active part in the development of all relevant reporting and accounting processes within FCA.

You will report directly to the Director FCA South Africa with a functional reporting line to the Chief Accountant.
Job Objectives:
- Relationship manager for the Volvo Trucks division consisting of New Trucks, Used Trucks and Market Africa.
- Timely and accurate accounting for the assigned financial line items.
- Ensure compliance with IFRS and internal Volvo Financial Policies and Procedures (FPP).
- Adherence to Financial, Company and Group Internal Controls and associated frameworks.
- Support the business through the monthly closing process and accounting inquiries.
- Manage and train offshore Accounting Services teams.
- Responsibility for preparing reconciliations for balance sheet accounts and key income statement accounts to ensure accuracy and validity of general ledger balances.
- Responsibility for the preparation and reporting of month-end results in the group reporting system. Providing timely, accurate, complete and compliant financial, commercial and statistical data.
- Analyse and provide financial reports as required to support Financial Planning, Forecasts and associated processes.
- Approve and ensure accuracy of journals processed by the business.
- Liaise with the business to stay abreast of business developments and resolve concerns.
- Understand business operations and systems and proactively identify areas of efficiency and effectiveness improvement within FCA.
- Any other duties that may be reasonably requested by your manager.

Qualification & Job Experience
- A Qualified Chartered Accountant – CA(SA).
- Minimum of three years working experience in financial accounting, reporting and consolidation, financial planning, business analysis and tax.
- Good technical knowledge of IFRS.
- Practical experience working in an international environment and in cross functional teams.

What you will do
The main purpose of the role is to be a key-player in delivering the Customer Charter and achieves high customer satisfaction combined with optimized aftermarket profitability through providing a service delivery in line with our customers’ expectations and assist with all relevant functions within the parts warehouse. Secure that the dealership is working according to GVS process in the phases “Planning”, “On Arrival” and “Dealer to customer and follow up”.
Reporting: This Position reports to Parts Controller.
Job Objectives
Receiving/Inbound
- Ensure and oversee that the receiving of goods are done according to Volvo procedure.
- To ensure that all parts are received accurately against documentation and within prescribed time as set by KPI standards.
- To timeously record all discrepancies on the GDS system when parts received are not conforming to standards and to document descriptions and part numbers.
- Ensure that parts are binned according to system allocations and not according to label allocations.
Outbound
- Process all customer order requests and ensure correct picking, packing and distribution of parts according to the Volvo procedures.
- Must at all times make sure that the system is updated after authorization.
- To make sure the correct parts and quantities are dispatched as per invoice.
- To provide an efficient and effective service to the workshop by ensuring that all Technicians receive their parts as soon as orders are processed, and parts are picked.
Credit Notes
- To ensure that credit notes are checked and signed off for processing. All credit notes to be filed in sequence and stored.
- To ensure that the correct procedures are followed when processing credits i.e. No electrical parts are returned etc.
Perpetual Stock Counts and Bin Verifications
- Ensuring that perpetual counts are done on a daily basis as per set quantities on the total volume of the Warehouse.
- To make sure a thorough investigation is done when discrepancies occur.
- All adjustments to be investigated and updates to be authorized before the system is updated.
House Keeping
- Ensure warehouse premises (inside/outside) always neat and tidy.
- Ensure parts stored correctly.
- Ensure all parts are binned correctly.
- Ensure waste collected timeously.
- Perimeter secure.
Exchange Parts
- Ensure parts from customer are at the agreed exchange standards (See Manual).
- Responsible for physical receiving & storage.
- Responsible for preparing supplier/core returns.
- Ensure that the packing and labeling of core parts be returned to PDC.
Health and Safety
- To ensure that all warehouse personnel abide by the rules and regulations set aside in the Volvo procedures regarding health and safety.

The main purpose of the role is to ensure that all administration pertaining to workshop process is dealt with efficiently.
Reporting: This position reports the Service Manager.
Job Objectives:
- Ensure that Warranty and Maintenance claims are submitted timeously in accordance with the warranty binder and maintenance procedures.
- Ensure zero rejection rate.
- Ensure parts are disposed of in accordance with directives and policies.
- Ensure that all parts in the claim store is clearly marked according to relevant procedures.
- Ensure the accuracy and back-up of all relevant documentation including but not limited to job cards e.g. photos, protocols, defect reports, sublet invoices etc.
- Ensure jobs are costed within VST parameters.
- Make sure all sublet invoices are loaded on job cards and forwarded to finance for payment.
- All job cards must be signed off by the Line Manager.
Opening and processing of job cards for repairs, maintenance and servicing.
- Ensure information on job card received from workshop include all relevant information e.g. registration number, chassis number, kilometre reading etc.
- Recording service type, e.g. basic, annual etc.
- Record any other faults e.g. brake lights not working, vehicle overheating, etc.
- Transferring all relevant information onto job card on computer.
- Carry out credit checks.
- Ensure that job card is allocated to correct account i.e. customer, warranty, maintenance contract.
- Ensure that job cards are signed by Driver/owner or relevant responsible person.
Outwork/sublet orders.
- Ensure that daily WIP controls are in place and that regular follow ups are done with workshop team leaders to ensure continuous flow of process.
- Ensure job card has been completed as required with all relevant information, i.e. date, work carried out, time started, time finished, total time worked, VST, cause of failure, etc.
- Ensure that owner or relevant person sign acceptance of work and/or parts fitted.
- Ensure job is signed off by relevant Technician, the Team Leader and the Service Manager before closure.
Job Costing.
- Enter brief description of work done and any notes made by the Workshop Manager.
- Enter parts used.
- Enter labour according to VST codes.
- Enter outwork.
- In case of breakdowns enter travelling time and call out fee.
- Enter sundries and consumables.
- Print invoice and ensure it is handed to the Workshop Manager to sign off and ensure order numbers are in place.
- Hand over to administrative assistant.
- Upon final confirmation of payment received issue gate pass to driver.
