Job description
PURPOSE OF THE POSITION:
The purpose of this position is to support the Director and Senior Manager of the Student and Learning Environment Support directorate in various operational matters including:
- Operations Management,
- Financial Management,
- People and Culture processes and procedures and
- Quality Control
KEY RESPONSIBILITIES:
1. Administrative and Operational Support:
- Develop, revise and implement standardised protocols for operational management to ensure consistent quality and alignment with institutional standards.
- Suggest improved administrative practices and transfer knowledge to administrative staff within the directorate
- Contribute to the development of S&LES strategy.
- Serve as the primary liaison with internal and external stakeholders, coordinating operational requirements and supporting governance and compliance obligations.
- Support the directorate management to develop and maintain a formal records management plan for the S&LES directorate, according to record management policies.
- Prepare and review professional communications and reports and systematically identify and address inefficiencies in administrative processes.
- Assist S&LES management to monitor activities, processes and procedures to identify risks and, where relevant, prepare plans to mitigate these risks.
2. Financial and Procurement Administration:
- Lead and manage the annual budget planning, financial reporting, and expenditure control processes across all cost centres in collaboration with the director, senior manager and unit managers.
- Manage the integrated budget cycle year on year.
- Ensure financial governance by monitoring compliance with institutional policies, managing financial risks, and supporting strategic financial decision-making.
- Oversee procurement and payment operations, including requisition processing, contract management, and payment workflows, ensuring alignment with institutional procedures.
- Manage the asset lifecycle, including maintaining the asset register, conducting verifications and audits, and ensuring compliance with asset management policies.
- Provide financial analysis and guidance, supporting regulatory compliance, mentoring junior staff, and executing ad hoc financial tasks as delegated by the director.
- Guide and participate in infrastructure planning and budgeting processes, ensuring alignment with strategic goals while managing operational costs effectively.
3. P&C and staffing support:
- Oversee and ensure accuracy in the capturing and processing of staff and student assistant appointments, in alignment with institutional policies.
- Support and guide the director and managers in initiating and managing recruitment procedures for new or vacant positions, ensuring compliance and timely execution.
- Monitor and manage the staff establishment, verifying documentation and ensuring alignment with People & Culture (P&C) processes.
- Coordinate and track the full performance management cycle within the directorate, ensuring deadlines and procedural requirements are met.
- Maintain oversight of P&C-related records and proactively follow up on outstanding actions with P&C to ensure resolution and compliance.
4. Ad Hoc financial:
- To the discretion of the Manager or Director.
5. Personal Development:
- Training and development to improve skills according to Personal Development Plan
Minimum requirements
- A Qualification on a NQF Level 7 in a Financial field.
- A minimum of 5 years’ administrative experience in general office and meeting administration, organisation and management, including record management and other areas of work.
- A minimum of 5 years’ in financial management experience.

JOB DESCRIPTION
KEY RESPONSIBILITIES:
Maintenance of equipment and building
- Perform building inspections on daily basis,
- Key requisitions into computer and ensure that work is done to satisfaction.
- Follow up on requisition where work was not done or poor work delivered.
- Complete work not completed form and obtain answers. Check that work is done to satisfaction.
- Complete documentation for payment by guilty party.
- Hand relevant documentation to Residence Administration to be processed.
- Manage budget in such a manner that all repairs fall within budget limit.
Cleaning and hygiene
- Do regular hygiene inspections..
- Oversee and manage that work is done according to contract stipulations with the cleaning contractors.
- Order and managed usable material.
Occupational health and safety
- Become a Safety Representative for residence.
- Give feedback at meeting on behalf of residence.
- Report all OHS related incidents.
- Plan and ensure evacuation procedures are in place and followed.
Minimum requirements
MINIMUM REQUIREMENTS:
- Grade 12 (NQF level 4).
- A minimum of (two) 2 years’ experience in a university residence environment.
- A minimum of (two) 2 years’ hospitality experience.
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
- Computer skills.
- Analytical skills.
- Critical and problem-solving skills.
BEHAVIORAL COMPETENCIES
- Interpersonal skills.
REMUNERATION:
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
