Minimum Appointment Requirements
Matric (Grade 12); ▪ National Diploma in Administration (NQF 6), National Diploma in Paralegal Studies
(NQF 6) or similar (NQF 6); ▪ 4 years administrative experience; ▪ Computer literacy (MS Office: Word,
Excel, PowerPoint, Outlook); ▪ Knowledge of Legal Practice Act.

Key Responsibilities
Deal with telephonic queries, animplementation; ▪ departments/provincial offices where
applicable;▪Manage emails and respond/refer where necessary;▪Receive documents and arrange
delivery/courier of documents for the department;▪Maintain office files and ensure efficient filing
system;▪Type documents, and compile reports are requested;▪Request documents from provincial
offices, where necessary;▪Collect documents and assist to prepare the agenda for meetings;▪Liaise with
Committee members where necessary;▪Attend the meetings, and take notes of all approved recommendations and actions for implementation;▪Assist with the implementation of recommendations
after the meetings, as instructed and assist with typing/editing of minutes/memorandums as requested.
▪Manage the complaints register, litigation register, and monthly statistical reports. ▪Assist with training
of the Regulatory department and attend to telephonic and email queries; ▪Compile lists, schedules, and
databases to manage the public complaints and queries, as instructed; ▪Deal with gathering of
information regarding panel attorneys and ensure deadlines are adhered to timeously ▪Deal with MMS
updates and ensure deadlines are adhered to timeously; ▪Assisting with Appeal matters and queries
from the public;▪Assisting with research and drafting documents, as requested; and any other
reasonable request to ensure effective and efficient functioning of the department.

Minimum Appointment Requirements
Matric (Grade 12) and 01-year receptionist or call centre experience; ▪ Knowledge of MS Office (Basic
Word, Excel, Outlook) and Switchboard operation.

management.
Key Responsibilities
Operate switchboard, receiving and relaying calls to the appropriate recipient; ▪Take messages, where
necessary, and distribute timely to the correct recipient; ▪ Place occasional local and long-distance calls;
▪ Handle general enquiries and direct through to the correct recipients, when required; ▪ Receive, sort
and distribute incoming mail;▪ Receive and sign for parcels or deliveries, distributing to appropriate staff
members;▪Photocopy, scan, fax, email and print, as and when required;▪ Perform miscellaneous clerical
and copy typing duties, as assigned;▪ Administer bookings for meeting rooms and ensure that meetings
are booked timeously and accurately and Assist in filing and retrieving of documentation.
