Key Job Purpose
The Committee Administrator provides essential administrative, logistical, and support functions to facilitate the effective operation of the Office of the Company Secretary, with a focus on governance, sustainability, and organizational excellence. This role ensures that meetings, documentation, compliance, and organizational processes are managed efficiently, supporting GMA’s strategic objectives.
Working closely with the Company Secretariat Team to ensure governance best practices and sustainability initiatives are seamlessly integrated into the organization’s processes and records.

KEY RESPONSIBILITIES OF THE JOB
Meeting Coordination & Documentation
Collate and prepare agendas, papers, and reports for Board, Committees, and Sustainability Forums.
Assist in scheduling and logistics of meetings and workshops.
Record, develop, and maintain accurate minutes of meetings, including Board, Committee, and Sustainability Committee meetings.
Maintain and update governance and sustainability work plans, calendars, and schedules.
Record & Document Management
Audit and update statutory registers (e.g., minutes, Board Members, declarations).
Maintain governance and sustainability files as per the file plan.
Support updating and auditing the governance and sustainability SharePoint or resource sites.
Help ensure document confidentiality and accessibility.
Governance & Sustainability Support
Assist in drafting, reviewing, and updating governance policies, sustainability frameworks, and related documents.
Source and compile content for sustainability reports, newsletters, and media updates.
Support sustainability reporting initiatives, including collecting data from various units and supporting external disclosures.
Coordination & Logistics for Governance & Sustainability Activities
Organize venues, catering, technical logistics for Board meetings, workshops, and sustainability forums.
Manage travel and accommodation logistics for key stakeholders.
Distribute documents, invitations, and updates timely.
Research and Resource Materials
Source articles, research pieces, and content on governance, transport, and sustainability trends.
Prepare briefing materials, newsletters, and resource packs for meetings and publications.
Compile resources and data to support Board and Committee decision-making.
Administrative & Procurement
Support procurement requests, purchase requisitions, and invoice follow-up.
Manage office supplies and stationery for the governance and sustainability teams.
Maintain procurement and expenditure records.
Financial & Payment Administration
Assist in implementing new governance and sustainability initiatives.
Support the documentation and communication of process improvements.
Engage proactively in team processes to enhance overall efficacy.

Qualifications
Minimum:
Matric and/or a Diploma that covers two of the following areas: Corporate Governance, Law, Transport Administration, Compliance, Environment or Sustainability, Commerce (Accounting and Finance).
Experience:
Minimum:
3 years experience in one of the following areas: Corporate Governance, Law, Transport Administration, Compliance, Environment or Sustainability, Commerce (Accounting and Finance).
Training:
Minimum:
Understanding of Corporate Governance and Sustainability Processes
Ideal:
Chartered Institute of Secretaries Membership
Sustainability or ESG Officer.
SECTION D: OTHER REQUIREMENTS
Minute taking and report writing.
Communication, presentation and interpersonal skills.
People Management skills.
Integrity and discretion in handling confidential information.
Ability to handle sensitive issues at all levels and work well under pressure.
All newly appointed employees within the GMA will serve a probation period of 6 Months.
