MINIMUM REQUIREMENTS

  • Relevant 3-year tertiary education qualification (Degree or Diploma).
  • 3-5 years contract administration experience.

SKILLS AND COMPETENCIES

  • Knowledge and application of Commercial and Contract Law
  • Drafting basic and concise contracts.
  • Knowledge of the PPPFMA.
  • Contract forecasting and costing, invoicing, and reconciliation.
  • Writing reports, memorandums, and letters.
  • Analytical Skills, analyse fine print on contracts, budgets and expenditure reports
  • Negotiation Skills, negotiation of commercial terms with suppliers.
  • Computer Skills, proficiency in Microsoft Package.
  • Interpersonal Skills, a strong level of professionalism and the ability to operate in a team.
  • Attention to Detail is the ability to allocate cognitive resources to achieve thoroughness and accuracy when accomplishing a task.

KEY RESPONSIBILITIES

  • Explain terms and conditions of contracts to managers and MarComms contractors.
  • Ensure that employees and contractors understand and comply with company contracts.
  • Ensure all deadlines and conditions described on contracts are met (e.g. payments, sub-contracting, etc).
  • Point out service providers’ deviations from the contract to the Portfolio Manager MARKETING AND COMMUNICATIONS GM: Marketing & Communications Contracts Administrator Administrator Manager: Corporate Communications
  • Liaise with Legal in the preparation of contracts.
  • Liaise with SCM in preparing tender documents.
  • Liaise with SCM during bidding processes for MarComms contracts and in preparing submissions to the Management Bid Adjudication Committee.
  • In liaison with Legal, review and update existing contracts. • Assist with onboarding of new service providers.
  • Perform closing activities of contracts as needed.
  • Liaise with and support Portfolio Managers to ensure the contracts are executed accordingly.
  • Prepare monthly reports for Manco and budget meetings.
  • Ensure relevant documentation accompany contracts and maintain digital and hard copies of relevant documentation.
  • Assist and guide service providers on contractual matters as and when needed. • Monitor and track portfolio contract performance.
  • Prepare and assist with all contract meetings.
  • Assist with cost estimate evaluations.
  • Maintain an audit file for each MarComm contract which will include all items as per the contract file index.
  • Take steps, in liaison with the Portfolio Managers, to minimise risks in the execution of contracts.
