Client Liaison & Workflow Facilitator
Job Description
This is a remote position.
Join a well-established and growing independent accountancy practice in a newly created role designed to manage process, compliance, and workflow across a busy professional services environment. Working on a fully remote basis, this full-time position handles the internal administrative framework of a digital-first, paperless firm that provides comprehensive accounting, tax, and advisory services to a diverse portfolio of UK owner-managed businesses, SMEs, and international structures.
The primary purpose of the role is to ensure that client delivery is never missed and all compliance deadlines are met efficiently. Acting as a central operational anchor, the position does not require any accounting knowledge; rather, it centers on monitoring the complete firm-wide workflow dashboard, checking that appropriate tasks are active for each client, tracking team progress, and proactively following up with internal accountants who are falling behind schedule.

Key Responsibilities
- Workflow Oversight: Oversee active work delivery across the entire firm, tracking accountant progress against designated timelines for all types of work to ensure completion shortly after year-end and well ahead of statutory deadlines.
- Dashboard Monitoring: Monitor the overall practice management software dashboard systematically, checking and confirming that the correct jobs are active for each individual client across the multi-disciplinary team.
- Reporting & Escalation: Generate weekly deadline reports to formally flag work that is falling behind schedule within the internal production team.
- Client Authorisations & Access: Obtain 64-8 client tax agent authorisations, assign clients on the HMRC Government Gateway agent portal, configure required digital logins, and set up Income Tax Viewer access.
- Registrations & Compliance: Administer tax number registrations, manage annual compliance checks on all accountants to verify up-to-date memberships, professional insurance, and CPD records, and handle new accountant onboarding.
- Communication Management: Manage the shared central administrative mailbox alongside personal correspondence networks, and answer incoming office phone lines routed through internal computer applications.
- Process Improvement: Identify and drive operational process improvements through to implementation, keeping corporate process maps accurately updated to reflect real-time practices.
- Project Roll-out: Manage project roll-outs and direct the practical implementation of evolving statutory updates and regulatory changes from authorities.
- Business Growth Tracking: Document and track internal data metrics related to work won and work lost to support business growth monitoring.
- Administrative Support: Execute ad hoc office administration tasks daily, while providing robust operational backup and holiday cover for other team members during leave cycles.

Property Sales Consultant / Appointment Setter
Job Description
This is a remote position.
A fast-growing property investment group is looking for a world-class, commercially minded Property Sales Consultant / Appointment Setter to take full operational ownership of their outbound sales and appointment engine. Operating fully remotely from South Africa on a full-time permanent basis, this high-impact position balances strict performance standards with a progressive, team-focused culture.
Working on a fixed Monday to Friday schedule from 9:00 AM – 5:00 PM UK time, you will be the front-line brand ambassador driving opportunities directly into their senior sales team. In South African local time, this translates to a highly convenient daytime shift pattern (typically 10:00 AM – 6:00 PM SAST, depending on UK daylight savings, with a built-in 1-hour lunch break).
This is not a traditional, passive administrative role. We need a proactive, high-energy phone specialist who loves the thrill of lead qualification and appointment setting. This role carries deep operational ownership; you will be managing warm inbound enquiries, securing property valuations, and proactively managing daily appointment logistics to ensure zero customer impact.
Key Responsibilities
- Lead Qualification & Ownership: Respond rapidly to warm leads flowing through Leadrocket and Salesforce CRM. Once you establish meaningful contact, you own that lead and remain fiercely accountable for nurturing it until it is booked, disqualified, or closed.
- Property Valuation & Appointment Management: Take absolute ownership of Street-generated valuation opportunities. Confidently contact prospective vendors to secure firm appointments, handle objections with poise, and aggressively step in to rescue appointments at risk of cancellation.
- Daily Operational Command: Take full ownership of daily scheduling. You will manage and coordinate Viewber appointments, ensure all viewing slots are fully covered, resolve scheduling conflicts before they hit the customer, and maintain seamless communication between applicants, vendors, and the UK sales team.
- Flawless System Compliance: Maintain 100% accurate, real-time records across our entire core tech stack (Salesforce, Leadrocket, Street, Viewber, and Google Workspace). Ensure handovers feature comprehensive notes and clear next actions.
- High-Response Communication: Maintain an active, vibrant presence on internal team channels. Adhere to their high-performance standard of responding to internal messages within 15 minutes during working hours.
Requirements
- The Communication Edge: Exceptional verbal and written English communication skills. You must possess an outstanding telephone manner, high energy, and the natural capability to build instant rapport and urgency over the phone.
- Sales & Logistics Mindset: Proven experience in a target-driven sales, telesales, or high-volume customer-facing environment (Estate Agency or property sector experience is a distinct advantage).
- The Monday to Friday Commitment: Total commitment to a fixed Monday to Friday shift pattern. You must thrive in an autonomous environment, taking total accountability for driving daily outbound appointments and escalating issues using documented procedures.
- Data Integrity & Compliance: An absolute understanding of data security. You will be handling personal data for UK customers and must adhere strictly to UK GDPR standards with a zero-tolerance policy for data mismanagement.
A Dedicated Remote Setup: To maintain their premium customer experience, you MUST have:
- A quiet, dedicated home office environment free from background noise.
- Meticulously reliable high-speed fibre internet suitable for high-volume VoIP calling.
- A robust backup power (Inverter/UPS) and/or secondary connectivity arrangement to combat load-shedding.
- A modern laptop/PC, a premium-quality headset, and a clear webcam for coaching and reviews.
Benefits
- High-Impact Exposure: A crucial front-end sales role working directly within a fast-scaling, forward-thinking UK property company.
- The Stability of an 8-Hour Day: A permanent, full-time remote contract with a clear shift pattern and a dedicated 1-hour lunch break daily.
- Elite Training & Continuous Development: Access to ongoing professional training, daily warm lead flows, and regular coaching reviews with the UK Property Sales Manager.
- A High-Performance Culture: Work within a progressive environment that values results over micro-management and celebrates self-starters who take total accountability.
