Maintenance Administrator
Mission
Purpose
To support the Executive Maintenance and all Maintenance Division staff with administrative tasks and overseeing all maintenance-related tasks in an office environment
Principal Accountabilities
- Support the Maintenance Executive and all Maintenance Division staff with all administrative tasks.
- Liaise with all Divisions and ensure relevant policies and procedures are communicated to everyone.
- Perform all administrative duties within the Executive Maintenance office in Maintenance Division.
- Work effectively with Maintenance team to provide operational and excellent services
Specific Responsibilities
- Handle all administrative tasks effectively but not limited to – Setting up meetings, Filing (inclusive of document control system updates), minutes taking, issue and distribute minutes of meetings
- Manage Maintenance Division staff time keeping report
- Process all Maintenance Division timesheets, night shifts, on-call forms and fuel claims to HR timeously
- Participate in process flow administrative tasks such as – collate information received into reports and review before submission to the Maintenance Executive, issue all business daily, weekly and monthly reports according to required timelines
- Thorough review of all information and report before sending to Executive for approval
- Manage formal correspondences for on-time responses – compile and review letters, chair progress monthly meeting with Managers
- Manage records in Division storage systems – SharePoint, Papertrail etc.
- Advise Finance Division of updated reimburse list including final penalty amount and follow-up on the invoices for reimbursement
- Control office stationery and other supplies
- Ensure settlement of new staff and compliance to onboarding process in Maintenance Division
- Compile and manage applicable work processes and procedures for better office management
- Manage and coordinate Maintenance Executive calendar, working closely and effectively on upcoming commitments and responsibilities with appropriate follow-up
- Prioritize conflicting needs and handle matters proactively to manage deadline pressure
- Keep records of expenses, signed invoices and provide monthly report to Maintenance Executive
- Thorough review of invoices before submission for the Executive approval and follow-up for payment with Finance Division
- Manage Maintenance Division purchase requisition and orders in the Procurement Sage system including placing orders on instructions
- Warmly receive visitors, manage phone calls and correspondences with professionalism
- Perform duties in line with agreed business focus areas
- Manage all secretarial duties within the Maintenance Division
- Undertake any other duties as assigned
Profile
Educational Level
- National Diploma Qualification in any Engineering discipline
Other Technical/ Professional Skills/Qualifications
- Excellent Computer Literacy in Microsoft etc.
- Technical background is compulsory
Years of Experience
- Minimum of five years’ relevant experience in any Plant & Machinery, Construction or Railway environment
- Minimum of two years’ consecutive experience in administrative position
- Experienced driver with valid driver’s license
Language Ability
- Fluency in English

Financial Manager
Mission
Purpose
To manage the Finance and Administration functions in line with legislated, contractual and acceptable financial standards.
Principal Accountabilities
- Control and Management of the entire Financial and Administration system and function
- Taxation
- Control and Management of the entire Financial and Administration system and function
Specific Responsibilities
- Management of the Financial system (Sage ERP X3)
- Functional governance and regulatory compliance
- Financial and commercial review of material tenders/contracts
- Monitoring and reporting of sub-contractors
- Prepare BOC Exco / Board meeting Pack in agreed format issued to BOC directors within the BOC deadline dates.
- Preparation of BOC audited Annual Financial Statements for the financial year, produced in compliance with IFRS within the BOC deadline dates.
- Manage company’s taxation affairs in its entirety through ensuring compliance with all legislation relating to VAT, Company Taxation and Employees Tax.
- Management of financial and administration staff
- Co-ordinate, prepare and submit to the CFO within deadline dates the Annual Budget, and Forecast requirements of RATP Dev.
- Monitor compliance and report deviations in respect of the Budget and Business Plan
- Assist in the development of the Budget
- Approval of all EFT and cheque payments in terms of BOC’s Levels of Authority
- Build and maintain effective working relationships with all stakeholders.
- Ensure compliance to the Financial Procedures Manual.
- Business Risk Analysis and reporting.
- Completion and submission of Statistical returns.
- Review of Stock reconciliations and verification of Physical Stocks.
- Any other duties as assigned.

- Must have handled similar Finance and Administration functions.
- Must understand all statutory reporting and compliance issues
- Budget preparation and monitoring.

Principal Accountabilities

Specific Responsibilities
- Research, develop and design training programs to meet business needs.
- Update existing training material periodically to ensure that it constantly meets business requirements and that the changes are accurately reflected.
- Ensure that the process for developing material is followed in order for the quality assurance principles to be adhered to.
- Delivering classroom based and on-the-job training on business topics, business processes as well as in-house systems.
- Applying Adult Learning principles to ensure that the transfer of learning and ultimately the development of employees takes place.
- Administering, assessing and moderating POE’s
- Evaluate the effectiveness of training programmes using questionnaires, observations, verbal interactions as well as surveys and provide feedback to the Training and Development manager.
- Ensure that all logistics for training are made and communicated timeously to the relevant parties.
- Ensure all training related documents, including registers, assessments, invoices, POE’s are submitted accurately and within the time frame agreed upon.
- Liaising with external training service providers.
Profile
Educational Level
- Bachelor’s degree/diploma and or ODETP with 5 years’ experience in a training environment.
Other Technical/ Professional Skills/Qualifications
- Accreditation as a Facilitator, Assessor & Moderator an advantage
- MS Excel & PowerPoint at Intermediate Level Essential
